How on-device translation keyboards work and what happens to your text

On-device translation can keep a specific request on your phone, but it is not a blanket promise that a keyboard never sends data. Here is how language downloads, server fallback, personalization, account sync, permissions, and retention affect what happens to your text.

Short answer: an on-device translation keyboard can translate selected or composed text with language models stored on your phone, then return the result to the active text field without sending that particular request to a remote server. That outcome is conditional. The required source and target languages must be downloaded, and other functions—such as account backup, personalization, diagnostics, or optional sharing—may still move data off the device. A keyboard’s translation path and its typing-data path are separate questions.

Apple’s current documentation illustrates the distinction: when both languages in a Translate or System-wide translation pair have been downloaded, Apple says processing takes place on the device. The same documentation says text or audio chosen for translation may be sent to Apple in other processing paths. Microsoft’s SwiftKey documentation makes a similar separation between local typing personalization and optional cloud services. To understand what happens to your text, check the feature, language downloads, account state, permissions, and sharing settings—not just the word “offline” in an app description.

What “on-device translation” actually means

Translation has three broad stages. First, the keyboard or operating system receives characters from the active app’s text field. Second, a translation feature takes text you select, compose, or submit through a translation control and runs a language model or calls a translation service. Third, the translated result is displayed or inserted back into the text field.

In a local path, the computation uses language resources stored on the phone. The text needed for that operation remains available to the feature on the device, and the result can be returned without a network round trip. In a server path, the feature packages the request, sends it to a provider, waits for remote processing, and receives the result. The exact selection gesture, keyboard button, and insertion behavior vary by operating system and product; there is no single workflow shared by every translation keyboard.

“On-device” describes the location of a particular computation. It does not mean that every character typed into the keyboard, every prediction, or every diagnostic event is permanently confined to the phone. Translation payloads, personalization data, account synchronization, telemetry, and crash reports can follow different routes.

When a translation request stays on the phone

Both language resources must be present

Apple states that processing for Translate and System-wide translation takes place on the device when both languages being translated have been downloaded. Downloading only the source language, only the target language, or the application itself is not enough for that documented condition. A language pair can therefore change behavior: a pair with both resources installed may use the local path, while another pair may require a network connection or a different processing route.

Offline availability is also a practical test. Before relying on local translation, install the relevant source and target languages while connected to the internet, then test the same pair with connectivity disabled. A successful result demonstrates that the feature can operate in that configuration; it does not prove that other keyboard functions never communicate with a provider.

Local translation still has limits

Downloaded models occupy storage and may not support every language combination or feature available online. Local models can also be updated independently of the keyboard interface. If a language disappears after an operating-system update, a reset, or storage cleanup, the feature may fall back to a server path or stop translating until the resource is downloaded again.

When text can be sent to a provider

Apple’s privacy statement says that text and audio selected for translation may be sent to Apple for processing. It also says requests use a random, rotating identifier rather than the user’s Apple Account, email address, or other Apple-service information. That identifier design reduces direct account linkage, but it does not make the submitted text anonymous in the everyday sense: the selected content is still transmitted for the request.

Apple’s statement, dated September 14, 2026, says transcripts of audio interactions and text inputs are stored by default for two years. A small subset that has been reviewed may be retained longer to improve Translate, System-wide translation, and other natural-language-processing features. The retention statement applies to inputs submitted to those services; it should not be read as proof that every locally processed translation is uploaded and retained.

This is why two statements can both be true: a downloaded language pair can be processed on the device, while a request made without the required resources—or a request handled by a different service path—can be sent to Apple. The active setting and language availability determine which path is used.

Translation data and keyboard learning are different data flows

A keyboard normally performs more than translation. It may correct spelling, rank suggestions, remember unusual words, and learn which keys you tend to press. Those functions can remain local even when translation uses a server, or they can have their own optional synchronization service.

Microsoft says SwiftKey uses machine learning to remember important words, likely word combinations, and key-position patterns. Its published default is: By default, nothing Microsoft SwiftKey learns about your typing leaves your device. That is a statement about learned typing data under the default configuration, not a guarantee about every feature or every account setting.

Backup and Sync can upload the language model

If you sign in to a SwiftKey account and enable Backup & Sync, Microsoft says personal language-model data can be sent to its servers so predictions can be synchronized across devices. Turning on synchronization changes the storage location by design: the model is no longer confined to one phone. A user who wants local-only personalization should leave account backup and synchronization disabled and verify that the setting remains off after reinstalling or changing devices.

Optional snippets and improvement sharing

SwiftKey documentation describes an optional setting that shares short typing snippets—such as phrases and keypress or correction information—for product improvement. Microsoft says the setting can be changed. Because snippets can contain meaningful fragments of a sentence, review this control separately from translation permissions; declining translation uploads does not automatically disable every improvement-sharing option.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Usage and crash telemetry

Microsoft also says anonymous usage statistics, including characters entered and keystrokes saved, may be sent periodically. Crash information may be sent to Microsoft and Google. These reports are not the same as a translation request, and a local translation result does not establish that telemetry is disabled. Check the keyboard’s privacy or analytics controls if minimizing routine measurements matters to you.

What iOS Full Access means for a third-party keyboard

On iOS, Microsoft says SwiftKey needs Full Access to communicate with its container app and to read or write language models, personalization, and settings stored outside the keyboard-extension framework. The permission also technically enables network access. The permission prompt therefore describes a capability, not a record of every keystroke being uploaded.

Microsoft’s support page says: Granting Full Access to Microsoft SwiftKey does not mean everything you type is transferred, despite a warning message that shows when you allow the permission. The same documentation says typed text is not transmitted unless the user creates a Microsoft SwiftKey Account. Treat those statements as the vendor’s description of its implementation. The technically enabled network path and the provider’s stated practice are both relevant, and settings or policies can change over time.

Apple and SwiftKey: what the documented paths show

These products do not provide identical features, so the comparison below separates translation processing from keyboard personalization rather than treating them as interchangeable services.

Question Apple Translate and System-wide translation Microsoft SwiftKey keyboard
Where can the main feature run? On-device when both translation languages are downloaded; Apple also documents requests that may be sent to Apple. Typing personalization is described as local by default; translation behavior is not established as universal for every SwiftKey configuration.
Offline prerequisite Both languages in the pair must be downloaded for Apple’s documented on-device condition. Not stated as one universal translation requirement in the cited SwiftKey documentation.
Retention Apple says submitted text inputs and audio transcripts are stored by default for two years; a reviewed subset may remain longer. No equivalent translation-transcript period is stated in the cited SwiftKey material.
Personalization Not the focus of the cited Translate privacy statement. Words, word relationships, and key-position patterns are learned locally by default, according to Microsoft.
Cloud synchronization Not established by the cited Translate statement. Backup & Sync can send personal language-model data to Microsoft servers.
Optional improvement sharing Not established by the cited Translate statement. Microsoft describes optional sharing of short typing snippets and says the setting can be changed.
Telemetry Not quantified in the cited Translate statement. Microsoft says anonymous usage statistics may be sent periodically and crash information may be sent to Microsoft and Google.
Important safety caveat Apple says not to rely on Translate where errors could cause harm or injury, for navigation, or for medical diagnosis or treatment. No accuracy or safety guarantee is established by the cited SwiftKey documentation.

How to check what your own keyboard is doing

  1. Identify the exact feature. Is translation built into the operating system, exposed as a keyboard button, or opened as a separate app? A keyboard’s autocorrect privacy page may not describe its translation service.
  2. Check both languages. Open the translation or language settings and confirm that the source and target resources are downloaded. Record the pair you actually use; another pair may follow a different path.
  3. Test without connectivity. After downloading the resources, enable airplane mode and try a short, non-sensitive sentence. If translation fails, that configuration depends on a network service. Restore connectivity afterward if the keyboard needs it for updates or account functions.
  4. Review account status. Look for sign-in, Backup & Sync, cloud personalization, or similar controls. Disable synchronization if you do not want a language model copied to a provider’s servers.
  5. Review improvement and analytics controls. Turn off optional snippet sharing and examine anonymous usage or crash-report settings. These controls concern product improvement and diagnostics, not just translation.
  6. Check the retention statement. For Apple’s documented server path, submitted text inputs and audio transcripts have a default two-year retention period, with a reviewed subset potentially kept longer. Other products may publish different terms or none at all.
  7. Inspect keyboard permissions. On iOS, read what Full Access enables and then compare it with the provider’s current explanation. Do not infer that the warning alone proves routine upload, and do not infer that a local translation proves all network access is off.
  8. Use harmless test text. Never test privacy settings with passwords, payment numbers, private medical details, or confidential work material. A short neutral sentence is enough to determine whether the feature responds offline.

Sensitive fields, passwords, and payment details

Microsoft says SwiftKey does not learn from correctly designated password fields or remember long credit-card numbers. Its FAQ also notes exceptions: a field can be learned if an app labels it incorrectly, a password was previously typed in an ordinary message, or the user activates “show password” behavior. Treat field labeling as a safeguard rather than an absolute boundary.

For high-risk information, the safest practice is not to place it into a translation keyboard at all. Use a trusted, purpose-built workflow and verify the recipient before sending. A translation result can be inserted into the wrong field or retained under a different service path even when ordinary suggestions are local.

Common misunderstandings and how to correct them

“The app works offline, so nothing leaves my phone.”

Offline capability proves only that a particular operation can run without a connection. Account backup, analytics, crash reports, updates, and optional sharing can use the network later. Check each data category separately.

“Full Access means every keystroke is uploaded.”

Full Access technically permits communication and network access. Microsoft says that granting it does not mean everything typed is transferred and says typed text is not transmitted unless a SwiftKey account is created. The correct conclusion is conditional: the permission expands capability, while the provider’s stated behavior and your settings determine routine handling.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“A random identifier means the request cannot be associated with me.”

Apple says translation requests use a random, rotating identifier instead of Apple Account or email information. That limits direct account association, but the selected text can still be sent and retained under Apple’s documented policy.

“Local translation is safe for medical or navigation decisions.”

Local processing addresses where computation occurs, not whether the translation is correct. Apple explicitly warns against relying on Translate when an error could cause harm or injury, for navigation, or for medical diagnosis or treatment. Use a qualified human or specialized service for consequential communication.

A practical privacy decision framework

  • Choose local processing when confidentiality and connectivity matter most: download both language resources, keep account synchronization off, and verify the pair works in airplane mode.
  • Accept a server path when you need broader language support or current service features: read the provider’s retention and improvement-sharing terms first, and avoid confidential text.
  • Separate convenience from personalization: a translation request can be local while a keyboard’s learned language model is synchronized, or vice versa.
  • Recheck after major updates: language downloads, permission labels, account defaults, and privacy policies can change with operating-system or keyboard releases.
  • Use human verification for high stakes: neither local execution nor a privacy-preserving identifier guarantees semantic accuracy.

What is and is not established across platforms

The documented evidence here covers Apple Translate and System-wide translation and Microsoft SwiftKey’s typing-data and permission behavior. It does not establish a single rule for every keyboard, Android implementation, or translation app. Products can combine local models, remote fallback, account services, and telemetry differently. Before entering sensitive text, consult the exact product’s current privacy documentation and settings for the platform and language pair you use.
