How to Back Up a Large NAS Without Running Out of Time or Storage

Separate the first full copy from recurring incremental backups, estimate transfer time from sustained throughput, and size retention from real data changes—not a universal storage multiplier.

Back up a large NAS by treating the first copy and recurring backups as separate jobs. Plan the initial transfer around measured throughput—or use a supported cloud-seeding service—then use incremental, versioned backups so routine runs focus on changed data. Set retention deliberately, keep a protected copy off-site, and pilot the schedule with a restore test; no single storage multiplier or transfer-time estimate applies to every NAS.

Set recovery goals before choosing a backup method

Start with the data you cannot afford to lose and decide how much recent work you could recreate. That sets your recovery-point goal: the maximum acceptable gap between the latest protected copy and a failure. Separately, set a restore-time goal: how long you can wait to get important files or services back. These goals influence backup frequency, destination, and whether a remote restore is practical.

Record the source data size, number and type of files, expected daily or weekly change, available backup window, and required retention period. Include the time needed to scan files, transfer them, and verify the result. A plan that fits the network but cannot complete its scan or restore within your requirements is not a workable plan.

  • Recovery point: How much data loss, measured in time, is tolerable?
  • Restore time: How quickly must data be usable after a failure?
  • Retention: How many historical restore points must remain available?
  • Backup window: When can the job run without overloading the NAS or network?

Plan the first full copy separately

The first backup must transfer or otherwise establish the initial protected dataset. Later incremental jobs can focus on changes, but that does not make the initial copy small. To estimate its best-case transfer time, divide the dataset size by the sustained end-to-end throughput you can actually maintain between the NAS and destination.

For example, if 10 TB of data could move continuously at 100 MB/s, the arithmetic lower bound is about 27.8 hours using decimal units (1 TB = 1,000,000 MB). This is a calculation, not a benchmark or a promised completion time. In practice, allow additional time for scanning, small-file overhead, network contention, protocol inefficiency, pauses, NAS performance limits, and verification. Measure sustained throughput during a representative transfer rather than relying on a link’s advertised maximum.

For recurring jobs, estimate from the changed-data volume during the interval, not the NAS’s total capacity. A daily job that sees little change may transfer much less than the first copy; a large rewrite, migration, or high-churn workload may not.

When sending the first copy over the internet

Check whether your backup service and NAS software support a physical seeding workflow. QNAP describes using provider hardware appliances to move terabytes for an initial cloud migration, then relinking the cloud copy so Hybrid Backup Sync can continue with incremental jobs. This is a service-specific workflow, not a feature to assume for every provider or account. Confirm supported NAS models, destination, shipping process, data format, and relinking steps before relying on it. QNAP Hybrid Backup Sync

  • Available in capacities ranging from 2 to 22TB(1) | (1) 1GB = 1 billion bytes and 1TB = 1 trillion bytes. Actual user capacity may be less depending on operating environment.
  • For RAID-optimized NAS systems with unlimited number of bays
  • Rated for 550TB/yr workload rate(2) | (2) Annualized Workload Rate = TB transferred x (8760 / recorded power-on hours). • Designed to handle the demands of high-intensity 24x7 multi-user NAS environments
  • Western Digital partners with a wide range of NAS system vendors for extensive testing to ensure compatibility with most NAS enclosures

Keep the initial job within a realistic window

If no supported seeding option fits, calculate whether the WAN can finish the first copy within your available window. If it cannot, consider staging the initial copy locally or extending the first-run window, provided your software can then continue backups to the intended destination. Do not treat a sync as a substitute for a versioned backup: synchronization can propagate deletion or unwanted changes.

Use incremental, versioned jobs and set retention deliberately

After the initial copy, incremental backup can reduce repeated transfer by sending changed data. Synology describes block-level incremental backup and cross-file deduplication in its backup tools; Alibaba Cloud describes a full NAS backup followed by incremental jobs, with source-side deduplication and compression options. Actual transfer and storage savings depend on the backup software, data, change patterns, and configuration. Synology Backup & Data Protection Alibaba Cloud NAS backup documentation

Incremental does not mean free or negligible storage use. Changed blocks or files, retained versions, metadata, and any data that deduplication cannot eliminate consume destination capacity. There is no universal multiplier for how much space a large NAS backup requires. Estimate from actual change rates and the restore points you need, then revise the estimate after observing a real job.

Choose a retention policy that balances recovery options with capacity. Keeping more versions can help recover from accidental deletion or corruption discovered late, but it can also increase storage use. Confirm how the product counts and expires restore points, and whether retention is enforced at the destination or only by the NAS account that creates the jobs.

Account for file count as well as terabytes

A dataset made of millions of small files can take longer to scan and manage than its byte count suggests. Alibaba Cloud’s NAS backup guidance recommends no more than 50 million files per backup job and no more than 8 million files or subdirectories per directory for that service. Those are Alibaba Cloud product-specific recommendations, not general NAS limits. Check the chosen service’s current limits and test with the actual file mix. Alibaba Cloud NAS backup documentation

Choose destinations for both fast recovery and site-loss protection

A separate local destination, such as an external drive where the NAS software supports it, can make routine restores quick. A second NAS can provide another copy locally or at a remote site. For protection if the whole location is lost, keep a copy geographically separate—such as cloud or object storage, or a remote disaster-recovery site. Synology notes that local backups do not protect against fire, natural disaster, or theft of all equipment, and describes cloud and remote-site options. Synology Backup & Data Protection

Think in terms of the 3-2-1 principle: three copies of important data, on two types of media, with one copy off-site. A snapshot, RAID array, or synchronization job can be useful, but none alone guarantees a separately recoverable off-site backup. QNAP also describes a 3-2-1-1-0 approach that adds an isolated or immutable copy and verification. QNAP 3-2-1-1-0 backup guidance

Destination approach Useful for Check before committing
Separate local drive or storage device Quick restores when the NAS or its disks fail. Capacity, supported backup format, connection reliability, and whether the device is disconnected or otherwise protected when not in use.
Another NAS A second copy and, if placed elsewhere, remote-site recovery. Model and software compatibility, network throughput, account separation, retention, and whether the destination can be isolated from the source.
Cloud or object storage Off-site protection without maintaining a second physical site. Initial seeding availability, regional service support, storage and retrieval charges, restore bandwidth, encryption and key ownership, retention lock, and portability.

Features and costs vary by NAS model, software release, service, region, and account configuration. Verify the current terms for the exact combination you plan to use. QNAP’s Hybrid Backup Sync documentation lists local, remote, and cloud destinations; its feature availability includes version-specific requirements—for example, the page says TCP BBR requires QTS 4.4.1 or later or QuTS hero h4.5.1 or later, and automated cross-NAS backup requires HBS version 14. Its WORM support description requires HBS v26 or later and a QuTS hero WORM destination configured for Manual Lock. Confirm compatibility for your device and release rather than assuming these features are present. QNAP Hybrid Backup Sync

Tune schedules and bandwidth around the actual bottleneck

Run jobs when the NAS and network have room, and use bandwidth throttling if the backup would otherwise interfere with work. Throttling can make a job more predictable for other users, but it directly limits transfer speed and can lengthen completion time. QNAP documents scheduling and bandwidth controls for backup copies. Transfer rate is only one possible constraint. NAS CPU and disk activity, file scanning, large numbers of small files, destination service limits, concurrent users, and restore bandwidth can all shape the result. If jobs repeatedly run past the next scheduled run, reduce overlap or frequency, increase the available window, review throttling, or revisit the initial-copy method. Avoid disabling verification or weakening retention simply to make a dashboard show completion.

Protect the backup and prove that it can be restored

A backup that shares the source’s administrator account, physical location, or easy-to-reach network path may be exposed to the same incident as the NAS. Where the destination supports it, consider separate credentials, restricted write access, off-site placement, immutable retention, or an air-gapped copy. Exact security controls vary by vendor, service, and configuration; confirm what prevents an attacker or compromised administrator from deleting both source and recovery copy. QNAP describes object-locking and isolation approaches in its 3-2-1-1-0 guidance. QNAP 3-2-1-1-0 backup guidance

Completion notifications do not prove that files can be recovered. Test representative restores, including a file version and the recovery path you would use after losing the NAS. For a cloud copy, account for how long retrieval takes and any applicable retrieval or egress charges when deciding whether it meets your restore-time goal.

Pilot the plan before trusting it

  1. Choose a representative dataset with a realistic mix of large and small files.
  2. Run the initial backup and record elapsed time, bytes transferred, interruptions, and verification results.
  3. Change, add, and delete test files, then run an incremental job and inspect what was transferred and which versions remain.
  4. Restore sample files from the destination, including an older version, and note the time and any fees or manual steps.
  5. Adjust the schedule, retention, and bandwidth limit based on observed results; repeat the test after major software, destination, or workload changes.
