A paid account or privacy setting is not, by itself, proof that sensitive material is safe to submit. Newsrooms should define permitted tools and tasks, verify each service’s current terms and configuration, and apply established source-security practices throughout the reporting process.
What should count as protected information?
Classify material before choosing a tool. Treat a source’s name and contact details, identifying metadata, confidential documents, unpublished reporting and sensitive drafts as protected. The Associated Press (AP) urges staff not to put confidential or sensitive information into AI tools. The Thomson Reuters Foundation (TRF) likewise recommends newsroom rules that can prohibit uploading source identities, unpublished drafts and confidential documents to external AI platforms.

Removing a name does not necessarily make a document anonymous. Contextual details, metadata or a combination of facts may still identify the person. The Committee to Protect Journalists (CPJ) specifically warns that metadata can help identify a source.

Set the default rule plainly: staff must not enter protected information into an external AI service unless the newsroom has approved that exact workflow following security, legal and editorial review. The rule should cover more than chatbots: consider any AI-enabled transcription, translation, summarization, writing or document-analysis feature that receives reporting material.

How should a newsroom decide which AI tasks are acceptable?
Evaluate the input and the workflow, not just the name or price of the service. A newsroom may allow narrowly defined assistance under its own policy, but permission for a task does not automatically authorize uploading confidential material. AP’s July 2026 standards update lists early-stage research, document summarization, transcription, translation, headline and summary suggestions, and copy assistance as examples of uses it permits within AP. AP also retains journalists’ responsibility for verification and editorial judgment; its policy is not a universal permission for other newsrooms.
| Proposed use | Practical policy treatment | Key check |
|---|---|---|
| Summarize a public document or assist with early-stage research | A newsroom may allow it under a defined approved-tool and approved-use list. | Check the result against the original document or other reliable records. |
| Transcribe or translate non-sensitive material | May be permitted if the tool and workflow are approved and the input contains no protected reporting material. | Review the output against the source audio or text; errors can alter meaning. |
| Polish a sensitive draft or analyze a confidential source document | Keep it out of external AI tools unless that exact workflow has been explicitly approved after review. | Assess identifiability, service configuration, data handling, access and the source’s risk. |
For any AI output used in reporting, a journalist should check factual claims against original records and sources and apply editorial judgment before publication. TRF warns that AI can introduce factual errors or plagiarism and recommends human review and proper attribution. AP describes AI output as unvetted source material. Neither an accurate-sounding answer nor a polished rewrite is a substitute for verification.

How do you approve a tool and verify its safeguards?
Start by finding out what staff already use, including personal accounts and informal workflows. TRF recommends inventorying tools and their purposes, assigning oversight, assessing risks and mapping possible solutions. Give staff a clear way to ask before adopting a new tool or using an existing one for a new kind of material.
For each proposed tool, have security, legal and editorial leads review the current contract, account type and configuration. Confirm how submitted data may be used, who can access it, how long it is retained, what deletion means in practice, and which access controls are available. Record the approved tasks and information categories alongside the tool, its settings, the accountable owner and the date of review. Recheck when the service’s terms or configuration change.

The reviewed guidance does not establish universal data-handling guarantees for particular AI vendors. Do not assume that a paid tier, a privacy toggle or a vendor’s general assurance makes a sensitive workflow safe. Approval should apply to the service as configured for the newsroom and to a clearly defined use—not to a brand name in the abstract.
What source-security practices should accompany AI rules?
AI policy is only one part of source protection. CPJ recommends assessing risks to both journalist and source, including who might target them and what that actor could do. The right operational steps depend on local law, the source’s circumstances and the threat conditions; these safeguards reduce risk but cannot guarantee safety.

- Protect reporting and newsroom accounts with two-factor authentication and strong, unique passwords.
- Keep devices, operating systems and apps current.
- Consider end-to-end encrypted messaging where possible, and review how communications and documents could expose a source.
- Remember that deleting a message from an account may not remove a copy held on a server.
- For sensitive document submissions, consider SecureDrop if the newsroom has it set up. Seek specialist digital-security assistance for high-risk situations or when uncertain how to protect an identity.
Apply the same care to material before and after any approved AI use: where it is stored, who can access it and whether its context or metadata reveals more than intended. If the risk is unclear, pause the workflow and consult a digital-security expert rather than treating an AI service’s settings as a substitute for source-specific assessment.

Who approves exceptions and protects identifying information?
Write down who can authorize an exception to the default rule, who may access identifying information, where that information is stored and how a suspected exposure is escalated. Keep access limited to people who need it for the reporting and protection process, and make responsibility explicit rather than leaving it to individual discretion.

AP’s anonymous-source guidance offers one example of accountability: it requires manager approval, and the manager is responsible for knowing and protecting the source’s identity. That is AP’s process, not a rule that automatically applies to every newsroom. Each organization should specify its own approval chain and make sure staff know whom to contact before submitting material.
What does the evidence say about newsroom AI use?
In its 2025 research, the Thomson Reuters Foundation reported that over 55% of journalists surveyed used AI tools such as Grammarly or ChatGPT to polish writing or translate copy. That figure is a finding from the Foundation’s research, not a universal rate for all journalists or newsrooms. It underscores why a newsroom should account for ordinary writing and translation tools as well as dedicated chatbots when setting policy.
The guidance has different scopes: AP and Reuters describe their organizations’ standards, CPJ provides journalist-safety advice, and TRF offers policy-planning recommendations. Reuters’ restriction on uploads to non-approved external tools appears in its visual-journalism standards; it should not be generalized to every Reuters workflow.
