How Real-Time Inventory Synchronization Works in Multi-Channel E-commerce

Real-time inventory sync combines one authoritative stock record, SKU mapping, location rules, and API or webhook updates backed by reconciliation. Here is how it works, why it drifts, and what to compare.

Real-time inventory synchronization means that when a unit sells, ships, returns or is adjusted on one channel, every connected channel’s sellable quantity is updated almost immediately. In practice it works like this: one system holds the authoritative stock record, each product variant has a stable identity (usually a SKU), stock is assigned to physical locations, and the system pushes new quantities to channels through APIs and webhooks. Polling and reconciliation then catch whatever those events miss.

“Real-time” is not a guarantee. Platform documentation shows that some changes fire events, some don’t, and some tools refresh on a schedule. This article explains the mechanics, why counts drift, and what to compare when choosing an integration or inventory-management system.

What multichannel inventory management actually does

Multichannel inventory management keeps one stock position consistent across your online store, marketplaces such as Amazon or eBay, physical stores, warehouses and fulfillment services. No single universal architecture exists, and the platform documentation doesn’t promise a fixed end-to-end latency. What the major platforms do share is a common pattern: a ledger of stock changes, a mapping from each channel listing to an internal product, and a distribution step that sends updated quantities out.

The workflow, step by step

1. Establish product and location identity

Every channel listing must link to the correct product variant, typically through its SKU. Veeqo’s Shopify setup guidance notes that matching SKU formats helps ensure listings are linked. Stock must also be tracked per location or fulfillment source. Shopify keeps separate quantities per location and requires a product to be activated at a location before it holds stock there. Don’t assume all physical stock is available to every channel.

2. Separate inventory states

A single “quantity” number hides several different things. Shopify’s developer documentation defines these states for a product at a location:

State Meaning (Shopify’s definition) Sellable?
Incoming On the way to a location; becomes available only after it is received No
On hand Physical stock at the location, including available, committed, reserved, damaged, safety-stock and quality-control quantities Only the available part
Available Sellable stock not committed or part of incoming transfers Yes
Committed Set aside for an unfulfilled order, a reserved draft order, or a transfer or shipment ready to ship No
Reserved Temporarily set aside, for example for a hold or inspection No
Damaged / quality control Physically present but not sellable or usable No
Safety stock Held back to help guard against overselling No

These names are Shopify-specific. Amazon’s FBA inventory, for instance, uses fulfillable, inbound, reserved, unfulfillable and researching quantities. When connecting two systems, map each state explicitly, and never treat “on hand” as a synonym for “available.”

3. Receive an order or stock change

Orders, fulfillments, returns, stock receipts, adjustments and transfers all change the ledger. In Shopify, a placed order decrements available quantity and increases committed quantity; fulfilling the order then reduces committed inventory. That two-stage movement is why available can drop the moment an order is placed, while on hand falls only at fulfillment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

4. Apply allocation rules

Decide which locations may serve online orders, whether stock is reserved for retail or for one marketplace, and whether to hold a buffer. In Shopify, locations that don’t fulfill online orders still count toward total inventory but not toward online quantity, so a store backroom can inflate a total without being sellable online.

5. Distribute updates to channels

A native connector, an inventory-management tool or a custom integration sends the new quantity to each listing through the channel’s supported APIs or event subscriptions. Shopify Marketplace Connect, for example, syncs listings, orders and inventory for Amazon, Target Plus (US only), Walmart (US only) and eBay, and its page says new Etsy connections can’t currently be made through the app.

6. Monitor exceptions and reconcile

Watch for failed updates, mismatched SKUs, inactive locations, unavailable stock and divergence between system records and physical counts. Keep audit trails: Shopify’s inventory API accepts a reference document URI so an adjustment can be traced to its source.

How the updates travel: events, polling and reconciliation

Three mechanisms are commonly combined:

  • Webhooks (push): the platform notifies your system when something changes. Shopify documents webhooks for inventory-level updates.
  • API calls: your system writes quantities to a channel or reads availability. Amazon’s FBA Inventory API, for example, provides marketplace-level availability data.
  • Polling and reconciliation: the system periodically re-reads quantities and compares them with its own record to detect missed events. Amazon’s Veeqo page says its dashboard updates channel data every 20 minutes, a reminder that some tools refresh on an interval.

The key limit comes from Shopify’s inventory-management-app documentation: “Changes to committed, reserved, damaged, safety_stock, and quality_control inventory states don’t trigger webhooks.” An integration that relies solely on webhooks will therefore not see those transitions and needs another way to catch them.

  • inventoryAdjustQuantities changes a quantity by a delta. Use it when the source event is a known increment or decrement, such as one unit sold on another channel.
  • inventorySetQuantities sets on-hand or available to a given value. Use it carefully, mainly when reconciling to an authoritative physical count, because a stale value can overwrite sales that happened in between.
  • inventoryMoveQuantities moves quantity between available and unavailable states.

Deltas survive concurrent sales better; absolute sets are better for correcting known drift. Where an API supports it, handle events idempotently so a retried message doesn’t decrement stock twice.

Why counts drift and overselling happens

  • Update delay or missed event: one channel still shows the old quantity after another has sold the stock. Nothing in the cited documentation supports a zero-latency promise.
  • Concurrent orders: two channels accept orders before either receives the other’s decrement. A buffer or reservation policy reduces exposure, but no source supports a universal buffer size.
  • Identity mismatch: a listing linked to the wrong SKU, variant or bundle receives the wrong quantity.
  • Location mismatch: the total includes units at a location that can’t fulfill a particular online order.
  • State mismatch: available, committed, inbound and reserved are treated as one number, or mapped differently between systems.
  • Operational differences: receiving, returns, cancellations, transfers and manual adjustments can be handled differently by each connector. Verify whether a cancellation or return restocks inventory in your configuration rather than assuming it does.
  • Physical discrepancy: shrinkage, receiving errors and miscounts mean software can accurately sync an inaccurate source count.

For scale: Shopify’s guide cites a 2025 Veeqo survey in which 27% of 251 US ecommerce sellers said they still managed inventory with spreadsheets, and attributes to IHL Group (2025) an estimate of $1.73 trillion in annual global inventory-distortion losses, equal to 6.5% of global retail sales. Both are figures reported by Shopify from other organizations; the original reports weren’t reviewed here.

Controls that reduce the risk

  • Stable, unique SKU mapping, with bundles and kits modeled deliberately.
  • One declared source of truth for each inventory class (for example, the warehouse system owns on-hand; the commerce platform owns available).
  • Channel or location allocation, so a fast-selling marketplace can’t drain stock promised elsewhere.
  • Safety stock or per-channel thresholds, sized to your sales velocity and sync delay rather than a borrowed rule of thumb.
  • Monitoring of webhook and API errors, with alerts on failed updates and retries.
  • Scheduled reconciliation between systems and channels.
  • Regular cycle counts with an audit trail.

These are sensible practices drawn from how the platforms behave; the sources don’t validate a single engineering recipe.

Physical counts: where barcode scanners fit

Sync software moves numbers; it can’t tell whether the numbers are right. Shopify’s guide recommends barcode-assisted stocktakes and says barcode tools speed SKU entry, track inventory movement, simplify reconciliation and reduce transaction errors. A USB barcode scanner for inventory management helps capture accurate counts at receiving, picking and cycle counts. It does not connect channels or synchronize stock by itself. No specific model has been tested for this article.

What to look for in multichannel inventory software

Compare candidates on these axes:

Axis Questions to ask
Channel coverage Which marketplaces and regions exactly? Do restrictions apply to your country (Marketplace Connect’s Target Plus and Walmart support is US-only)?
Inventory authority Does the commerce platform, OMS, WMS, marketplace or another tool own the sellable count? How are conflicts resolved?
Locations and fulfillment Multiple warehouses, stores, dropship stock, 3PLs, FBA, channel-specific allocation?
Update path and observability Webhooks or polling? What interval, retry behavior, alerting and reconciliation tools? Ask for measured behavior under failure and peak load; the sources offer no comparable latency benchmarks.
State and order handling How are committed and reserved stock, cancellations, returns, bundles and inbound stock treated?
Physical controls Barcode scanning, cycle counts, adjustment audit trails, receiving workflows?
Scale and cost Product and variant limits, staff roles, onboarding, reporting, total operating cost. Check current plans directly; prices weren’t verified here.

Named options and what is claimed for them

  • Shopify Marketplace Connect: syncs listings, orders and inventory for Amazon, Target Plus (US), Walmart (US) and eBay, per Shopify.
  • Sellbrite: described in Shopify’s guide as an app for multichannel listing, inventory and order management; Sellbrite says it updates available inventory automatically as sales occur and synchronizes channel quantities.
  • Veeqo: described as a multichannel shipping, order and inventory app. Amazon’s Veeqo page describes inventory syncing, low-stock alerts, scanning orders with its scanner or a phone, and a 20-minute dashboard refresh.

These are vendor and platform descriptions, not independent tests or endorsements. Match each against the table above, and run a pilot with your own SKUs and a deliberate failure test before committing.

A practical checklist

  1. Audit SKUs so each variant has one unique, consistent identifier across channels.
  2. List every inventory state each system uses and map them to each other.
  3. Decide which locations serve which channels.
  4. Identify which state changes fire events and which need polling.
  5. Set safety stock per channel based on your sync delay and sales velocity.
  6. Turn on failure alerts and schedule reconciliation.
  7. Run cycle counts and feed results back as controlled, audited adjustments.
