How to Automate Repetitive Tasks on a Mac with Shortcuts

Build a reliable Mac shortcut by arranging actions in order, testing each result, and deciding whether to launch it manually or from an event notification.

To make your Mac repeat a sequence of steps, build a shortcut in Shortcuts: add an action for each step, put the actions in the order they should happen, then run the shortcut and check the result. Once it works reliably, you can keep launching it yourself or attach an event-based automation. On Mac, Apple’s current automation guide says an event produces a notification asking you to run the automation; it does not establish that the workflow will run unattended in the background.

This guide follows Apple’s Shortcuts User Guide for Mac, labeled for macOS 27. Interface details and available actions can vary by macOS version, app, and region. Use the action library on your own Mac to confirm that the actions you need are available.

What a shortcut does—and what it can automate

A shortcut is a workflow made from one or more actions. Each action is one step in a task; Apple describes actions as the building blocks that can interact with apps, content on your device, and internet services. The shortcut runs its actions from top to bottom, so the order you arrange them in is the order they are attempted.

That makes Shortcuts useful for a repeated sequence, not a guarantee that every computer task can be automated. The steps must be represented by actions available on your Mac. Some actions belong to particular apps, and some may ask for input or permission to access private data. App, service, and content availability also varies by country or region.

A practical first candidate is a bounded routine: for example, preparing a set of apps you use for a recurring task, or carrying out the same sequence of supported app actions. Keep the first version small. It is easier to spot a missing step, an unexpected prompt, or a wrong result in a three-action shortcut than in a long workflow.

Choose how you want to start the task

There are two useful launch patterns. A manual shortcut is started when you decide to run it. An event-based automation is associated with an event, but Apple’s Mac guide says the event results in a notification asking you to run the automation. Choose based on how much control you want and whether a notification at the relevant moment is helpful.

Approach How it works on Mac Best fit
Manual shortcut You start the shortcut from Shortcuts, including its main window or editor, or from the Shortcuts Dock menu. Its actions run in sequence. A task you want to run on demand, or a workflow you are still testing.
Event-based automation You associate the shortcut with a supported event, such as a time of day, arriving at a location, or opening an app. When the event occurs, Apple’s guide says Mac shows a notification asking you to run the automation. A task for which a reminder or prompt at a recurring time or in response to an event is useful.

Automations are specific to a device. Apple says they are backed up to iCloud, but when they sync to other devices the automation is disabled there. Treat the trigger as a device-level setup rather than assuming it will be active everywhere your shortcuts are available.

Build a first shortcut for a repeated task

Start with the actions your actual task requires, not with an assumption that Shortcuts can control every app. Apple’s current guide uses macOS 27 labels; if your Mac shows a different interface, follow the equivalent controls in the Shortcuts app and check Apple’s guide for your installed version.

  1. Open Shortcuts. You can begin with a curated example in the Gallery or create a new shortcut. The Gallery is a starting point to inspect and customize, not a requirement.
  2. Write down the task as individual steps. For example: prepare the apps for a recurring work session, then perform a repeated action in one of those apps. Keep each item to a single outcome you can verify.
  3. Look for the needed actions. In the action library, search by a task-related term, browse categories, or view actions by app. Availability depends on the apps and services on your Mac; do not assume a third-party app exposes an action simply because you use it.
  4. Add actions in task order. Place the first required step at the top, followed by the next step, and continue until the workflow is represented. Shortcuts may suggest next actions based on the action already selected. Action details can show the inputs an action accepts and the outputs it produces.
  5. Set any required inputs. Review each action’s details and supply the information it asks for. An action that uses another app may require permission in the shortcut editor. Grant access only when the action needs it for the workflow.
  6. Run the shortcut manually. Start it from the Shortcuts main window or editor, or from the Shortcuts Dock menu. Watch each step rather than assuming a successful launch means every action completed as intended.
  7. Check the outcome and adjust. Confirm that the right apps, content, or results are involved. If a step is missing or out of order, revise the action list and run it again. A shortcut can be cancelled while it is running.

Example: prepare a recurring app session

Suppose you routinely prepare the same group of apps before beginning a work session. Search the action library for relevant actions, including actions associated with the apps involved. If the needed actions are available, arrange them in the order you want the preparation to happen, then run the shortcut and check what it actually does. If an app or action is not listed, Shortcuts cannot build that part of the workflow from an action that is not available to you; use a supported subset or leave that step manual.

This example is deliberately conditional. The action library—not the fact that an app is installed, or that a task is possible by clicking around in the app—determines whether the required Shortcuts step is available. Check the action’s inputs and outputs too: an action may exist but require information or produce a result that affects what can follow it.

Start with a Gallery shortcut or build your own?

Browse the Gallery when you want a curated example that may already resemble your task. Inspect its actions and customize it only after checking that they fit your apps and intended result. Create a custom shortcut when you already know the sequence you need or the Gallery does not provide a useful starting point. Both routes lead to an ordered set of actions that you should test before relying on it.

Find actions and understand their limits

The action library is the practical boundary of a shortcut. Apple documents several ways to explore it: search for a term, browse categories, or view actions by app. Suggested next actions can help you discover what may follow the step you have already added, while an action’s details can help you understand its accepted inputs and resulting outputs.

  • Search by the job to be done. Try a plain-language task term, then check the actions returned rather than assuming the search has found a complete workflow.
  • Look by app. If the repeated task involves an app, see whether the library lists actions for it. Actions that use another app may require permission in the editor.
  • Inspect inputs and outputs. A step may need a selected item, text, or other input, or may pass a result to the next action. The action details are the place to confirm what it accepts and returns.
  • Plan for prompts. A shortcut can ask for input or permission to use private device data. A workflow that needs your response is not fully hands-off, even if you start it with one command.
  • Account for availability. Apps, services, and content shown in Apple’s guide are not necessarily available in every country or region, and a needed action may depend on an app or service being present.

Shortcuts also includes more advanced topics such as branching, repetition, variables, web requests, and command-line launching. These are extensions for workflows that need choices, repeated processing, stored values, network interactions, or another way to start a shortcut. Exact actions and behavior depend on the app and macOS version. First make a simple linear workflow work; then add complexity only where the task calls for it.

Test the workflow before adding a trigger

A manual run is a useful test because you can observe the sequence and respond to requests as they appear. Shortcuts executes actions sequentially, but a workflow can still pause to ask for input or permission. Verify the final result as well as the intermediate steps; an action running does not by itself prove that it produced the content or state you intended.

  1. Run it once with attention. Watch for prompts, permission requests, and any action that fails or produces an unexpected result.
  2. Check each step’s result. Compare what happened with your written task list. Confirm that the correct app or content was involved and that the next action received the right input, if applicable.
  3. Correct the smallest cause you can identify. Reorder an action if the sequence is wrong, inspect its details if an input or output is unclear, or check access if another app’s action is blocked.
  4. Run it again after changing it. A change to one action can affect later actions, so verify the complete sequence rather than only the edited step.
  5. Cancel when needed. If the shortcut is running in an unintended way, cancel it, inspect the workflow, and test again before adding an automation trigger.

Only after the manually launched shortcut behaves as intended should you decide whether an event-based automation is useful. Keeping a workflow manual is a valid choice when you want explicit control or when prompts make unattended operation unsuitable.

Attach an event-based automation on Mac

If you want Shortcuts to offer the workflow at a recurring time or in response to an event, add an automation for a supported trigger. Apple lists examples including time of day, arrival at a location, and opening an app. The event does not mean that the shortcut silently runs: Apple’s current Mac documentation says you receive a notification asking you to run the automation.

  1. Make sure the shortcut itself is ready. Run it manually first and resolve any incorrect actions, missing permissions, or misunderstood inputs.
  2. Create an automation in Shortcuts. Choose a trigger that matches the moment you want to be prompted, such as a time of day, arriving at a location, or opening an app. The exact controls may differ by macOS version.
  3. Associate the shortcut with the automation. Select the shortcut you have tested so that the event is tied to the intended workflow.
  4. Test the trigger in context. When the event occurs, look for the notification asking you to run the automation. Confirm that it refers to the right workflow and that running it has the expected result.
  5. Check other devices separately. Automations are device-specific. Although they are backed up to iCloud, Apple says a synced automation is disabled on another device; configure and verify behavior on each Mac where you need it.

If you need a task to happen with no user confirmation, the Mac behavior documented here does not establish that an event-based Shortcuts automation will provide unattended execution. Do not build a critical process around a silent-run assumption; choose a workflow whose notification and confirmation fit the task.

Shortcuts, the Gallery, and Automator: which route fits?

These options solve different starting problems. A Gallery shortcut is a convenient example to inspect, a custom shortcut is for assembling your own sequence, and Automator is relevant if you already have a workflow there.

Starting point Use it when What to expect
Gallery You want to inspect a curated starting point before assembling actions. Customize the example to fit your task and the actions actually available on your Mac.
Custom shortcut You want to arrange a workflow around your own repeated task. Build the sequence from available actions, then test it step by step.
Existing Automator workflow You already use Automator and want to bring an existing workflow into Shortcuts. Apple’s Automator User Guide says Automator workflows can be imported into Shortcuts, where workflows become shortcuts ready to run. Importing gives existing users a migration path without requiring them to recreate everything from scratch.

There is no performance comparison established for these routes here. The practical choice is about where your work already lives and whether the actions needed for the task are available in Shortcuts.

Troubleshoot a missing or failing action

When a shortcut cannot complete a step, narrow down whether the problem is action availability, app access, input, ordering, or an automation assumption.

  • The action does not appear: Search by a related term, browse categories, and view actions by app. If it still is not available, check whether the action depends on an app that is installed. Do not assume Shortcuts can automate an app for which no suitable action is exposed.
  • An action using another app is blocked: Check whether the shortcut editor is asking for permission to use that app. Shortcuts may need permission before the action can proceed.
  • The action runs but the result is wrong: Open the action’s details and inspect its accepted inputs and outputs. Then check whether the preceding action supplies the value you expect and whether the sequence is correct.
  • The shortcut pauses or asks a question: Determine whether the action needs your input or permission to access private device data. That request may be part of the action’s normal operation rather than a failure.
  • The automation event occurs but nothing happens silently: On Mac, Apple documents a notification asking you to run the automation. Look for that notification; do not expect the event alone to launch an unattended workflow.
  • The automation is not active on another device: Apple says automations sync disabled to other devices. Set up and check the automation on the device where you want it to work.
  • A complex workflow is difficult to debug: Return to a short linear sequence, verify it, then add branching, repetition, variables, web requests, or command-line launching one piece at a time as needed.

Make the shortcut dependable without overcomplicating it

A well-built shortcut is not necessarily the one with the most actions. It is the smallest sequence that reliably represents the task, makes required inputs and permissions clear, and produces a result you can verify. Keep steps in the order the work actually happens. When a workflow needs a human decision, include that reality in how you launch it rather than treating prompts as something that can always be eliminated.

Apple’s Shortcuts User Guide for Mac defines an action as “a single step in a task.” That is a useful design test: if you cannot say what a step is meant to accomplish, or how you will tell it succeeded, clarify the task before adding more actions. For help with version-specific controls, consult Apple’s Shortcuts User Guide for Mac for the macOS version you use; the current guide reviewed for this article is labeled macOS 27.
