What ArchiveBox can preserve
ArchiveBox is a self-hosted application for saving website content. You can submit URLs individually or arrange recurring imports from sources such as bookmarks or feeds. Its documented outputs include original HTML, CSS and JavaScript; single-file HTML; PNG screenshots; PDF; WARC; and metadata such as title, article text, favicon and headers. It can be used through a command line, REST API, web interface, Python API or filesystem.

Plan the capture before importing URLs
Set a narrow scope
Write down the department or agency, domain, specific pages and notices, language versions, and date range that matter. For a time-sensitive item such as a tender or recruitment notice, record its exact URL and capture date. Prefer official domains and retain the URL as provenance; Government of India website guidance identifies the site URL as an authenticity indicator.

Review the site’s rules
Before automated capture, review the particular site’s terms, copyright and privacy notices, content archival policy, and access directives such as robots.txt. General government guidance does not grant blanket permission to crawl every site or reuse its content. Whether a particular automated capture is permitted depends on the site’s applicable rules and circumstances.
Start with a small pilot
Install and operate ArchiveBox using its current documentation rather than relying on an unverified command copied from an older guide. Import a few representative URLs first. Inspect the resulting files and note missing pages, broken resources, login barriers or dynamic elements before deciding whether to expand the collection.

Capture and organize useful representations
Use the ArchiveBox workflow documented for your installation to add the URLs in scope. Where the collection’s configuration allows it, retain a preservation-oriented copy such as WARC alongside convenient versions such as HTML, PDF or screenshots. The formats serve different purposes: rendered files can be easier to consult, while WARC is a portable web-archive format. Keeping multiple representations is a practical preservation choice, not proof that all of them contain every page resource.
Keep a short catalog with each capture batch: source URL, capture date and time, department or site, scope, language, and any known omissions or access restrictions. ArchiveBox documents metadata outputs such as titles and headers; the additional catalog details are useful provenance notes to maintain with your collection.

Keep a separate copy and check it
A self-hosted collection gives you local control, but a single copy remains vulnerable to drive failure, accidental deletion or other loss. Maintain a separate duplicate—for example, on an offline external drive—and periodically open representative captures from both copies. Government website policy guidance contemplates moving older material to offline archives, but it does not specify a consumer drive or storage capacity; choose storage based on the size of your own collection and backup plan.
What a personal capture does—and does not—establish
A snapshot can help preserve what the capture process retrieved from a URL at a particular time. It does not, by itself, establish that the capture is complete, that every embedded item is authentic, that it is legally admissible, or that it is an official government record. The National Archives of India describes its role as custodian of Government of India records of enduring value and refers to responsibilities under the Public Records Act, 1993 and Public Records Rules, 1997. That institutional remit is not evidence that arbitrary personal website crawls are accepted as official archives or satisfy statutory obligations.

The Government of India’s GIGW policy template says departments must define how long older content remains online, when it moves to offline archives, and if or when it may be deleted or purged. GIGW guidance also says expired announcements, tenders, recruitment notices, news and press releases should be removed or archived according to the approved policy, with expiry dates for time-sensitive content. These requirements concern institutional website management; a personal ArchiveBox collection is not a substitute for the responsible department’s policy or records process.
