Add vacation time to your Outlook calendar so you (and coworkers) can clearly see when you’re away. Depending on your setup, you can do this as a simple all-day event, a recurring time-off block, or an Out of Office workflow that ties into Microsoft 365 Exchange.

This guide covers the exact clicks and labels for Outlook for Windows, Outlook for Mac, Outlook on the web, and Outlook mobile. You’ll also find fixes when your vacation doesn’t appear, shows up on the wrong day, or syncs incorrectly.

What it Means to Add Vacation in Outlook

In practical terms, “adding vacation” usually means one of these:

#1 Best Overall
ComplyRight 2027 Full Vacation Schedule (36" X 24")
  • HR & EMPLOYEE MANAGEMENT: Track vacation scheduling and time off for up to 31 employees for a full year with the convenient 2027 Full Vacation Schedule. The format makes it easy to spot overlaps and avoid conflicts in productivity.
  • TIME AND ATTENDANCE: This flexible, calendar format scheduling tool is the perfect size for your office or break room wall. It conveniently marks legal public holidays for the company to have on hand.
  • WALL CALENDAR: This reusable schedule allows employees to mark the leave and return date on a dry-erase surface with the included black dry-erase marker. The lamination is durable to avoid peeling and discoloration for long-lasting use.
  • PACKAGING/DIMENSIONS: This Full Vacation Schedule is laminated for durability and measures 36” x 24”. Time off can be tracked for a full year for up to 31 employees.
  • Federal Compliance Forms: Free your business from the burden of complex federal, state, and local employment law management with professionally verified, government-compliant tax forms, HR products, and more
  • An all-day event (or a timed block) that marks your availability as Free or Out of office/Busy.
  • A recurring block for repeating days like weekly planned time off or seasonal breaks.
  • An Out of Office configuration that enables automatic replies, sometimes accompanied by a calendar state that indicates unavailability.

Which one you choose affects how others see your availability, how your calendar syncs, and whether you get automatic email responses.

Before You Start: Prerequisites and Settings

Before you create the vacation entry, confirm a few basics. They’re the difference between a clean result and a calendar mess.

1) Know which Outlook you’re using

  • Outlook for Windows (New Outlook or Classic Outlook)
  • Outlook for Mac
  • Outlook on the web at outlook.office.com
  • Outlook mobile (iOS and Android)

2) Check your account type

  • Microsoft 365 / Exchange: Out of Office features are typical.
  • Outlook.com: Out of Office is usually available, but behavior can vary.
  • IMAP/POP accounts (less common for modern Outlook calendars): automatic replies may not work the same way.

3) Confirm your calendar and permissions

Make sure you’re editing the calendar you expect (usually your default Calendar). If you’re managing a shared mailbox or someone else’s calendar, permissions can block changes.

Method 1: Add Vacation as an All-Day Event (Calendar Time Off)

This is the most reliable method. You’ll create an all-day event for each day (or a multi-day event) and set the availability so others know you’re away.

Outlook for Windows (New Outlook and Classic Outlook)

Use this when you want vacation shown immediately on your calendar and marked as a full-day block.

  1. Open Outlook on your Windows PC.
  2. Go to Calendar (left side).
  3. Select the date range you’re off (drag across days) or click the start date.
  4. Choose New event (sometimes shown as New or a plus icon).
  5. Set Event or Title to something like Vacation or OOO – Vacation.
  6. Set All day to On.
  7. For multi-day: set the Start date and End date to match your time off. (With all-day events, the end date behavior can differ by client—see troubleshooting below.)
  8. Set Show as to Out of office or Busy (wording varies by version).
  9. (Optional) Add details in Description, like who covers urgent issues.
  10. Click Save.

Pro detail: If you see “Out of office” as a show-as option, use it. It’s designed for time-off visibility.

Outlook for Mac

This creates a clean all-day vacation entry in your Mac calendar that stays consistent with your Microsoft 365/Exchange sync.

  6. Set Start and End dates.
  7. Set Show as to Out of office (or Busy).
  8. Add a Description if you want coverage details.

Outlook mobile (iOS and Android)

Mobile makes it easy to add vacation quickly, but double-check dates—mobile clients can interpret end dates differently if you switch between all-day and timed.

  1. Open the Outlook app on your phone.
  2. Tap Calendar.
  3. Tap the + (Add) icon.
  4. Choose Event.
  5. Set a title like Vacation.
  6. Turn All day On.
  7. Set the start date and end date.
  8. If you see Show as, select Out of office or Busy.
  9. Tap Save.

Method 2: Add a Recurring Vacation Block (Repeated Time Off)

If your vacation repeats—like a monthly clinic day, a weekly scheduled absence, or a seasonal recurring week—you can reduce manual edits with a recurrence rule.

Outlook for Windows

  1. Open Outlook and go to Calendar.
  2. Click New event.
  3. Set the title (for example, Vacation – Recurring).
  4. Toggle All day to On.
  5. Set your Start and End dates.
  6. Find and select Recurrence (sometimes a repeat icon).
  7. Choose the pattern (examples): Weekly, Monthly, or Yearly.
  8. Set Ends to a date or choose No end date if your org supports it.
  9. Set Show as to Out of office or Busy.
  10. Click Save.

Outlook on the web

  1. Open outlook.office.com → Calendar.
  2. Click New event.
  3. Set Title and turn All day On.
  4. Set your dates.
  5. Click Does not repeat.
  6. Select your recurrence (weekly/monthly/yearly), plus the weekday or month options.
  7. Set the end condition under Ends.
  8. Set Show as to Out of office or Busy.
  9. Click Save.

Method 3: Add Vacation Using an Out of Office Workflow (Exchange/O365)

If you need automatic replies, use Out of Office. Depending on your organization settings, Out of Office may also reflect availability changes in the calendar.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Where Out of Office Stores Time Off

With Microsoft 365/Exchange, Out of Office is typically configured via mail settings (automatic replies). Some tenants integrate this with calendar free/busy state; others rely on your manual calendar event. Don’t assume both happen automatically—verify your calendar’s “Show as” state after enabling Out of Office.

Outlook for Windows

  1. Open Outlook.
  2. Go to File → Automatic Replies (Out of Office).
  3. Select Send automatic replies.
  4. Check Only send during this time range and set start and end dates.
  5. Enter your message for Inside my organization.
  6. (Optional) Enter Outside my organization message if you want external recipients to receive replies.
  7. Click OK.

If your calendar needs a visible time-off block too, combine Out of Office with Method 1 (the all-day event).

Outlook on the web

  1. Go to outlook.office.com.
  2. Click Settings (gear icon).
  3. Choose Mail → Automatic replies.
  4. Select Turn on automatic replies.
  5. Set a time range: choose Send replies only during a time period.
  6. Enter messages for Inside my organization and Outside my organization if desired.
  7. Click Save.

Outlook mobile

Mobile experience varies by account type and app version. If you don’t see an Out of Office control in the Outlook app, configure it from the web (outlook.office.com) or your Microsoft 365 settings page.

  1. Open the Outlook app.
  2. Go to Settings.
  3. Look for Automatic replies or Out of Office.
  4. If available, set the date range and message.
  5. Save changes.

Method 4: Use a Vacation Template via Microsoft Lists or Scheduling Tools (Optional)

If your organization already uses a structured time-off process (approval forms, a “request vacation” flow, or a resource scheduling system), you may want to generate calendar blocks from that workflow instead of creating entries manually.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

In practice, this typically means one of these setups: a shared “time off” calendar where entries are posted, a scheduling automation that writes events into your mailbox calendar, or a process that exports into Outlook via admin tooling. If you’re in a managed enterprise environment, check with your admin for the approved method.

Setting the Right Details: Duration, Time Zone, Categories, and Visibility

Most problems aren’t about creating the event—they’re about what’s inside it. These settings determine whether the vacation shows correctly and whether meetings treat you as unavailable.

All-day vs timed blocks

  • All-day: Best for true full-day absence. It blocks a whole day without implying specific hours.
  • Timed: Use when you’re away for a specific window (for example, 1:00 PM–5:00 PM).

If you switch between all-day and timed accidentally, the end date and “Show as” behavior can shift.

Time zone gotchas

If you travel or your device time zone differs from your mailbox time zone, Outlook can render events on the “wrong” date. This is especially noticeable for timed blocks.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • For all-day vacation: time zone impact is usually minimized.
  • For timed vacation: verify the event time zone or switch to all-day if it’s truly a full-day absence.

Marking as Free/Busy and choosing a category

To help others interpret your status, set Show as to Out of office (or Busy). Then consider adding a Category like Vacation, OOO, or Time Off so sorting and searching stays easy.

Sharing and Permissions: If Your Calendar is Not Fully Editable

If you can’t add the vacation event, permission issues are the most common cause. This often happens with shared calendars, delegated mailboxes, or team calendars.

  • Confirm you’re editing your correct calendar (default Calendar vs a shared calendar).
  • Try creating the event in Outlook on the web. Web is often clearer about whether you lack “edit” rights.
  • If the calendar is shared, ask your admin for Editor permissions.

Sync and Troubleshooting (When Vacation Doesn’t Show Up)

If your vacation isn’t showing (or shows incorrectly), don’t keep creating duplicates. Fix the sync and then correct the single event.

Common issues

  • The event appears on the wrong day (often end date or time zone behavior).
  • The event is created twice after switching clients.
  • Show as stays Free even though you selected Out of office.
  • Changes don’t reach the mobile device.
  • Out of Office is enabled but meetings still invite you (meaning availability didn’t update or wasn’t set in your calendar event).

Fixes to try

  1. Verify on the web first: Create or edit the vacation in outlook.office.com, then check how it displays.
  2. Refresh/restart the Outlook client: close and reopen Outlook, then force a refresh/sync.
  3. Check “All day” and end date: For multi-day all-day events, some clients treat the end date as inclusive/exclusive. If your vacation appears one day short/long, edit the end date to correct it.
  4. Confirm “Show as”: Open the event and re-check Show as. Save again.
  5. Remove duplicates: If you see multiple similar events, delete extras and re-create one clean block.
  6. Reconfigure the account (last resort): If mobile doesn’t sync, remove the account from the app and add it again (only do this if your org policy allows).

If you need others to know you are unavailable

Make sure the calendar event is marked as Out of office (preferred) or Busy. Then, if your org uses scheduling policies, confirm meeting requests respect that status.

If you want automatic replies and a calendar marker

Enable Automatic replies (Out of Office) and also create the calendar event. This double approach ensures both email responders and calendar visibility work, even if your tenant doesn’t automatically sync availability.

Common Mistakes to Avoid

  • Leaving Show as as Free: That defeats the purpose for meeting scheduling.
  • Accidentally creating a timed event when you meant all-day time off.
  • Wrong end date on multi-day all-day events (especially when you edit from different clients).
  • Creating vacation on the wrong calendar: For example, an additional calendar you don’t share or that doesn’t drive free/busy.
  • Enabling Out of Office but not adding the calendar block: Automatic replies won’t necessarily show your unavailability for scheduling.

FAQs

Will adding a vacation event stop meeting invites?

It should affect scheduling because your calendar will show Busy or Out of office. However, meeting requests depend on how your org’s Outlook and scheduling policies handle conflicts.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do I make my vacation show as Out of office?

Open the event and set Show as to Out of office (or Busy if Out of office isn’t available). Then click Save and verify it on outlook.office.com.

My all-day vacation shows up one day early/late. What’s wrong?

This is usually an end-date interpretation or time zone issue. Edit the event and adjust the End date. If it started as a timed event and you switched to all-day, convert it carefully and re-save.

Can I add vacation to a shared mailbox calendar?

Yes, if you have the right permissions. Without edit rights, you can view but not create. If you’re unsure, try creating the event from Outlook on the web to confirm permissions.

Does Out of Office automatically add a vacation event to my calendar?

Not always. Many organizations rely on you to create the calendar event manually. Enable Out of Office for email replies, then verify your calendar status so meetings treat you as unavailable.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Bottom Line

The most dependable way to add vacation to your Outlook calendar is creating an all-day event with Show as set to Out of office or Busy. It’s fast, clear for coworkers, and works consistently across Outlook clients.

If you also need automatic replies, turn on Automatic replies (Out of Office)—but verify your calendar event still shows the right availability. That combination covers both scheduling and communication.
