Treat the export as a source to inspect, query, or index: analyze it with local tools, retrieve only relevant records or passages, then ask the model a focused question about that evidence. The right path depends on whether the export is structured data, documents, or a mixture—and on what your privacy and account limits allow.
Why an uploaded file is not the same as prompt context
File acceptance, indexing, and model context are separate limits. A service may store or index a large file, then give the model only selected text or retrieved passages for a particular question. Uploading a file therefore does not mean every byte is read at once or available to every answer.

For example, ChatGPT Enterprise documentation describes a 128,000-token model context but says uploaded text does not all go into it. Its documented text-upload workflow can put up to 110,000 tokens from uploaded documents into context and send remaining text to a private search index. For a single document exceeding that amount, the initial text from the beginning contributes to context while the remainder is indexed. OpenAI says this feature is under active development and details may change, so these figures are specific to that documented workflow, not general ChatGPT limits or a guarantee for every plan. OpenAI Help Center: File Uploads FAQ
For an API-based retrieval workflow, OpenAI documents a 512 MB maximum file size and up to 5,000,000 tokens per file. Its default chunks are 800 tokens with 400-token overlap; configurable chunk sizes range from 100 to 4,096 tokens, and overlap cannot exceed half the chunk size. These are limits and defaults for that API workflow, not a universal way to handle any 12 GB export. OpenAI Retrieval documentation

ChatGPT Library documents different limits: 512 MB per uploaded file; up to 2 million tokens per text or document file; CSV and spreadsheet files of approximately 50 MB, depending on row size; and images up to 20 MB. Library storage allowances also vary by plan, and may differ from workspace storage. These figures are separate from API limits. OpenAI Help Center: Library
Google’s Gemini API documents a 50 MB limit for direct PDF input. Its separate File Search feature imports, chunks, and indexes files for retrieval; the documentation currently says it does not support audio or video. A limit for one input method does not automatically describe the limits of another. Google AI for Developers: Document processing and Google AI for Developers: File Search

Choose the analysis path that matches the export
| Export type | Best first move | What AI contributes | Main risk to check |
|---|---|---|---|
| Structured rows and fields, such as CSV, JSON, spreadsheets, or database dumps | Parse or load locally; inspect schema, count and profile records, then filter, group, join, or sample with a database or data tool. | Help formulate a query, explain its result, or interpret a small, traceable sample. | Using a language model for exact counts when a deterministic query can produce them more reliably. |
| Unstructured documents, such as PDF, DOCX, HTML, or text | Extract text while preserving structure and metadata; index it for keyword or semantic retrieval. | Find relevant passages and synthesize an answer grounded in the retrieved excerpts. | Retrieval can miss relevant material; a plausible answer is not proof that every matching document was found. |
| Mixed records and documents | Separate the data paths: query structured fields locally and index document text, keeping shared identifiers where possible. | Combine the results of explicit queries with selected passages for a bounded synthesis. | Losing links between records and documents, or mixing results that use different filters or time ranges. |
Prepare the export before asking questions
- Identify what you have. Record the format, whether it is compressed, encoding, schema, row or document count, and whether the 12 GB refers to one file or a folder. Note any sensitive or regulated data before moving it.
- Inspect locally first. For structured data, check fields, nulls, duplicate IDs, date ranges, and representative rows. For documents, extract text and retain filenames, page numbers, headings, timestamps, and other useful metadata. A mixed export may need both steps.
- Keep the source traceable. Preserve record IDs, filenames, page numbers, timestamps, and the filters or query conditions used. When you pass a result to a model, include those identifiers so it can point to evidence rather than give an untraceable summary.
- Reduce to the question. Compute exact counts and aggregates with local queries. For document questions, retrieve only relevant passages and inspect the original files when needed. Send the model the small result set or excerpts—not the entire export.
- Validate important findings. Re-run key counts and filters in the data tool. Check retrieved passages in the original document and nearby context. Semantic search can surface useful matches, but it does not establish that all relevant records were retrieved.
Ask bounded questions and verify the answer
A question such as “What happened in the export?” is too broad to verify. Define the population, operation, and output instead. For example, ask for a count of records by month using a specified date field and date range; request records matching a named condition with their IDs; or ask for passages discussing a specific issue, with filenames and page numbers.

First compute the counts or retrieve the passages; then ask the model to compare or explain those results. State what evidence it may use and what to do when evidence is missing—for example, require it to say when the supplied records do not support a conclusion. Check any consequential result against the local query or original source.

For structured files, the model may help write code or a query, but the executed query and its conditions should determine the count. OpenAI’s Enterprise file-handling documentation says JSON is treated as plain text in its text retrieval path and recommends instructing the model to use Code Interpreter to analyze JSON data. That is a reminder to match the tool to the operation: searching text is different from computing over structured values. OpenAI Help Center: File Uploads FAQ

Check limits, privacy, and repeat-use costs before uploading
- Limits and support: Confirm the exact service, account tier, file type, per-file cap, project or workspace cap, and indexing behavior. Limits can differ between direct input, a library, and an API retrieval workflow, and published behavior can change.
- Data controls: Check account settings, retention rules, access permissions, contractual terms, regional requirements, and organizational policy before transferring sensitive material. OpenAI’s Library documentation says individual-service files and chats may be used to improve model performance when “Improve the model for everyone” is enabled; it says workspace retention policy governs Enterprise, Edu, and Healthcare Library files. This is not a blanket privacy assurance. OpenAI Help Center: Library
- Cost and latency: Repeated searches may involve indexing and model usage, so compare the service’s current pricing and expected query volume before choosing a hosted workflow. Google says query-time storage and embedding generation are free for File Search, while embedding creation and normal model input/output costs apply as described in its documentation; verify current pricing before estimating a project. Google AI for Developers: File Search
- Local-only requirements: If policy does not permit uploading the source or derived excerpts, keep inspection, querying, and retrieval within an approved local or organizational environment. The hosted-service limits above do not establish a suitable local stack.
