Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Accent marks (like é, ñ, and ü) matter in names, addresses, and professional messages. Outlook will happily send them—if you can enter the right characters.

This guide shows multiple reliable ways to add accent marks in Outlook in 2024, including keyboard layouts, Outlook/Office symbol insertion, Unicode, and AutoCorrect. Use the method that fits your workflow.

As an Amazon Associate I earn from qualifying purchases.

If you only want one fast fix, start with Method 2 (Insert Symbol) or your OS keyboard layout (Method 1). If accents keep turning into weird characters, jump to the troubleshooting section.

What accent marks are and why Outlook sometimes makes them harder

Accent marks are standard Unicode characters. The challenge usually isn’t Outlook itself—it’s how your keyboard input method and Office formatting settings handle text.

Depending on your setup, you might see accents “disappear,” show up as boxes, or type the wrong letter (for example, pressing a key that should make á produces a instead).

Before you start: prerequisites that prevent 90% of problems

  • Confirm your Outlook version: Windows desktop Outlook (classic), new Outlook for Windows, Outlook for macOS, or Outlook on the web.
  • Know whether you need accented letters in the subject line, body text, or both: some insertion tools work best in the body; keyboard input works everywhere.
  • Check your keyboard/language: missing diacritics often means you’re using the wrong layout (for example, US vs US-International).
  • Test in a blank message: quick tests avoid confusion caused by signatures, templates, or formatting.

Method 1: Use keyboard layouts that type accents directly (best for daily use)

If you type accents often (names, French/Spanish/German, etc.), changing your keyboard layout is the cleanest long-term solution. Your keys produce the accented character directly, no copy/paste needed.

Windows: switch to US-International or another layout

Windows includes layouts designed for diacritics, such as US-International. With it, you can type characters using a “dead key” (a key that waits for the next letter).

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Exact steps vary by Windows version, but the path is usually the same:

  1. Open Settings → Time & language → Language & region.
  2. Select your Windows display language and add/choose a keyboard layout.
  3. Add a layout like United States-International (or your language’s preferred diacritics layout).
  4. In Outlook, try typing a known pair, such as ´ + e for é.

macOS: use keyboard sources or press-and-hold options

On macOS, you can type accents by changing keyboard sources or using press-and-hold characters.

  1. Go to System Settings → Keyboard → Text Input.
  2. Add a keyboard source that supports diacritics (for example, an international keyboard).
  3. In Outlook, hold a key like e to see accented options, then click the one you want.

Quick examples (works when the layout is set correctly)

Examples vary by layout, but these common outputs are widely supported:

Accent Typical result What to press (layout-dependent)
Acute (´) á, é, í, ó, ú Dead key for acute + the vowel
Diaeresis (¨) ä, ë, ï, ö, ü Diaeresis dead key + vowel
Tilde (~) ñ, ã, õ Tilde dead key + letter
Caron (ˇ) č, š, ž Caron/“haček” dead key + letter

If your layout doesn’t behave as expected, don’t fight it—use Method 2 or Method 5.

Method 2: Insert symbols in Outlook (works even when your keyboard can’t)

Outlook integrates with Office tools that can insert accented letters as symbols. This is a reliable beginner option when you only need a few characters.

Windows desktop Outlook: Insert Symbol

In a message, place your cursor where the accent should go, then insert the character from the Symbol dialog.

Number keys part works fine, but the Function keys do not work】
  1. Open Outlook and start a new message.
  2. Click in the message body (or subject if your version supports it).
  3. Go to the ribbon: Insert → Symbol.
  4. Choose a character set (often Latin-1 Supplement or Latin Extended-A).
  5. Select the accented character (for example, é), then click Insert.

Because symbol lists vary by font and Office build, you may need to try a couple of font/character set options.

Tip: use a font that supports diacritics

If your chosen font doesn’t include a character, Outlook might show a blank box. Try switching to a standard font like Calibri, Segoe UI, or Times New Roman, then insert again.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Method 3: Use Unicode (copy/paste or type via Windows character tools)

Accented letters are Unicode characters. You can insert them by copying from a reliable source (like a character table) or by using OS character pickers.

Simple copy/paste workflow

  1. Find the correct character (use the cheat sheet later in this guide).
  2. Copy it (Ctrl+C on Windows, Cmd+C on macOS).
  3. Paste it into Outlook (Ctrl+V or Cmd+V).
  4. Optional: after you get it right once, paste the same pattern into future emails.

Why Unicode matters for reliability

Accents that are typed as actual Unicode characters will display correctly for most recipients. If something looks wrong, it’s usually an input method or font/rendering issue, not Outlook’s ability to send the character.

Method 4: Rely on AutoCorrect in Word/Office (Outlook uses it)

AutoCorrect is underrated for accent marks. If you frequently type the same names or words with diacritics, you can create short triggers that expand into the correct accented text.

Windows desktop Outlook: set an AutoCorrect rule

  1. Open any Office app (Word works best) and go to File → Options.
  2. Select Proofing → AutoCorrect Options….
  3. In Replace, type a trigger like eacute or nino.
  4. In With, type the accented result (for example niño).
  5. Click Add then OK.

Then return to Outlook. Type your trigger and press Space or Enter to see it expand.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

AutoCorrect gotcha: punctuation triggers

Some triggers only activate after you type punctuation or a space. If it doesn’t expand, try adding a space after the trigger or re-check the AutoCorrect exceptions list.

Method 5: Use the Windows Character Map / Character Picker and macOS Character Viewer

OS character pickers are built for finding “hard-to-type” characters fast. They’re especially useful when you only need one or two letters from a large set.

Windows: Character Map

  1. Press Win and type Character Map.
  2. Open Character Map.
  3. Select a font that supports the diacritics (often Arial works well).
  4. Find the character you need (search if available, or browse the grid).
  5. Select it → click Select → Copy.
  6. Paste into Outlook.

Windows alternative: Emoji & symbols panel

Some Windows builds include a character panel (often opened via Win + .). It can include accented letters and special characters that you can click to insert.

Windows desktop Outlook (Microsoft 365 / Office 2024)

Use this path when you have the classic desktop ribbon.

  1. Start a new message.
  2. Click inside the message body.
  3. Go to Insert → Symbol.
  4. Pick the character set (start with Latin-1 Supplement).
  5. Select the accent character → Insert.

If you prefer typing, switch your Windows keyboard layout to one that supports diacritics (Method 1). Once set, it works in the subject, body, and searches.

macOS Outlook (new Outlook for Mac vs classic Outlook)

On macOS, character insertion often works best via macOS itself (Character Viewer), then it appears in Outlook.

  1. Place your cursor in the message.
  2. Open Character Viewer using Ctrl + Cmd + Space.
  3. Search for the accented character you need (or browse by category).
  4. Click to insert.

If you’re using a keyboard-layout approach, confirm your text input source supports diacritics, then test by typing a known sequence (like a dead key + vowel).

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Outlook on the web (OWA)

OWA can be more limited than desktop for insert tools, so keyboard/layout and copy/paste often win.

  1. Try your OS keyboard layout first. Enter the accented character in the web message box.
  2. If you can’t, use copy/paste from a trusted character source.
  3. For occasional needs, paste from the cheat sheet below and reuse the same character.

Some OWA builds include a rich editor toolbar, but the exact symbol insertion UI isn’t consistent across tenants.

Outlook mobile (iPhone, iPad, Android keyboards)

Mobile keyboards usually have press-and-hold accent options, which is the fastest method.

  1. Tap the message field in Outlook.
  2. Press and hold the letter key (for example, hold e to see é, è, ê, depending on your keyboard).
  3. Slide to the accent you want and release.

If you don’t see the accents, switch keyboard language in iOS/iPadOS or install a language keyboard on Android.

Common issues and troubleshooting

When accents fail, it’s usually one of these causes: the wrong keyboard layout, a font mismatch, or a copy/paste/source formatting problem.

Problem: accents turn into question marks or boxes

This is usually a font/rendering issue or a non-Unicode character. Try switching your message text to a common font like Calibri and re-inserting the character.

  1. Select the text you typed (Ctrl+A if needed).
  2. Change font to Calibri.
  3. Reinsert the accented character using Method 2 or Method 5.

Problem: nothing happens when you press accent keys

That often means you’re not using the diacritics-friendly keyboard layout, or you’re missing the “dead key” behavior.

  1. Confirm your active keyboard layout in Windows/macOS.
  2. Test in Notepad (Windows) or TextEdit (macOS) before Outlook.
  3. If it works in Notepad/TextEdit, redo the test in Outlook and ensure the caret is in a text area.

Problem: AutoCorrect isn’t converting triggers

AutoCorrect rules are stored in Office/Word settings. If Outlook doesn’t apply them, check these items:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Confirm you added the rule in Office on the same machine where Outlook runs.
  • Try typing the trigger and then a space (some rules don’t fire on Enter alone).
  • Check AutoCorrect Options → exceptions.

Problem: accents appear in the draft but not in the sent email

This is less common, but can happen with formatting conversions or signatures. The fix is usually to switch to plain text for the final message or retype the accented text without inheriting formatting.

  1. In Outlook, compose a short test email with only the accented characters.
  2. Send it to yourself and open it on a different device if possible.
  3. If it fails, try sending in plain text mode (if your Outlook build offers it).

Problem: subject line won’t accept inserted symbols

Some Outlook builds limit what the subject editor allows. In that case, type accents via keyboard layout (Method 1) or paste the character (Method 3) directly into the subject field.

Accent marks cheat sheet (quick characters to paste)

Copy/paste these when you need a fast, consistent result. If you use a lot of a particular language, keep a small personal list you paste repeatedly.

é e acute café, résumé
í i acute jalapeño (uses ñ), país (í)
ó o acute corazón (zón), avión
ú u acute pingüino (ü), luzú (varies)
ñ n tilde mañana

ä a diaeresis Jäger
ç c cedilla façade
å a ring Stockholm (å)
ø o slash København
ß sharp s Fuß
æ a e ligature encyclopædia (context-specific)
œ o e ligature cœur

If you need more characters, use Method 5’s character viewer and save a few favorites by copying them into a note you keep locally.

Alternatives if you can’t type accents in Outlook

If Outlook on your device or policy environment blocks symbol insertion or keyboard layouts, you still have workable options.

Alternative 1: Copy from a trusted source

Use copy/paste from a character table or an existing document that already contains the correct accented spelling (a Word file, Google Doc, or your company directory export).

Alternative 2: Paste from a previous email or signature

If you already have accented text in an older message, you can copy it and paste it into a new email. This often beats fighting input settings mid-task.

Alternative 3: Use a templates approach

Create a reusable template email with the accented text already correct, then duplicate it. This is especially effective for recurring multilingual contacts.

FAQs

Why can’t I type accents in Outlook but I can type them in other apps?

Outlook might be using a different input context than the other app, or you could be on a layout that behaves differently in rich text fields. Test the character in Notepad/TextEdit first, then try Outlook again after switching layout or font.

Does Outlook preserve accented characters when sending?

Yes—when you input the correct Unicode character, Outlook sends it normally to most recipients. If you see corrupted characters, it’s usually a font/input issue or a copy source that inserted a nonstandard character.

What’s the fastest way for beginners?

For occasional accents: use Insert Symbol (Windows desktop) or Character Viewer (macOS), or copy/paste a character. For frequent use: switch your keyboard layout (Method 1) so accents type directly.

Will AutoCorrect apply in Outlook if I set it in Word?

Usually yes. AutoCorrect is an Office-wide feature stored in your Office settings. Create the rule in Word (or the relevant Office app on your machine) and then test in Outlook.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do accents work in the email subject line?

They do, but the method matters. Keyboard layout input and copy/paste are most reliable. If Insert Symbol doesn’t work in your subject editor, paste the character instead.

Bottom Line

The simplest path to accent marks in Outlook in 2024 is either switching to a keyboard layout that supports diacritics or using Office/macOS character insertion when you only need a few letters. Once you set it up, accented names become routine instead of stressful.

If you run into boxes, question marks, or missing accents, switch fonts and confirm your keyboard/input source. Then use copy/paste or the symbol/character viewer methods as a guaranteed fallback.
