Make and verify a current backup before handing over your Mac. A repair may require erasing or replacing its startup disk, so files that exist only on the Mac could be lost. Apple’s built-in Time Machine can back up to an external USB or Thunderbolt storage device; once the backup is complete, follow the service provider’s instructions for preparing the Mac.
Why you should back up before a repair
Apple says a backup matters because service may require erasing or replacing the computer’s startup disk. That is why a backup should be made before service—not after the Mac has been accepted or repaired. Do not assume that files will remain on the computer simply because the repair appears to involve another component. The scope of a repair can change, and Apple’s service guidance specifically identifies erasing or replacing the startup disk as a possibility.

A backup is useful only if it completed and you can access it. Before handoff, check Time Machine’s status and record the date and time of its latest completed backup. If it reports an error or says some files were unavailable, treat the backup as incomplete until you have followed the error guidance and confirmed a successful run. A disk appearing in Time Machine, or a backup that has started but is still running, is not the same as a completed backup.

Choose a suitable backup disk
Time Machine can back up to an external USB or Thunderbolt storage device. Apple’s 2026 guidance recommends choosing a backup disk with at least twice the Mac’s storage capacity. For example, Apple says a Mac with 1 TB of storage should ideally use a 2 TB backup disk. That example is not a universal 2 TB requirement: choose capacity in relation to the storage in your own Mac and the backup history you want to keep.
Capacity is the first comparison to make, but it is not the only one. Check that the drive can connect to your Mac using USB or Thunderbolt as appropriate, and decide whether it will be reserved for backups. A drive with other contents may still be a candidate only if you can keep those contents safe: Time Machine setup may require erasing the selected disk. Apple’s cited instructions give a capacity recommendation, not a ranking of drive brands or particular models.
| What to check | How to decide |
|---|---|
| Capacity | Use Apple’s recommendation of at least twice the Mac’s storage capacity as a guide. A 1 TB Mac is Apple’s example for a 2 TB backup disk. |
| Connection | Choose a disk that connects to your Mac by USB or Thunderbolt, as appropriate for the Mac and drive. |
| Existing contents | Time Machine setup may require erasing the selected disk. Use a disk with no data you need, or save its contents separately before approving an erase. |
| Backup use | Consider whether you want to reserve the disk for backups and whether it has enough capacity for the backup history you want to retain. |
To apply the capacity rule, compare the storage capacity of your Mac with the proposed backup disk before starting setup. If the Mac has 1 TB of storage, Apple’s example points to 2 TB as the recommended disk size. For a Mac with a different capacity, use the same at-least-twice principle rather than buying a 2 TB drive simply because it was Apple’s example. The recommendation is a guide to choosing capacity; it does not guarantee a particular backup history or identify a specific drive as best.

Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →If you are comparing external drives, keep the decision focused on available capacity, connection compatibility, and whether you can safely dedicate or erase the drive. A larger drive may be useful if you want more backup history, but the cited Apple guidance does not provide a formula for how long a given capacity retains backups. Do not treat a brand name or a product description as a substitute for checking those basic details.
Most importantly, protect any data already on the drive. Read the setup prompt before confirming an erase. If it contains files you need, stop and save those files separately before continuing, or choose a different disk. Selecting the wrong disk or approving an erase without checking could destroy data that was not part of the Mac’s backup.
Set up Time Machine on macOS Ventura 13 or later
The following menu path is Apple’s setup path for macOS Ventura 13 or later. Connect the external disk to the Mac before selecting it. The path is version-specific: if your Mac uses an earlier macOS release, its labels or setup steps may differ, so use instructions for the version installed rather than assuming the same screens will appear.
- Open the Apple menu and choose System Settings.
- Select General, then Time Machine.
- Choose Add Backup Disk and select the external disk you intend to use. Check the selected disk name carefully before proceeding.
- Review any prompt about erasing the disk. Continue only if you do not need its existing contents or have saved them elsewhere. If you are unsure whether the disk contains something important, do not approve the erase yet.
- If you want an encrypted backup, turn on Encrypt Backup during setup and choose a password when prompted. Store that password somewhere secure that you can reach after handing over the Mac.
- Complete setup. The Mac begins backing up after setup.
Encryption is an option at setup, not a reason to skip the password plan. Time Machine asks for a password when you enable Encrypt Backup, and Apple says you need it to restore files later. Before choosing it, consider how you will securely retain access to that password while the Mac is away for service. Do not leave the only copy somewhere accessible only from the Mac being repaired.

Setup and completion are separate milestones. Finishing the setup screen means Time Machine has been configured to use the selected disk; it does not by itself confirm that the first backup has finished. Allow the backup to run, then check its status in the Time Machine menu before treating it as ready for repair.
If your Mac is running an earlier macOS version, the Ventura 13-or-later path above may not match its menus. Use the instructions that apply to the installed version rather than assuming the labels are identical. Apple’s instructions referenced here do not provide a single universal menu path for every older release.
Run a backup and confirm it finished
If you have just set up Time Machine, allow the initial backup to finish. Apple notes that the first backup can take longer; later backups copy changed files and should be faster. Do not disconnect the backup disk while Time Machine is working. If the repair date is approaching, leave enough time to notice an error and attempt another backup rather than waiting until the last moment.
- Open the Time Machine menu and choose Back Up Now to start a backup immediately.
- Check the Time Machine menu for progress while the backup runs. If it is still working, leave the disk connected and let the process complete.
- When it is done, check that the menu shows the date and time of the latest backup. Note that date and time for your own handoff records.
- If you need to disconnect the disk, eject it or shut down the Mac first.
The completion check matters more than merely seeing the disk listed in Time Machine. A selected disk or an in-progress backup does not establish that the latest backup finished. The latest date and time give you a concrete status to check before service; if the latest completed backup is not current enough for your needs, use Back Up Now and verify again.

Keep the backup disk with you unless the service provider specifically instructs you otherwise. The instructions here describe backing up to an external device and then preparing the Mac for service; they do not say to send the backup disk with the Mac. If you need to disconnect it after completion, eject it or shut down first so it is not removed while Time Machine is working.
If the menu reports that some files were unavailable or the backup failed, use the troubleshooting steps below before describing the Mac as backed up for service. Do not infer success from the fact that most of the backup appears to have run. A successful status and a recorded latest-backup date and time are the checks Apple’s guidance supports.
Fix an incomplete Time Machine backup
If Time Machine says some files were unavailable, Apple advises trying a manual backup while the Mac is unlocked, or waiting for another automatic attempt. Certain protected files may require the Mac to be unlocked before Time Machine can access them. An incomplete message is a prompt to try the supported next step and check the result, not a reason to assume that the missing files were captured anyway.

- Some files unavailable: Unlock the Mac and choose Back Up Now from the Time Machine menu, then check the result. Alternatively, wait for another automatic attempt and verify its status afterward.
- A displayed error or a backup that will not complete: Read the error and follow Apple’s troubleshooting guidance for that message. Do not treat an unsuccessful or unverified backup as ready for service.
- The drive may contain files you need: Stop before accepting an erase prompt. Save those files separately or select a disk whose contents you can safely erase.
For a manual retry, make sure the Mac is unlocked before starting Back Up Now, then return to the Time Machine menu and check whether the attempt completed. If it still reports unavailable files or another error, use the displayed error and Apple’s troubleshooting guidance rather than guessing at a fix. The available steps do not establish that every error has the same cause or that a retry will always succeed.

If you cannot get a completed backup, tell the service provider before handoff. The available guidance does not establish that an incomplete backup protects all files, and proceeding as if it did could leave you without a usable copy. The provider can tell you how to proceed under the instructions for your service arrangement; do not label an incomplete run as a verified backup.
Protect the backup password and prepare the Mac for service
When you enable Encrypt Backup, Time Machine asks you to set a backup password. You will need that password to restore files later. Keep it securely available after the Mac is handed over; a completed encrypted backup is not a practical recovery copy if you cannot supply its password. Make sure you know which password belongs to the backup rather than relying on access to the repaired Mac to retrieve it.
Apple’s service guidance describes separate measures for data security during service: turn on FileVault or remove data, for example by erasing all content and settings. These are not substitutes for making and checking a backup. Erasing the Mac is consequential, so do it only after you have confirmed a backup and understand the instructions that apply to your service arrangement and macOS version. The appropriate preparation can vary with the Mac, operating system, and whether service is in person or by mail.
Keep the sequence clear: first make the backup, then confirm the latest completed date and time, then decide which service-preparation measures apply. If you choose to remove data, do not begin by erasing and hope to back up afterward. The point of the pre-service backup is to preserve a copy before a step that could erase or replace the startup disk. If you are uncertain whether a data-security step is required or appropriate for your repair, follow the current service instructions rather than applying a general checklist blindly.
FileVault and removing data are options Apple’s service guidance mentions for data security; they are not part of the Time Machine backup procedure itself. Keep the distinction in mind when reading instructions: the backup protects a copy of your files, while service-preparation directions address how the Mac should be presented for repair. Follow the exact steps applicable to your device and arrangement.
Complete Apple’s service handoff checks
Backup is one part of Apple’s repair-preparation checklist. Some additional steps depend on the Mac’s hardware and macOS version. Follow the current instructions for your exact Mac, along with any extra directions supplied for a mail-in repair. A step intended for one combination of hardware and software should not be treated as universal.

- Find My or repair readiness: Apple’s send-in instructions say to turn off Find My Mac in macOS 26 or earlier. For macOS 27 or later, they say to turn on Ready for Repair or Trade-In.
- Repair Assistant: Apple describes checking for an unfinished repair with Repair Assistant on certain Apple silicon Macs running macOS Tahoe 26 or later.
- Firmware password: Apple says to turn off a firmware password when possible on Intel Macs.
These steps are conditional, not a single checklist that applies to every Mac. Check the Mac’s operating system version and hardware before deciding which directions match. The listed Repair Assistant check applies to certain Apple silicon Macs on macOS Tahoe 26 or later; the firmware-password direction concerns Intel Macs. If a step does not fit your Mac, do not assume that it applies just because it appears on a general service page.
The Find My direction also depends on software version: Apple’s send-in instructions say to turn off Find My Mac in macOS 26 or earlier, and to turn on Ready for Repair or Trade-In in macOS 27 or later. Read the current instructions for your repair rather than carrying over an older handoff step to a different macOS version. Mail-in service may include additional directions, so check those separately before packaging or sending the Mac.

Use this final checklist to catch the decisions that matter at handoff:
- Time Machine shows a completed backup, and you have noted its latest date and time.
- If the backup is encrypted, you have securely retained the password needed to restore it.
- You have not erased a disk containing files you still need.
- You have followed the applicable service-preparation instructions for your Mac and macOS version, including any extra mail-in directions.
- If Time Machine did not complete, you have not represented the backup as ready and have told the service provider about the issue.
Before leaving or sending the Mac, make one last distinction between “configured,” “running,” and “complete.” Time Machine configured to use a disk is a start; an active progress indicator means the backup is still underway; the latest date and time shown in the Time Machine menu are the evidence to check for a completed run. If that status is unclear, pause and resolve it or explain the issue to the provider.
For an encrypted backup, verify that the password is available independently of the Mac. For the external disk, make sure you know whether it contains anything you need before setup or any later erase prompt. For the Mac itself, check the current, model- and version-specific service directions. Those simple distinctions reduce the risk of arriving at handoff with an unverified backup, an inaccessible encrypted copy, or an avoidable issue with the service checklist.

How large should my Time Machine backup disk be?
Apple recommends a disk with at least twice the Mac’s storage capacity. Its example is a 2 TB disk for a Mac with 1 TB of storage; the example is not a universal 2 TB requirement.
How do I know that my Time Machine backup is complete?
Check the Time Machine menu for progress and then for the date and time of the latest backup. A selected disk or an in-progress backup does not confirm completion.
What if Time Machine says some files were unavailable?
Apple advises trying a manual backup while the Mac is unlocked or waiting for another automatic attempt. Check the result afterward; if it still fails, follow Apple’s troubleshooting guidance for the displayed error.
Do I need to encrypt my Time Machine backup?
Encryption is an option during setup. If you enable it, Time Machine asks for a password that you will need to restore files later, so keep that password securely available after handoff.
Should I erase my Mac before repair?
Apple’s service guidance includes removing data, such as by erasing all content and settings, as a data-security option. Make and verify a backup first, and follow the instructions for your Mac, macOS version, and service arrangement before erasing.
Do all Macs need the same repair-preparation steps?
No. Apple’s handoff instructions vary by macOS version and hardware. For example, its send-in guidance differentiates Find My from Ready for Repair or Trade-In by macOS version, and lists Repair Assistant and firmware-password checks for specific Mac types.
The Bottom Line
Before a Mac hardware repair, make a Time Machine backup to a compatible external USB or Thunderbolt drive, then verify that the Time Machine menu shows a completed backup and note its date and time. Keep the password if the backup is encrypted, protect any files on a disk before approving an erase, and follow Apple’s current service checklist for your Mac and macOS version.
