Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →The most reliable way to automate Obsidian note organization is to automate note creation, not to expect Obsidian to classify an untidy vault for you. Use a template for the starting structure, properties for a small set of typed metadata, and tags for flexible topic discovery. This combination makes every new note predictable while leaving unusual notes flexible.
What Obsidian can automate—and what it cannot
Obsidian’s core Templates plugin inserts a saved Markdown snippet into the active note. Its variables can insert the note title, current date, and current time, so a new note can begin with the same headings and metadata every time. See the official Templates documentation.

A template can also add properties and merge them with properties already present in the note. That makes templates useful for consistent metadata, not just repeated headings. Properties are YAML data at the top of a note; the Properties documentation describes supported types such as text, lists, numbers, checkboxes, dates, date-times, and tags.
Tags work inline in note text or through the tags property. Slash-separated tags can express a hierarchy, and tag searches can include nested tags. The Tags documentation explains the syntax and search behavior.

This is automation of note creation and classification as you create notes. Obsidian’s built-in documentation does not say that Templates automatically inspect arbitrary existing notes and classify them. Cleaning old notes requires deliberate editing, a script, or a suitable community plugin.
How templates, properties, and tags divide the work
| Tool | Best for | Typical examples | Limit |
|---|---|---|---|
| Templates | Consistent starting content | Headings, prompts, default metadata, date and title variables | Inserts predefined text; it does not infer the right structure for an arbitrary old note |
| Properties | Stable, typed metadata | type, status, created, source, project links |
Values should remain small and machine-readable; Markdown formatting is unsupported |
| Tags | Flexible discovery across topics | #writing, #inbox/to-read, cross-cutting subjects |
Tags are keywords, not a substitute for a consistent field schema |
A practical rule is to give each piece of information one home. If a value has a stable meaning and an expected type, make it a property. If it is a topic or cross-cutting label that you may search in different combinations, make it a tag. Do not copy every property into a tag: duplicate metadata quickly drifts out of sync.
1. Design a small metadata schema before creating templates
Start by deciding which facts should be present on a particular note type. A project note might need type, status, created, and a project link. A reading note might need type, source, and created. Keep the meaning of a property stable: if status means workflow state, do not use it for a subject such as “finance” on another note.
Use properties for predictable fields
type: a short value such asproject, meeting, orreference.status: a controlled value such asactive, waiting, ordone.created: a date value generated by the template.source: a URL, book title, or other source identifier.- A project or related-note link, quoted when it is stored as an internal link in a property.
Use tags for topics and cross-cutting searches
Tags are useful when the same topic can apply to many note types. A note can be a project and also concern writing, accessibility, and a particular client. Those topics do not need to become additional typed fields. Keep the hierarchy short and intentional rather than creating near-duplicate labels.
Keep the schema intentionally small
Every field creates a maintenance obligation. Add a property only when you expect to filter, search, sort, or review it later. A handful of consistent fields is more useful than a large form that you stop completing.
2. Enable Templates and choose a template folder
- Open Obsidian’s Settings and enable the core Templates plugin in Core plugins.
- In the Templates plugin settings, set a folder for your template notes. A dedicated folder keeps reusable snippets separate from ordinary notes.
- Create a Markdown note in that folder for each note type you create repeatedly, such as project, meeting, or reading notes.
- Insert a template into the active note from the ribbon, from the command palette using Templates: Insert template, or with a custom hotkey.
The built-in variables include {{title}}, {{date}}, and {{time}}. You can set date and time formats in the plugin settings or provide a format string directly, for example {{date:YYYY-MM-DD}}.
3. Build a reusable note template
The following is an illustrative starter template, not an Obsidian-mandated standard. Adapt the fields and headings to your own note types.

type: project

# {{title}}
## Goal
## Next action
## Notes
The quotation marks around the date variable are deliberate. Obsidian’s Templates page warns that Live Preview’s Properties in document panel can overwrite template variables that lack quotation marks. Edit templates in Source mode, or set Properties in document to Source, to avoid that issue.
Make one template per genuinely different note type
A project template can include a goal and next action, while a meeting template can include attendees, decisions, and follow-ups. Do not create a separate template merely to change one optional sentence; use a shared template when the structure and metadata are fundamentally the same.
Let the file name and title variable work together
When you insert the template into a note, {{title}} supplies the current note title. If you rename the file later, the inserted heading is ordinary text and will not automatically follow the new file name. Treat the heading as a snapshot of the title at creation time, or update it when you deliberately rename a note.
4. Insert templates consistently when creating notes
- Create or open the note that should receive the structure.
- Place the cursor where the template should be inserted, normally at the top of a blank note.
- Run Templates: Insert template from the command palette, choose the appropriate template, and confirm the insertion.
- Replace prompts such as the goal or next action with real content.
- Check the generated properties before you begin writing, especially
type,status, dates, and tags.
Templates improve consistency and reduce repeated typing, but manual entry remains appropriate for an unusual note. A template is a starting structure, not a requirement to force every idea into the same form.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errors5. Keep property values valid and predictable
Properties use YAML and each property name must be unique within a note. Lists use one item per line, checkboxes use true or false, and dates and date-times should follow the formats documented by Obsidian. Internal links in properties should be quoted.
Lists and tags
A list property is written with one value on each indented line. The tags property is itself a list, for example:
tags:
- writing
- inbox/to-read
Keep property values atomic. Obsidian states that Markdown in properties is unsupported and that properties are intended for small, human- and machine-readable values. Put explanations, paragraphs, and formatted prose in the note body instead of inside a property.

Dates and date-times
Use one date convention throughout the vault, such as the ISO-style value generated by {{date:YYYY-MM-DD}}. If a field needs a time, use a date-time format consistently. Consistency matters more than choosing a particular display style because searches and future automation depend on comparable values.
Adding a property to an existing note
A template can merge its properties with properties already in the active note. This lets you add a common field without intentionally discarding metadata that is already present. After insertion, inspect the resulting YAML and remove accidental duplicates so every property name remains unique.
6. Use tags for flexible discovery
Inline tags and the tags property
You can type a tag such as #writing in the body of a note, or add it under the tags property. The two forms are searchable as tags; choose the property form when you want all classification metadata visible together at the top of the note, and inline form when the tag naturally belongs beside a passage.
Nested tags
A slash creates a nested tag, such as #inbox/to-read. Searching for tag:inbox can match the parent and nested tags. A hierarchy is useful when the parent has a meaningful retrieval purpose, for example an inbox with “to-read” and “to-process” branches. It is not useful when it simply mirrors every folder or creates many labels that you never search.
Tag rules to remember
- Tags are case-insensitive, so capitalization should not be used to create separate meanings.
- Tags cannot contain spaces; use a different separator or a nested tag.
- A tag must contain at least one non-numeric character.
- Use a short vocabulary and decide whether singular or plural forms are preferred before the vault grows.
Properties and tags solve different retrieval problems. A query for status:active answers a structured workflow question; a tag search for a topic answers a flexible discovery question.
Templates versus manual entry
| Approach | Advantages | Costs and risks | Use it when |
|---|---|---|---|
| Template insertion | Repeatable headings, prompts, variables, and metadata; less typing | The template can become stale or impose fields that do not fit | You create the same note shape regularly |
| Manual entry | Maximum flexibility for one-off notes | Inconsistent headings and omitted metadata are more likely | The note is unusual or exploratory |
A mixed workflow is usually best: use templates for recurring note types and start a blank note when the structure is genuinely unknown.
Properties versus tags
| Question | Prefer a property | Prefer a tag |
|---|---|---|
| Does the field have a stable meaning? | Yes; define a name and expected type | Not necessarily; it is a topic or label |
| Will values be filtered or validated as a field? | Use a date, number, checkbox, list, or text value | Use a keyword search |
| Can the note have several labels at once? | Use a list when the labels are a defined field | Use several tags for flexible topics |
| Is a hierarchy useful? | Usually not; keep the field value clear | Use slash-separated nested tags when parent searches help |
Do not duplicate a stable property as a tag merely to make it visible in two places. If a search requirement changes, add the smallest new field or tag that solves the problem and document its meaning in your own workflow notes.

7. Review and maintain the schema as the vault grows
Obsidian’s Properties view provides an All properties view where you can inspect property names and usage frequency, jump into a search for a property, and rename a property throughout the vault. Open the Properties view from the relevant core plugin interface, then use it as a periodic schema review rather than a daily task. See Properties view.
Use a rename as a deliberate schema change
Before renaming a property, search your templates, saved searches, and notes for the old name. Update the templates first or at the same time so new notes do not reintroduce the old spelling. Then verify a few representative notes and searches after the rename.
Know the built-in bulk-editing limit
The built-in properties workflow does not support bulk editing. For broad changes to existing notes, the official documentation points to external tools such as VS Code, scripts, and community plugins. These tools can be appropriate, but verify a plugin’s current maintenance, compatibility, and permissions before using it.
Back up before external changes
Make a backup of the vault before a script or editor performs a broad replacement. Test the operation on a copy or a small subset, validate the YAML afterward, and confirm that links, dates, lists, and tags still parse as intended.
8. A repeatable daily workflow
- Capture: create a note and insert the closest template, or choose a blank note for an unusual idea.
- Classify: confirm the note’s type and stable metadata in properties.
- Tag: add only the topics you expect to search, using an existing hierarchy where one fits.
- Write: keep prose and formatted explanations in the body, not in properties.
- Connect: add internal links in the body or in a quoted property when the relationship is stable metadata.
- Review: periodically inspect property names and usage in Properties view, then correct drift in templates and notes.
This sequence separates capture from later cleanup. The template handles predictable setup, while your judgment remains responsible for choosing the right note type and meaningful tags.
Common failure modes and fixes
Expecting a template to reorganize old notes
Symptom: inserting a template does not detect headings or assign metadata to an existing collection. Fix: use the template when creating or intentionally editing a note; for a vault-wide change, plan a backed-up external edit or a suitable community plugin.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →Dates appear as literal template text or are changed unexpectedly
Symptom: a date variable is overwritten or displayed incorrectly in the properties panel. Fix: quote the variable in YAML and edit the template in Source mode, or set Properties in document to Source as advised in the Templates documentation.
Best Value
One property has several meanings
Symptom: searches for a field return unrelated values such as workflow states and subjects. Fix: restore one meaning per property; move topic labels to tags or create a clearly named field.
Properties contain long formatted prose
Symptom: YAML becomes difficult to read or fails to behave like structured data. Fix: keep the property atomic and move the explanation into a normal heading and paragraph.
Tags multiply into near-duplicates
Symptom: searches must include several spellings for the same concept. Fix: choose one spelling and case convention, consolidate the hierarchy, and update templates so new notes use the preferred form.
Free tools Windows power users keep installed
One-click scans. No signup required.
Bulk edits damage metadata
Symptom: links, indentation, or dates stop parsing after a scripted change. Fix: restore the backup, test on a small copy, and validate each YAML block before repeating the operation.
When to use built-in tools or external automation
| Need | Built-in workflow | External tool may be needed |
|---|---|---|
| Create consistent new notes | Templates with variables and properties | Not necessary |
| Inspect property names and usage | Properties view | Not necessary |
| Rename a property across the vault | Properties view supports renaming | Check templates and searches manually afterward |
| Edit many existing property values at once | Not supported in the built-in interface | VS Code, a script, or a maintained community plugin, with backups |
| Classify arbitrary existing prose automatically | Not established by the Templates documentation | A separate, carefully tested workflow would be required |
External automation is a choice for migration or scale, not a prerequisite for a dependable daily system. Start with the built-in workflow; add external tooling only when the maintenance task is clearly defined and reversible.
A practical decision checklist
- Does this note type recur often enough to justify a template?
- Which values have a stable meaning and a predictable type?
- Which topics need flexible, cross-cutting search?
- Can every property be kept short, atomic, and valid YAML?
- Will a nested tag hierarchy improve retrieval, or merely add labels?
- Have the template and searches been updated after a schema rename?
- Do you have a backup before any broad external edit?
If the answers remain clear, your vault can grow without requiring every note to be manually redesigned. Templates standardize the first minute of note creation, properties preserve structured context, and tags keep discovery adaptable.
