Thermal printers use heat to create an image, but the two main methods do it differently. Direct thermal printing darkens a heat-sensitive coating in the paper itself; thermal-transfer printing uses heat to move material from a ribbon onto the media. Because direct-thermal paper remains sensitive to heat, light, friction, and some chemicals after printing, receipts and other important records can fade, darken, or become unreadable. For anything you may need later, make a checked copy on permanent or archival paper.
How does a thermal printer make an image?
Both major thermal-printing methods use a heated printhead. Small elements in the head heat selected spots as the media passes by, forming text, graphics, or barcodes. The difference is where the image-forming material comes from.

Direct thermal: the paper coating changes color
In direct thermal printing, the printer heats specially coated paper or label stock. The heat triggers a chemical reaction in the coating, darkening the selected spots. There is no ink, toner, or ribbon. Zebra describes direct-thermal images as being created directly on the printed material.

Ricoh describes a base paper, an underlayer that improves contact with the printhead, a thermal layer, and protective overcoats. The thermal layer contains a leuco dye and a developer. Heating allows them to form color: the dye can shift from colorless to colored, while the developer helps the reaction occur.

Thermal transfer: a heated ribbon supplies the image
In thermal-transfer printing, the printhead heats a ribbon so that wax or resin transfers onto the media. The resulting image material is absorbed by the substrate. Depending on the printer and matched supplies, the media can include paper and synthetic materials such as polyester or polypropylene.
Direct thermal therefore requires compatible heat-sensitive stock. Thermal transfer requires a printer that supports the method, plus a ribbon and substrate suited to one another and to the intended conditions. Ricoh’s comparison of direct-thermal and thermal-transfer printing discusses those trade-offs.

Why do thermal receipts fade—or turn dark?
Direct-thermal paper does not become inert once it leaves the printer. Its image sits in a heat-sensitive coating, and later exposure can change either the printed areas or the unprinted background. Too much heat, light, or contact with certain materials can reduce contrast or make the image difficult to read.

- Light: Sunlight and strong artificial light can accelerate deterioration.
- Friction or abrasion: Rubbing, scratching, or scoring may damage the surface or cause localized dark marks.
- Chemicals and contact materials: Solvents, plasticizers, and vapours from PVC folders can harm the image. Ricoh also advises keeping its thermal paper away from water.
The National Archives of Australia says modern thermal images may show significant fading in as little as five years, even with optimum storage and handling. That is archival guidance, not a guaranteed lifespan or a prediction for every receipt or current paper formulation. The Archives also warns that thermal papers are unstable and cannot be considered permanent.

How can you preserve a receipt or thermal record?
For an important record, make a permanent copy
If the information has long-term or permanent value, copy it onto permanent or archival paper and check that the copy is legible. The National Archives of Australia recommends keeping a backup copy; copying preserves the information but does not restore an original that has already faded.
If you must keep the original
Limit light exposure, avoid heat and rubbing, and keep the print away from water, solvents, plasticizers, and PVC-folder vapours. The National Archives advises storing retained originals at no more than 20°C and 50% relative humidity, filing them separately from other paper, and making a backup copy. These are its preservation recommendations for records, not universal guarantees of longevity.

For unused Ricoh thermal paper
Ricoh’s limits apply to its own stock: before opening the package, store it in the dark at no more than 95°F and 85% relative humidity. After unpacking, avoid prolonged direct sunlight, strong fluorescent light, nearby heat sources, water, scratching or rubbing, and contact with solvents or plasticizers. For other brands, follow the media maker’s instructions rather than treating Ricoh’s limits as universal. See Ricoh’s thermal-paper care instructions.
When should you choose direct thermal or thermal transfer?
Choose based on how long the image needs to remain useful, what the label or receipt will encounter, and whether the printer and supplies suit the task. A thermal-transfer setup can be a better fit for longer-term applications, but it is not automatically permanent: the ribbon, substrate, print settings, and exposure conditions all matter.
| Consideration | Direct thermal | Thermal transfer |
|---|---|---|
| How the image forms | Heat darkens a coating in compatible media. | Heat transfers wax or resin from a ribbon onto the media. |
| Supplies and workflow | No ribbon; requires heat-sensitive stock. | Requires a compatible ribbon and substrate, with ribbon selection and replacement. |
| Durability considerations | More sensitive to heat, light, and abrasion; useful life depends on the stock and conditions. | Often chosen for longer-term applications; durability depends on the ribbon-media match and use conditions. |
| Media compatibility | Coated direct-thermal paper or label stock. | Compatible paper or synthetic media, such as polyester or polypropylene. |
Ricoh describes direct-thermal applications as “6 months or less” and recommends thermal transfer for longer-term uses needing stable images or broader environmental flexibility. Treat that as Ricoh’s application guidance, not a universal expiry date: actual image life varies with paper formulation, coatings, ribbon chemistry, substrate, print settings, and storage or exposure.
Are thermal prints permanent?
No. Direct-thermal prints should not be treated as permanent records. If information matters beyond the short term, keep a verified copy on permanent or archival paper. Thermal transfer may provide a more durable image for an appropriate application, but its longevity still depends on the matched ribbon and media and on the conditions the print experiences.
