Set up an automatic backup now, save it somewhere separate from your laptop, and test that you can restore a file. On a Mac, use Time Machine with an external drive. On Windows, use File History with an external drive or network location for personal files; Windows Backup and OneDrive can sync selected folders and settings. These options do different jobs, and none should be assumed to cover everything without checking its settings.
What protects your files if the laptop fails?
A useful backup is a copy you can reach if the laptop is lost, damaged, or its internal storage stops working. A copy kept only on that same laptop does not protect against those events. Apple recommends placing Time Machine backups somewhere other than the Mac’s internal disk, such as an external drive or network destination (Apple’s Time Machine guidance).

Think of three different jobs:
- Personal-file backup: copies files such as documents and photos to a separate destination and may retain earlier versions.
- Sync: makes selected files or settings available through an account or across devices. Sync is convenient, but it is not automatically an independent, historical backup.
- System recovery: helps reinstall or repair the operating system. Recovery media may not contain your personal files.
An external backup drive is a straightforward destination for either Time Machine or File History. A network destination is another option where supported. Keep the drive disconnected or stored separately when it is not being used if you want to reduce the chance that one accident affects both laptop and backup.

How do I back up a Mac before hardware failure?
Set up Time Machine with an external drive
- Choose an external storage device for backups. Apple recommends a Time Machine disk with at least twice the Mac’s storage capacity and says to use it for Time Machine backups rather than other files. This is Apple’s guidance for Macs, not a universal capacity rule for Windows PCs (Apple: Back up your Mac with Time Machine).
- Connect the drive to the Mac and follow the Time Machine setup prompt. If no prompt appears, open System Settings and select General > Time Machine; interface labels can vary by macOS version. Add or select the backup disk and confirm the setup.
- Leave the drive connected when you want automatic backups to run. Check Time Machine’s settings and backup status so you know the destination is selected and the Mac has completed a backup.
Time Machine can back up files including apps, music, photos, email, and documents, and Apple says it can restore some or all files to the same Mac or a different Mac. Use Time Machine’s restore interface to retrieve a specific item or restore more broadly when needed (Apple Time Machine guide).

Understand what iCloud does
Apple describes iCloud as a way to sync and store selected data across devices signed in to the same Apple Account. That can make files available on other devices, but it is a different workflow from an external Time Machine backup. Check which data is selected for iCloud and do not assume that syncing provides the same independent backup destination or version history as Time Machine (Apple: Ways to back up your Mac).
How do I back up files on Windows?
Use File History for personal files
- Connect an external backup drive, or identify a supported network location.
- Open Control Panel and select System and Security > File History. Choose the drive or network location as the destination and turn File History on. The exact labels or availability can vary by Windows version.
- Review which folders are included and allow the first backup to finish. File History is intended to automatically save personal files such as documents, photos, and videos, and it can preserve previous versions for restoration (Microsoft: Back up and restore in Windows).
To recover an earlier copy, use File History’s restore interface and browse to the file or folder you need. Confirm the recovered file opens and contains the expected information.

Use Windows Backup and OneDrive for selected items
Windows Backup can sync selected folders and settings through a Microsoft account and OneDrive. Check the folders and settings selected in Windows Backup rather than assuming the entire laptop is included. Cloud access depends on the account and service, and syncing should not be confused with a separate historical backup of every file (Microsoft: Windows Backup).

Does a recovery USB back up my files?
No. A Windows Recovery Drive is system recovery media, not a personal-file backup. Microsoft says it can help restore the device, including after a drive replacement, but it does not include personal files. Creating the recovery media erases the USB drive, so use an empty drive and keep documents backed up separately (Microsoft: Create a recovery drive).
Before attempting Windows recovery, back up important files if they are still accessible. If BitLocker is enabled, locate the recovery key. Some recovery or reinstall methods can remove data, and the available options depend on the Windows version and device (Microsoft: Recovery options in Windows).

How to check that your backup can actually help
- Inspect coverage: identify the folders containing work, personal documents, photos, and other files you could not easily replace. Check the backup or sync settings to see whether those locations are included.
- Check the destination: confirm the selected external drive or network location is connected and has a completed backup. For cloud sync, confirm the relevant files appear in the account.
- Restore a sample file: use the platform’s restore process to retrieve a file into a safe location. Open it and verify it is usable; do not overwrite the only current copy while testing.
- Repeat after changes: revisit coverage when you add important folders, replace a drive, change accounts, or alter backup settings.
A status indicator alone does not tell you whether a crucial folder was included or whether a recovered file is usable. A small restore check makes the coverage and recovery path concrete.
