To audit email sent by an AI agent, link the request and authorization to the agent’s action and the exact message delivered. Preserve enough evidence to identify the agent and sender account, who or what initiated the task, the approval or policy decision, recipients, message and attachments, send outcome, and any follow-up review. Then compare the sent email with the request and approved version, checking recipient scope, accuracy, sensitive data, links, and attachments.
Do not assume an AI interaction log contains a copy of the email. AI activity, mail-platform events, and message copies may be separate records; verify what your configured services actually capture, who can access it, and how long it is retained.

What an audit of an AI-sent email needs to establish
A useful review should answer three related questions: was the agent authorized to send this message, what exactly did it send and to whom, and what happened afterward? A mail event that says a message was sent may establish some transaction details without explaining the agent’s instructions or authority. An agent trace may show tool calls or accessed resources without proving what the mail system ultimately delivered.

Keep those evidence sources joinable with a stable message or transaction identifier where possible. NIST’s exploratory agent-identity work raises the challenge of binding an agent’s identity to human authorization and verifiable audit evidence; it is not a finalized standard for email agents. NIST’s agent identity concept paper discusses the design questions, including identity, delegation, least privilege, and prompt-injection mitigation.

Define the agent’s authority before it sends
Document the boundaries of the agent’s permission rather than treating access to a mailbox as blanket authority. Record which sender identity it may use, who can delegate that access, which recipient classes are permitted, and which message types or content require human approval. Keep permissions as narrow as the workflow allows, and preserve changes to the agent’s configuration so a later reviewer can determine what rules applied at the time.
Inbound email, attachments, and linked content should be treated as untrusted input. An agent that can act on such content may encounter prompt-injection attempts, including indirect instructions embedded in material it reads. Constrain its tools and recipient scope, and route unusual or sensitive sends to a human. The appropriate safeguards depend on the deployment; NIST’s concept paper frames these as open design concerns rather than prescribing a finished control set.

These are practical audit-field recommendations, not a guarantee that a particular platform captures every item automatically. Microsoft’s AI audit documentation describes interaction information, user and time details, resource references, and agent identifiers. Its activity catalog separately lists activities such as “Sent message” and communication-compliance events. Available detail depends on the product, configuration, and audit surface.
Approve the exact version when risk warrants it
For a message that could cause material harm if sent incorrectly, show the reviewer the sender identity, exact recipients, subject, body, attachments, and any sensitive-content or policy flags before sending. Record who approved it, when, and what decision they made. Approval should apply to the version displayed: if the agent later changes recipients or materially edits content, route the revised message for approval again.
This is a risk-control recommendation, not a universal NIST requirement. The rationale is that reviewers need to be able to connect a human authorization to the agent and the action that actually occurred. NIST’s AI Risk Management Framework offers voluntary, context-dependent governance and human-oversight concepts for defining roles and responsibilities; it is not an email-agent checklist.

Review sent messages for scope, content, and outcome
For exception-driven reviews and periodic samples, compare the delivered message with the user’s request and any approved draft. Check both the content and the surrounding action:
- Were the recipients expected and within the agent’s permitted scope, including Cc and Bcc?
- Does the message make unsupported factual claims or misrepresent the user’s request?
- Does it disclose confidential business information or personal data that should not have been sent?
- Are attachments and links expected, safe, and consistent with the approved message?
- Was the message sent more than once, at an unusual volume, or from an identity outside the agent’s authorization?
- Did delivery succeed, fail, or trigger a retry, and does that outcome match what the workflow reported?
Preserve the original event and document any correction or incident response so the audit trail shows what was sent and what was done next. NIST SP 800-12, Chapter 18 describes post-event, periodic, and near-real-time review and explains that reviewers need an understanding of normal activity to identify anomalies.
Choose review timing based on risk
There is no universal daily or weekly schedule for AI-generated email. Match review timing to the potential harm of an incorrect send, message volume, how quickly a problem must be detected, and the staff available to investigate. A practical pattern is pre-send approval and prompt alerts for higher-impact messages, with periodic sampling for routine lower-risk traffic. Reassess the cadence after incidents or workflow changes.

NIST SP 800-12 discusses periodic and near-real-time analysis, while noting that manual real-time review is generally impractical for large-system volumes. Its guidance does not set a fixed schedule for AI-agent email; choose a schedule for your environment rather than presenting one as a standard.

Three evidence sources often work together. Their records are not interchangeable, so confirm what each one provides in your tenant and connect them with identifiers where possible.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitches| Evidence source | Useful for | Limitations to verify |
|---|---|---|
| Mail-platform audit events | Establishing who sent a message, when, and certain related administrative or compliance events. | An event may provide metadata rather than a complete message copy; event names and detail vary by platform, license, and configuration. |
| Message monitoring or journaling | Retaining or routing copies of messages, potentially including attachments or drafts. | Requires administrator setup and careful controls for access, retention, and privacy; features vary by environment. |
| Agent or application trace | Understanding agent identity, tool calls, accessed resources, and workflow context. | May not be the record of final delivery or contain the complete email; connect it to mail records with stable IDs. |
Microsoft documents AI interaction and accessed-resource information separately from sent-message activity types, so do not infer that an interaction record is a full copy of the resulting email. Google’s Email Audit API describes administrator-configured monitoring that can forward copies of selected users’ sent and received messages, including attachments, with full-message or header-only copies; draft auditing is optional. Confirm current availability, configuration, and policy implications in the Workspace environment before relying on it.

Test logging, access, and retention
Use a controlled test message in a non-production or otherwise approved workflow. Confirm that reviewers can locate it by agent, mailbox, time, and message identifier, and retrieve the details needed for investigation. Verify who can access message content, how records are exported, and when they are deleted. Restrict access to message content because email can contain sensitive personal or business information, while retaining enough evidence to investigate and demonstrate authorization under applicable organizational and legal requirements.
Retention periods are product- and configuration-specific. Microsoft states that certain non-Microsoft AI application interaction logs require pay-as-you-go enablement and are retained for 180 days under the described configuration. That is a documented scope-specific retention detail, not a general email retention rule; billing and coverage differ for Microsoft applications. Check the applicable Microsoft AI audit documentation and your own tenant settings before relying on it.
Microsoft’s Purview AI compliance overview describes audit, communication-compliance, eDiscovery, and retention or deletion capabilities for supported AI-application contexts. Do not assume every capability applies to every provider or deployment.

Use email security controls alongside agent review
Authentication and encryption help protect email, but they do not show that an agent had authority to send a particular message or that its content was correct. NIST SP 800-177, Trustworthy Email recommends domain-authentication mechanisms including SPF, DKIM, and DMARC, TLS for transmission, and S/MIME for content encryption and authentication. Treat these as complementary safeguards: they address email security properties, while agent auditing must also establish authorization, scope, and the actual message sent.
