Add a website screenshot when it helps readers verify a visual change, understand a blocker, or see the current state of a page. Capture only the view needed, check it for private information, make sure it remains legible, and include descriptive alt text plus a written explanation of the status.
Choose what the screenshot needs to prove
Start with the status claim, then choose the smallest image that makes it clear. A screenshot can show a completed interface change, a visual regression, a page that is not loading, or the state of work in progress. Skip decorative captures and images that merely repeat nearby text. OpenProject recommends using screenshots sparingly when they add value, and GitHub notes their maintenance and load-time costs (OpenProject guidance; GitHub Docs).

- Use a viewport capture when the relevant evidence is visible in the browser window.
- Use an element capture when one component, such as a menu or form, is the point of the update.
- Use a full-page capture when the status depends on content farther down the page.
Playwright documents all three scopes—viewport, element, and full page—and identifies visual layout verification and bug documentation as screenshot uses (Playwright screenshots).
Capture, crop, and review the image
- Open the page in the state you want to report. Confirm that the URL, account, and environment are appropriate for the audience; avoid including unrelated browser or application content.
- Capture the required scope. Choose viewport, element, or full page according to the evidence needed. For full-page captures, inspect the whole image after capture rather than assuming that everything rendered correctly.
- Crop unrelated space. Remove blank areas and interface elements that do not help explain the update. Retain enough context to identify what the page or component is, and keep framing consistent with other images in the report.
- Check legibility at the size readers will see. If text or controls are too small in the report, recapture a tighter area or provide a larger image.
- Inspect every part of the capture for private data. Check browser chrome and background areas as well as the page itself. Remove usernames, email addresses, or other personal information that readers do not need. Mozilla Support advises removing personally identifiable information from screenshots (Mozilla Support).
Insert it and explain the status in text
Use the report platform’s image insertion or attachment feature, then add a concise alternative text description that tells readers what matters in the image. Avoid using only “screenshot” as the description. Microsoft’s SharePoint guidance says alt text should be brief but descriptive and includes adding alt text when inserting an image (Microsoft Support).
#1 Best Overall
- 1 ream (500 sheets) of 8.5 x 11 white copier and printer paper for home or office use
- Multipurpose letter size copy paper works with laser/inkjet printers, copiers and fax machines
- Smooth 20lb weight paper for consistent ink and toner distribution; dries quickly and resists paper jams
- Bright white paper (92 GE; 104 Euro) offers great contrast for crisp printing and vivid color
- Virgin copy paper providing professional quality results; acid-free to prevent yellowing
Keep the status, impact, and any required next step in the report’s ordinary text too. Do not make readers rely on the image alone to understand the update. For a complex image, add a longer explanation in surrounding text; Google’s accessibility guidance recommends a long description when an image needs more than concise alt text (Google developer documentation).
Use the insertion method that fits your report platform
SharePoint Online
Microsoft’s documented workflow is to edit the page, place an image, choose its source (a computer, web address, or SharePoint location), enter alt text, and save. Labels and exact UI placement can change, so follow the current editor’s image controls rather than relying on a fixed click sequence (Microsoft Support).

Azure DevOps project summary
An Azure DevOps project summary can display a repository README or project wiki home page. A README can include images using Markdown, making it one option for presenting project updates; it is not a requirement for every status report. See Microsoft Learn’s project summary guidance.
Other report editors
For a different platform, use its image insertion or attachment feature and confirm that the image remains available to the report’s intended readers. Exact permissions and interface labels depend on that platform.

Capture with Playwright when the report is generated from a project
For a repeatable, automated capture in a JavaScript project, Playwright can save a viewport or full-page screenshot, or capture a selected locator. This example assumes Playwright is already installed and that the project can launch Chromium:
import { chromium } from 'playwright';
const browser = await chromium.launch();
const page = await browser.newPage({ viewport: { width: 1440, height: 900 } });
await page.goto('https://example.com', { waitUntil: 'networkidle' });
await page.screenshot({ path: 'status-page.png', fullPage: true });
await browser.close();
Replace the example URL with the page being reported. To capture an element instead, locate it and use the locator’s screenshot method; for example, await page.locator('main').screenshot({ path: 'status-main.png' });. To capture only the current viewport, omit fullPage: true. Playwright’s documentation covers these capture options and their configuration (Playwright screenshots).

For a one-request capture, ScreenshotNeo returns a screenshot or PDF from a URL. Its API can accept consent banners and remove more than 60 known consent platforms, newsletter popups, and chat widgets before capture; each cleanup step can be turned off. Bot checks, blank pages, timeouts, failed loads, and cache hits are not billed, with verdict and billing information in response headers. It also provides an MCP server with screenshot, page-info, and PDF tools for AI agents.
Example cURL request (save an image as WebP):
curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://example.com -o shot.webp
See the ScreenshotNeo API documentation for authentication and capture options. The free plan includes 1,000 screenshots per month with no card; paid plans start at $5 for 3,000 screenshots. Learn about ScreenshotNeo or sign up for 1,000 free screenshots a month with no card.

Recheck an image when the website or interface changes. A stale capture can misrepresent the current project state, while repeated screenshots add maintenance and load-time overhead. OpenProject and GitHub both point to the need to use screenshots selectively and maintain them as relevant content changes (OpenProject guidance; GitHub Docs).
Quick Recap
Best Value

- Multipurpose letter size copy paper works with laser/inkjet printers, copiers and fax machines
- Smooth 20lb weight paper for consistent ink and toner distribution; dries quickly and resists paper jams
- Bright white paper (92 GE; 104 Euro) offers great contrast for crisp printing and vivid color
- Virgin copy paper providing professional quality results; acid-free to prevent yellowing
Troubleshooting
- The image is hard to read: crop closer to the relevant area or recapture at a size that remains legible in the report.
- Readers cannot tell what changed: add a concise alt text description and state the status and impact in the surrounding report text.
- Private details appear: inspect the full image, including browser and background areas, and remove unnecessary personal information before sharing.
- The capture omits content lower on the page: use a full-page capture and inspect the resulting image for missing or incorrectly rendered content.
- The screenshot no longer matches the site: recapture it after the interface changes, or remove it if it no longer supports the status claim.
