Build the report once around a Power Query output, then refresh the query when new source data arrives. Power Query connects to data, applies saved shaping steps, and loads the result into Excel for reports; whether refresh can be scheduled depends on the source, platform, credentials, and automation method.
How the recurring-report workflow works
Keep incoming data separate from the finished report. A Power Query query stores the steps used to clean and reshape data, while its connection identifies the source and refresh settings. Your worksheet tables, formulas, PivotTables, and charts can then use the query output rather than requiring you to rebuild the report each period. Set up the report once
1. Confirm the source and cadence
Identify each input, such as a recurring CSV or Excel file, database, or SharePoint list. Confirm who maintains it, how each new period appears, and whether its column names and data types remain stable. A query is easier to reuse when its source structure is predictable; changing headers or formats can require query edits.
2. Connect and shape the data

In Excel, open the Data tab and choose an appropriate Get Data option to connect to or import the source.

In Power Query Editor, apply repeatable cleanup steps, such as removing unused columns, setting data types, or combining tables.

Load the result to a worksheet table or the Data Model, then build the report’s formulas, PivotTables, and charts from that output.

3. Keep the workbook reusable
Keep headings, layout, formulas, and visual formatting in a stable workbook structure. Give queries clear names and use the Queries & Connections pane to edit, refresh, duplicate, reference, merge, append, or load them, as described in Microsoft’s query management guidance.
Do not type manual additions into query-generated cells: a later refresh reapplies the transformation and may replace those edits. Add hand-entered values to the source table or a separate input area instead. Microsoft’s query guidance demonstrates this distinction.
Refresh the report for a new period
For interactive refresh in Excel for the web, use Data > Refresh All, or refresh all or an individual query from the Queries pane. A query-connected PivotTable can also be refreshed as documented. These options apply to supported sources; authentication may be required. Microsoft’s Excel for the web refresh instructions distinguish general Microsoft 365 subscriber refresh and viewing from additional business or enterprise functionality. Check the supported-source list for your account and platform before relying on a particular connection.

Choose the right automation method

Understand the scheduled-refresh limitation
Do not assume a scheduled Office Script in Power Automate can refresh a Power Query workbook. Microsoft documents that scripts running in Power Automate cannot refresh most data connections: Workbook.refreshAllDataConnections refreshes only Power BI sources in that context, and certain PivotTable refresh methods do nothing in flows. A flow can complete successfully without updating the query results. Test the actual source and verify the resulting data independently before relying on unattended refresh. Microsoft says in its Office Scripts overview that in-product script scheduling is temporarily disabled and recommends a scheduled Power Automate flow in the interim. That scheduling option does not remove the data-refresh limitation above. Office Scripts through Power Automate require a Microsoft 365 business license, with specific license exceptions and connector conditions; confirm your tenant’s eligibility rather than assuming a plan qualifies.

Prepare sharing, credentials, and manual inputs

Check that the person refreshing the workbook has access to the source and any required credentials. A workbook that refreshes for its owner may fail for a recipient whose permissions differ.

Review privacy levels when combining or handling sensitive data; privacy settings can restrict what data is exposed during refresh.

Store comments, overrides, and other user-entered values in the source or a separate input table, not in cells populated by the query.

Verify the connection and refresh behavior in the platform and account that recipients will actually use.

When workbook size or script limits matter
For large workbooks or high-volume automation, Microsoft’s current Office Scripts limits documentation lists a 5 MB request/response limit and five million cells per range. It also lists 1,600 Run script calls per user per day and a 120-second timeout for synchronous operations. These are platform limits, not estimates of report performance or time saved; check the current documentation when designing a workflow near those boundaries.
