OpenKhata says its Flutter point-of-sale app stores daily billing locally and syncs with the cloud for backup, reconciliation, permissions, subscriptions, and shared business authority. That makes it a potential fit for a kirana shop that needs to record customer credit during weak connectivity—but the public description does not establish how sync conflicts, device loss, or security are handled.
What a digital khata records—and what it does not
A digital khata is a customer-wise record of credit given and payments received. It helps a shop track customer balances; by itself, it neither lends money nor moves it. A separate Indian app privacy policy makes that distinction explicitly, describing manually entered cash, UPI, or bank-transfer records without processing payments or connecting to bank accounts or UPI handles (privacy policy).

That distinction matters when an app advertises payment tracking or reminders. A ledger entry can document that a customer paid, while a payment feature would actually initiate or process a transfer. The reviewed OpenKhata descriptions do not establish that its ledger moves money.

How OpenKhata describes its local-first setup
OpenKhata presents itself as a retail POS and management product, not only a credit ledger. Its feature list includes billing, inventory, staff roles, reports, customer credit, and reminders. The company says its Flutter POS keeps daily billing in local storage, with cloud sync supporting backup, reconciliation, subscriptions, permissions, and shared business authority (OpenKhata About page). These are the company’s descriptions, not independently verified implementation results.

For a shop counter, the important architectural idea is to keep the transaction record distinct from its later synchronization. If a sale or credit entry is captured locally when the connection drops, the record can remain available on that device. When connectivity returns, sync can make it available to the broader business system. OpenKhata advertises offline invoice creation and automatic sync on reconnection, but its public pages do not explain the mechanics or limits of that process (OpenKhata features).
What should remain usable without internet
An offline udhar ledger is useful only if the shop can do the essential work locally. Before relying on an app, confirm which of these actions work when the device is disconnected:
Rank #2
- Create an invoice or record a credit sale.
- Find a customer and review the balance already stored on that device.
- Record a partial payment and see how it changes the local balance.
- Tell whether an entry is saved on the device, waiting to sync, or has failed to sync.
OpenKhata advertises customer-wise ledgers, partial-payment tracking, offline invoice creation, and automatic sync when connectivity returns. The public information does not specify whether every customer record or prior transaction is available offline, or how the app indicates a failed or pending sync. Confirm the exact behavior with the vendor before making it part of the shop’s daily process.
Why sync visibility and recovery matter
Make pending work visible
A local save and a cloud backup are different states. A usable offline workflow should make clear whether an entry is stored only on the current device or has reached the shared account. Staff need a way to spot errors or pending items rather than assuming that reconnection completed every upload. OpenKhata says cloud sync supports reconciliation and shared business authority, but does not publish its conflict-resolution rules, transaction identifiers, or error-handling behavior.
Rank #3
Plan for multiple staff and devices
When more than one person enters transactions, two devices may record changes to the same customer while disconnected. The app’s public description does not say how it resolves duplicate or conflicting edits. Ask how staff permissions apply offline, how the shop can review an audit history, and what happens when devices reconnect with inconsistent records.
Protect against device loss
Cloud sync can help make records available beyond one device, but the reviewed pages do not state backup retention periods, encryption details, or a device-loss recovery procedure. Ask how to restore a shop’s customer balances and transaction history after a phone is lost or damaged, and whether records can be exported independently.
Rank #4
- Hard bound, permanent storage columnar account books are made with acid-free paper
- 3-columns
- High gloss cover with foil stamp title and spine
- Includes place marking ribbon
- White paper
How to assess fit before using it for customer credit
- Test the offline path. With connectivity disabled, create an invoice, add a credit entry, record a partial payment, and reopen the customer ledger. Check which actions work and whether saved records remain visible after closing and reopening the app.
- Inspect sync status. Reconnect and check whether the app shows which entries synced, which remain pending, and how it reports failures. Do not assume that automatic sync means every conflict is resolved without review.
- Ask about recovery and export. Get the vendor’s instructions for restoring records after device loss, and confirm what customer and transaction data can be exported.
- Check staff controls. Verify which staff roles can add, edit, or view entries, and whether changes can be audited—particularly if staff may work offline.
- Confirm reminder behavior. OpenKhata advertises WhatsApp payment reminders. Check how the shop chooses recipients and amounts, and ensure a reminder reflects the current customer balance.
- Verify operational requirements. The feature list mentions barcode scanning, but the reviewed pages do not identify supported hardware or device requirements. Confirm compatibility for the shop’s actual devices before relying on that feature.
How to compare offline ledger apps fairly
Descriptions from other vendors illustrate useful comparison points, not verified performance equivalence. KhataFlow describes offline-first saves, automatic cloud sync, balance views, reminders, and customer-facing UPI access (KhataFlow). Ok Khata’s App Store listing describes offline operation, cloud backup, and access across multiple phones and a PC (Ok Khata listing). Those claims do not establish how any of the products behaves under the same conditions.

Offline ledgers are not offline payments
Recording a customer’s credit or payment on a disconnected device does not mean a digital payment can also be completed without connectivity. The Reserve Bank of India’s Digital Rupee FAQ, updated October 1, 2026, says, “e₹ is a digital form of ₹ whereas UPI is a means of payment.” The FAQ describes an e₹ retail and wholesale pilot and says offline functionality is intended for limited or no connectivity, while different solutions are still being explored (RBI Digital Rupee FAQ). It is not evidence that offline e₹ payments are universally available. India’s digital transactions grew from INR 3.1 billion to INR 5.5 billion in the three years to 2021, according to government data cited by the Better Than Cash Alliance in 2022; that historical national figure, which was led in large part by UPI, does not measure kirana credit ledgers (Better Than Cash Alliance report).
