A ROM manager can scan a collection, sort games into a searchable library, and match metadata and artwork automatically. That does not necessarily change the ROM filenames on disk. To organize safely, prepare platform-based folders, import and review the matches, then use a separate, explicitly supported rename feature only if you need physical filenames changed.
What a ROM manager does—and what it may not do
“Organize” can mean two different things: arranging game records inside a manager’s library, or changing the folders and filenames of the actual files. Scanning and metadata scraping commonly build or enrich library entries without renaming the underlying ROM. RomM, for example, can read custom metadata tags from filenames, but its documentation says those tags are not inserted by renaming files: RomM metadata providers.

Before starting, check the chosen manager’s documentation for an explicit on-disk rename feature. Confirm what information it uses to identify games, what naming convention it applies, and how it handles multi-disc games or games made up of multiple files. Do not assume that a clean title shown in the library means the physical file has been renamed.

Make a separate backup
Back up important game files before reorganizing a large collection. LaunchBox recommends keeping a separate backup, copying files to a destination before removing the originals, and testing a small representative set first. A backup gives you a recovery point if paths break or a bulk change produces an unwanted result. See LaunchBox’s guidance on managing game files, folders, and paths.

Separate folders by platform
For LaunchBox’s Multi-Platform Import, put each platform in its own direct subfolder beneath the root folder you will select. Clear folder names help the importer detect systems; do not mix different platforms in the same folder. This structure improves detection, but the import still requires review. LaunchBox explains the folder requirements in its Multi-Platform Imports guide.
Import and organize with LaunchBox
- Open the importer: choose Tools > Import > ROM Files > Multiple Platforms.
- Select the root folder: choose the directory containing the platform subfolders.
- Review detected systems: inspect each folder’s Platform and Scrape As mappings. Correct any mistaken or uncertain matches rather than accepting them blindly.
- Choose metadata and media: configure what information and artwork to retrieve. The wizard also offers options such as using folder names as titles and combining matching ROM titles.
- Choose how files are handled: use files in place, copy them into the games folder, or move them. Copying leaves the originals available while you test, at the cost of extra disk space. Moving can disrupt other frontends, scripts, or shortcuts that depend on the existing locations.
- Inspect the resulting game list: confirm the titles and platforms before finishing the import.
This process creates library entries and can fetch metadata and media; it does not establish that filenames have been rewritten. LaunchBox keeps the library entry and game file separate, so the path associated with an entry matters when files are moved or renamed. What RomM automates—and its rename exception
RomM scans a self-hosted library and can enrich it with metadata and artwork from providers. Its configuration supports mapping folder names to platform slugs and customizing filesystem layouts; provider priority determines which provider takes precedence when metadata or artwork conflicts. These features help identify and present games, but RomM’s custom filename tags are for matching metadata records, not for renaming files to add those tags. See the metadata-provider documentation.

There is a narrower, separate exception for Nintendo Switch ROMs: the configuration option filesystem.embed_switch_title_ids can rewrite filenames to append title ID and version data. It is disabled by default because it rewrites filenames. Review the RomM configuration reference before enabling it, and back up the files first.

Rename files separately, then verify paths
If the manager offers an explicit rename operation, confirm its matching method and naming rules before applying it to the full collection. Test a few representative games first, including any multi-disc or multi-file titles you have. Keep the backup until you have confirmed the renamed files and any companion files remain usable.
After moving or renaming files, check that each library entry still points to the correct location. An entry may remain visible even when its saved launch path no longer works. Verify emulator dependencies and launch representative games before deleting the old copies. This matters especially if another frontend, script, or shortcut refers to the previous paths; LaunchBox’s path guidance covers the distinction between entries and files.

Quick checks before a bulk change
- Do you want cleaner library titles, or do you need the filenames on disk changed?
- Does the manager document an actual file-renaming feature, rather than metadata matching alone?
- Are platform folders separate and clearly named?
- Will the import reference files in place, copy them, or move them?
- Have you backed up the collection and tested a representative set?
- After the change, do saved paths, companion files, emulator dependencies, and launches still work?
