How to Automate Scheduled Website Screenshots with Zapier

Use Schedule by Zapier to trigger recurring website captures, pass the image to a destination, and handle timezone, timing, filters, and provider-specific limits.

To capture a website on a recurring schedule, create a Zap with Schedule by Zapier as the trigger, a screenshot service as the action, and a final step that stores or sends the resulting image. Choose the interval, map the page URL, configure any capture options the provider supports, and test the file handoff before turning the Zap on.

What the Zap needs to do

A scheduled screenshot workflow has three jobs: decide when to run, capture the target page, and deliver the resulting image or file somewhere useful. The schedule belongs in Zapier; the screenshot action belongs to a provider with a suitable Zapier integration or compatible API.

As an Amazon Associate I earn from qualifying purchases.

  1. Trigger: Schedule by Zapier starts the Zap on a recurring interval.
  2. Capture: A screenshot provider receives the URL and any supported capture settings.
  3. Delivery: A later Zap step saves or forwards the generated file—for example, to a storage service or notification workflow.

Do not assume every provider action exposes the same fields or passes files downstream in the same way. Check the provider’s current Zapier listing and API documentation for the capture options, authentication, and output format you need.

Set up a recurring screenshot in Zapier

1. Choose the schedule trigger

  1. In Zapier, create a new Zap and select Schedule by Zapier as its trigger.
  2. Choose an available interval, such as hourly, daily, weekly, monthly, or a custom interval, then fill in the relevant time or day fields.
  3. Check the timezone configured in your Zapier account settings. Schedule triggers use that account timezone rather than a separate timezone on the Zap. If you change the account timezone, Zapier says to turn the Zap off and back on for the change to take effect. See Zapier’s Schedule documentation.

As of Zapier’s plan-availability page updated August 13, 2026, Schedule by Zapier triggers are listed for Professional, Team, and Enterprise, but not Free. Confirm the current plan details on Zapier’s plan availability page before building around the trigger.

2. Add a screenshot action

Add a screenshot provider’s Zapier action, then map the page URL and any available capture settings. Zapier has integration listings for ScreenshotOne and Urlbox, both of which document Schedule-based capture examples. ScreenshotAPI.net says it supports scheduled captures and a Zapier integration. These are examples of available vendor or listing claims, not independent performance comparisons.

Depending on the provider and action, options may include viewport or full-page capture, image format, and handling for dynamically rendered pages. Confirm the current action fields and how it returns the image: a downstream step may require a file object or URL rather than a plain text result.

3. Deliver the image

Add the destination step only after confirming what the screenshot action outputs. Map the generated image or file to the storage, report, or notification destination you want. If the action provides a temporary URL, check its validity period and whether the destination downloads or copies the image rather than merely storing that URL; those behaviors depend on the provider.

4. Test and publish

  1. Use a representative page, not just a simple static page, if the real target relies on client-side rendering or lazy-loaded content.
  2. Run Zapier’s test for the screenshot action and inspect the returned image and output fields.
  3. Test the delivery step as well. Confirm the image opens from the destination and has the expected coverage and format.
  4. Publish the Zap, then check its task history after the first scheduled run.

Handle schedules that need a date or weekday rule

If the schedule trigger cannot express the exact rule—for example, running only on selected days or on the first business day—start with an interval that fires often enough, then add a Formatter and Filter step to decide whether to continue. Zapier’s example for a first-business-day workflow uses a daily schedule, Formatter, and Filter; its guidance on filters for days or times was updated May 29, 2026.

Keep the schedule in one place. If the screenshot provider also has its own scheduler, avoid enabling both unless you deliberately want duplicate captures.

Choose a capture service and estimate costs

Compare providers on the needs of the entire Zap, not just image capture. Check whether the current Zapier action can be triggered by your schedule, whether it supports the page and capture mode you need, how the file reaches later Zap steps, and what the plan allows.

  • Capture fit: viewport or full-page output, required image format, and support for dynamically rendered pages.
  • Workflow fit: native Zapier action versus API request, available fields, and how the image is handed off to storage or notifications.
  • Limits and price: monthly quota, rate limits, overage terms, and the plan required for scheduled Zapier runs.
  • Scheduling ownership: whether recurrence is configured in Zapier, the provider, or both.

Prices and quotas change, so treat vendor figures as plan-page snapshots rather than guarantees. ScreenshotAPI.net’s product page lists a free account with 100 screenshots, Essential at $9/month, and Startup at $29/month. ScreenshotOne’s pricing page lists a 100-screenshot free trial and Basic at $17/month for 2,000 screenshots. These are vendor-reported figures from the pages reviewed, not independently verified; check the current terms at ScreenshotAPI.net and ScreenshotOne’s pricing page before choosing a plan.

Timing, reliability, and troubleshooting

The Zap runs a few minutes late

Zapier says it does not guarantee a trigger at the precise minute configured and that it should run within a few minutes of the scheduled time. Plan for that tolerance rather than relying on a screenshot at an exact minute; see Zapier’s Schedule documentation.

The Zap does not run on the expected day or time

  • Check the schedule fields and the timezone on the Zapier account.
  • If the account timezone was changed, turn the Zap off and back on so the change takes effect.
  • For a rule the schedule trigger cannot express directly, inspect the Formatter and Filter conditions. Zapier’s filter guidance explains date- and time-based filtering.

The capture step fails or returns the wrong page

Check that the URL is mapped correctly and that the provider action has the required credentials and options. A page that needs client-side rendering or additional load time may not be ready when captured; use a provider option for dynamic pages or wait conditions if the action exposes one. Exact fields and recovery behavior are provider-specific, so consult its current integration and API documentation.

The capture works but the next step cannot use it

Inspect the screenshot action’s test output. Map the file or image URL field the destination actually accepts, and check whether a temporary provider URL remains available long enough for the next step. If the native action does not support the required handoff, use an API request only when the provider documents a compatible endpoint, authentication method, and response format.

Use a webhook only when the API fits

Webhooks by Zapier can send a request to an external endpoint, but that route requires the provider to expose an appropriate API endpoint and you to configure its HTTP request and authentication correctly. Zapier recommends familiarity with HTTP requests and API documentation; its webhook help page lists the feature for Professional, Team, and Enterprise. Check Zapier’s webhook documentation and the screenshot provider’s API docs before using this fallback.

Or skip the browser setup

If you would rather call a screenshot API than configure a browser capture action, ScreenshotNeo returns a screenshot or PDF from one GET request. For a WebP screenshot of a page:

curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://stripe.com -o shot.webp

See the ScreenshotNeo API documentation for request options and authentication. ScreenshotNeo accepts cookie or consent banners like a visitor and removes 60+ known consent platforms, newsletter popups, and chat widgets before capture; each cleanup step can be turned off. Bot checks or CAPTCHAs, blank pages, timeouts, failed loads, and cache hits are not billed, and response headers identify the page verdict and billing status. Its MCP server provides take_screenshot, get_page_info, and capture_pdf tools for AI agents. The free plan includes 1,000 screenshots per month with no card; paid plans start at $5 for 3,000 screenshots.

FAQ

Can I run a scheduled screenshot on Zapier’s Free plan?

Zapier’s plan page updated August 13, 2026 lists Schedule by Zapier as unavailable on Free and available on Professional, Team, and Enterprise. Check the current plan page because availability can change.

Can I schedule the same screenshot in Zapier and the screenshot service?

You can, but enabling both schedulers may create duplicate captures. Choose one scheduler unless duplicates are intentional.
