What the Writing settings control
WordPress describes Settings → Writing as the administration screen for features used while adding and editing posts, Pages, and other post types, together with optional functions such as remote publishing, Post via e-mail, and Update Services. It is a configuration screen rather than a replacement for the editor. Changes made here generally establish defaults for future writing sessions; they do not provide a single place to revise every existing post.

Before changing anything, decide whether you need a site-wide default or a one-off change. A news site might want every new article to start in “News,” while an individual post may belong in “Interviews.” The first choice belongs in Writing settings; the second belongs in the post editor.
Open the Writing settings
- Sign in to your WordPress administration dashboard.
- In the left-hand administration menu, open Settings.
- Select Writing.
- Review the available sections before editing. The exact controls you see depend partly on the active theme and the features enabled on your site.
When WordPress accepts the page, it displays a confirmation after saving. If you leave the page without saving, your selections are not committed to the database.

Change the default post category
Default Post Category is the fallback category WordPress assigns when a new post has no other category selected. It is useful when your publishing workflow has a primary section and you want an uncategorized draft to land somewhere predictable.
Set the fallback category
- Open Settings → Writing.
- Find Default Post Category.
- Choose the category that should receive new posts when no different category is selected.
- Continue to any other changes, then click Save Changes.
This is a default, not a lock. In the editor, an author can select another category for an individual post. Changing the setting also does not recategorize older posts that already have a category.
What happens if the selected category is deleted?
WordPress uses the default category as a fallback when a category assigned to a post is deleted. Posts that were assigned only to the deleted category are moved to the current default category. Review the default after reorganizing your taxonomy so that this automatic reassignment sends posts to a sensible section.
Use a deliberate category policy
- Choose a broad, durable category rather than a temporary campaign label.
- Keep the default aligned with the section where an accidental uncategorized post can safely appear.
- After changing it, create a test draft and inspect its category before publishing.
Set the default post format
Default Post Format appears only when the active theme supports WordPress post formats. If the control is missing, that is normally an indication that the theme has not declared post-format support; it is not a setting you can reveal by changing another Writing option.
Choose a format when the control is available
- Stay on Settings → Writing.
- Locate Default Post Format.
- Select the format that should be preselected for a new post, such as Standard, Aside, or Gallery, if those choices are offered.
- Click Save Changes.
A format is not merely a label. The active theme determines how each format is presented, including its layout and which content elements receive emphasis. Two themes can display the same format differently, and a theme that does not support formats will not show this control at all.

Why changing themes can change the available formats
Post-format support belongs to the theme. Switching to a theme that does not support formats removes the Writing-screen control, while switching to a theme that supports them can make it appear. Existing content is not automatically redesigned to match a new theme’s interpretation, so preview a theme before adopting a format-heavy workflow.

Post via e-mail is optional. It lets WordPress turn messages received by a configured mailbox into posts, but it requires more than entering an ordinary personal e-mail address. WordPress documentation says you must set up a secret e-mail account with POP3 access.
Information the screen requests
The Post via e-mail section asks for the connection details WordPress needs to retrieve messages:
- Mail server
- Port
- Login name
- Password
- Default mail category
Your web host or e-mail provider may need to supply the server and port values or confirm whether POP3 access is enabled. WordPress documentation specifically notes that users will likely need help from their host or e-mail provider.
Safer setup practices
- Create a mailbox used only for publishing through WordPress; do not reuse a personal or administrator mailbox.
- Use an address that is difficult to guess and keep it secret. Anyone who can send accepted mail to the account may be able to create content, depending on the site’s configuration.
- Obtain the provider’s exact POP3 server, port, and authentication requirements rather than guessing them.
- Enter the credentials in the Post via e-mail fields and assign a default mail category.
- Send a controlled test message and verify the resulting draft or post before relying on the workflow.
- Remove or rotate the mailbox credentials if the account is exposed, abandoned, or no longer needed.
Do not enable this feature merely because it is present. If your team already publishes through the block editor or another controlled integration, leaving Post via e-mail unused avoids maintaining an additional credentialed publishing path.

Common Post via e-mail failures
- No message is retrieved: confirm that the mailbox supports POP3, the server and port are correct, and the login name and password are accepted by the provider.
- Authentication fails: ask the provider whether it requires a particular username format or has disabled password-based POP3 access.
- The post appears in the wrong section: check the Default mail category in Writing settings and then inspect the individual post’s category in the editor.
- You cannot verify the connection: contact the host or mail provider; WordPress cannot supply provider-specific server details.
Configure Update Services
Update Services lets WordPress notify services when a new post is published. This is another optional feature, not a requirement for ordinary publishing.
Enter service addresses correctly
- Open Settings → Writing.
- Scroll to Update Services.
- Enter each service URI on its own line.
- Review the entries for spelling and accidental spaces.
- Click Save Changes.
Only add addresses for services you intentionally use and that you trust. The Writing screen stores the list; the external service determines whether it accepts and acts on WordPress notifications. If you do not use update services, leave the section unchanged.
Save, verify, and test your changes
Click Save Changes after editing any Writing option. WordPress displays a confirmation when the values have been written to the database. A confirmation proves that the settings were saved, not that an external mailbox or update service is functioning.
A practical verification sequence
- Save the page and wait for the confirmation message.
- Reload Settings → Writing and confirm that the selected category, format, and service entries remain in place.
- Create a new draft and inspect its category and, where supported, its post format.
- If you configured Post via e-mail, send a test message using the dedicated mailbox and check the resulting post’s status and category.
- Publish a low-risk test post only when you need to confirm an Update Service notification.
Testing a draft distinguishes a saved default from an editor override. An author may have selected a different category or format in the post itself, so a single post is not always a reliable test of the global setting.

Global defaults versus controls for one post
The most common source of confusion is looking for a per-post setting on the global Writing page, or expecting a global default to overwrite an existing article. Use this comparison to choose the right interface.

WordPress’s Page/Post Settings sidebar is where you adjust an individual post’s categories, tags, discussion options, status, visibility, schedule, and supported format. Those controls affect the post currently open, not every future post.

If your problem is that a panel is missing from the editor, changing Writing settings may not help. Block Editor Preferences controls which editor panels are shown and can enable a pre-publish checklist. These preferences address the interface a user sees while editing; they are distinct from the site-wide defaults on Settings → Writing.
Choose the right fix
- Use Writing settings for a default category, supported default format, Post via e-mail, or Update Services.
- Use the post’s Settings sidebar to change taxonomy or publishing details for one article.
- Use Block Editor Preferences when a panel or checklist is missing from the editing interface.
Troubleshoot missing or unexpected controls
“I cannot find Settings → Writing.”
Make sure you are in the administration dashboard rather than the public site or the editor-only view. If the Settings menu itself is unavailable, your account may not have the administrative access required to change site-wide options; ask a site administrator to make the change.
“Default Post Format is not displayed.”
Check the active theme. WordPress hides this control when the theme does not support post formats. The absence of the field is therefore different from an unsaved change. If formats are important to your workflow, confirm theme support before building templates around them.
“My existing posts did not change category.”
Default Post Category is a fallback for new posts, not a bulk-edit command. Change the category from each post’s editor sidebar or use an appropriate bulk-edit workflow in the administration area.
“The post has the wrong format or category.”
Inspect the individual post’s Settings sidebar. A per-post selection overrides the default for that article. Also confirm that you saved the global setting and that you are creating a genuinely new post rather than reopening an older draft.
“Post via e-mail does not work.”
Recheck all five connection fields, confirm POP3 access with the provider, and verify that the mailbox is the one WordPress is configured to read. If the provider requires a special authentication method or has disabled POP3, the host or provider must resolve that limitation.

Verify that every URI is on a separate line and was entered exactly as supplied by the service. The Writing page can save the list, but it cannot guarantee that an external service is available or accepts notifications.
A decision guide for common workflows
Single-author blog with one main section
Set the main section as Default Post Category, leave Post via e-mail disabled unless you truly need mailbox publishing, and use the editor sidebar for occasional exceptions. This keeps accidental uncategorized drafts in a predictable place without adding another publishing credential.
Magazine with several departments
Choose the department that should catch an unclassified article as the default category, then require editors to confirm the category in the post sidebar before publishing. If the theme supports formats, select the format that best matches the majority of new stories and change outliers individually.
Remote contributor who must publish by e-mail
Create a dedicated secret POP3 mailbox, obtain the provider’s exact connection details, configure the default mail category, and test with a non-sensitive message. Keep ordinary editorial work in the editor unless the e-mail route solves a specific access problem.
Site that uses external notification services
Enter only the service URIs your team actively maintains, one per line. After saving, perform a controlled publication and check the external service rather than assuming that a saved address confirms delivery.
Writing-settings checklist
- Open Dashboard → Settings → Writing.
- Choose a durable Default Post Category.
- Confirm whether the active theme exposes Default Post Format.
- Enable Post via e-mail only with a secret POP3 mailbox and verified provider details.
- Enter Update Services URIs one per line, only when needed.
- Click Save Changes and look for WordPress’s confirmation.
- Create a test draft to verify defaults.
- Use the editor sidebar for one-post categories, tags, discussion, status, visibility, scheduling, and supported format.
- Use Block Editor Preferences for editor-panel visibility and the pre-publish checklist.
What to remember
The Writing screen is the home for site-wide writing defaults and a few optional publishing services. The default category provides a fallback, post-format choices depend on the active theme, Post via e-mail requires a secret POP3 account and provider credentials, and Update Services accepts one URI per line. Save the page, verify the confirmation, and make article-specific decisions in the editor rather than trying to force every change through the global settings.
