A media server usually handles library details in two stages: it first scans your folders and files, then tries to match each item to a movie, show, episode, or music entry in a catalog. A metadata agent or provider uses the information it can read—such as filenames, folder structure, identifiers, and embedded tags—to choose a match and fill in details such as a plot, cast, poster, or album information. The distinction matters: a scan can find a file even when matching fails, and a correctly matched title can still use artwork or other fields from a source you did not intend.
Scanning and matching are separate jobs
When you add a library or put new media in an existing one, the server first searches the configured library paths. The scanner discovers files and analyzes media properties. A later matching stage tries to determine what each file represents and retrieve or apply metadata. Plex describes these as distinct parts of its library workflow: scanning finds and analyzes media; matching gathers metadata. Its matching-process documentation was last modified on March 27, 2019, so treat that description as general workflow guidance rather than a promise that every current screen or option has the same label.

The scanner and the metadata agent are not interchangeable. The scanner supplies information about the local item. The agent or provider uses that information to identify a catalog entry, then applies details such as title, summary, cast, artwork, and other available fields. Depending on the library type and configuration, the server may consult online resources, local media assets, embedded metadata, or a combination of sources.

What the server uses to identify an item
Folder structure and filenames
Servers need clues that distinguish one item from another. A recognizable title and release year, consistent season and episode naming, and a folder structure that reflects the media type make those clues easier to interpret. Keep movies, television, and music in appropriately separated library paths. Plex warns that mixing major content types in a library path can lead to incorrect matches, poor classification, or files being ignored.
Names are not just labels for people browsing folders; they help the scanner infer identity and organization. A movie folder should not be treated as if it were a season directory, and an episode should have a name that makes its series and episode placement reasonably clear. When the structure or naming is ambiguous, the server may select a similarly named catalog entry, classify an item incorrectly, or fail to match it.
Provider identifiers
A title can be ambiguous even when it is named cleanly: different films may share a title, a remake may be confused with an earlier release, or a show may have alternate names. An explicit catalog identifier can narrow the choice to the intended entry. The exact syntax is product-specific; do not assume an identifier format documented for one server or agent will work in another.

For the current Plex Movie agent, Plex documents IMDb and TMDB identifiers in curly braces in movie naming, for example {tmdb-272} or {imdb-tt0372784}. Jellyfin documents provider IDs in file or folder names and supports bracket, parenthesis, or brace notation. Its documented examples include TMDB, TVDB, and OMDb/IMDb identifiers. Follow the naming convention for the server and provider you actually use; mixing conventions is not a reliable way to improve a match.
An identifier is most useful when ordinary title and year clues are insufficient. It does not fix a library path that categorizes the file incorrectly, nor does it guarantee that every metadata field will come from one source. It gives the matching process a stronger identity clue; source priority remains a separate setting.
Television-specific hints in Plex
For Plex TV libraries, a .plexmatch file can provide hints about a series title, season, year, provider ID, or GUID. Plex documents that a provider-ID hint takes precedence over title and year hints and over the series directory name. Episode hints can also identify which episode a file contains when its filename is difficult for the scanner to parse. These are Plex-specific controls, not a general metadata file format shared by all servers.

How metadata sources populate fields
Identifying a catalog entry and choosing the source for its details are related but distinct tasks. After a match, the server can obtain fields from configured sources. Plex lets users set source priority: higher-priority sources are consulted first, and a lower-priority source may supply a field that an earlier source did not provide. As a result, one item can draw its poster from a local file and other information from an online source, depending on configuration and what each source supplies.

Local media assets can include artwork, subtitles, and certain embedded details. If you want your own poster or embedded metadata to take precedence, check that the relevant local source is enabled and placed appropriately in the source order. Plex’s documentation notes that local media assets are often preferred first when users want local posters, subtitles, or embedded metadata used. The precise available sources and defaults vary by library type—movie, television, music, or photo—and by the selected agent.
Changing source order is not necessarily enough to update items already in the library. Plex says to refresh metadata when changed agent settings should affect existing items. Refreshing asks the server to revisit metadata; it is different from correcting a mistaken identity. If the item is attached to the wrong catalog entry, check its identifying clues and use the server’s fix-match workflow rather than expecting a refresh alone to choose a different title.

Local control with Plex NFO files
Plex also documents NFO metadata files for movies, TV shows, and episodes. An NFO is UTF-8 XML containing supported tags. It can provide structured local metadata, while a typed <uniqueid> field can identify the intended catalog item—for example, by TMDB ID. Correctly typed, consistent IDs matter beyond the first match: Plex says they produce a stable internal GUID that can preserve watch status and play history across rescans.
Plex’s NFO documentation specifies Plex Media Server 1.43.1 or newer as the minimum requirement. That requirement is version-specific; older installations should not be assumed to support NFO handling. Check the current Plex documentation and your installed server version before building a workflow around NFO files. An NFO must also use the supported tags and valid UTF-8 XML; simply placing a file with an .nfo extension beside a video does not establish that its contents will be recognized.
NFOs are useful when you want more deliberate local control or a stable identifier, but they are not a substitute for sound library organization. The directory and filenames still help the server discover and classify items, and the NFO must correspond to the correct item. If matching is wrong, verify the identifier and the file-to-item relationship before relying on the local metadata.

Music tags are not the same as video naming hints
For music, consistent embedded tags and organization help identification. Artist, album, and track information are part of the media’s own tagging context, rather than the movie-style combination of a title, year, and catalog ID in a filename. Plex’s music guidance emphasizes organizing and tagging music appropriately, but the available documentation does not establish one universally best tagging application or a complete recipe for every audio format.
If an album or track is identified poorly, first check whether the embedded tags and organization are consistent, then correct the match in the server interface if the product offers that workflow. Do not apply video filename conventions or TV episode hints to music and expect equivalent behavior. Metadata handling depends on media type, server, and selected provider.
Fix an unmatched or mis-matched item
Work from the earliest point in the pipeline toward the later ones. First confirm that the server found the file and placed it in the intended library. Then correct its structure and identification clues. Only after identity is sound should you focus on source priority or metadata refresh.
- Check the library path. Confirm that the file is in the correct movie, TV, or music library and that unrelated major content types have not been mixed into that path.
- Review names and folders. Compare the title, year, season, and episode information with the naming conventions for your server. For Plex movie matching, include the year where useful; a supported provider ID can help when a title remains ambiguous.
- Add a platform-specific hint when inference is unreliable. For a Plex series or episode that the scanner cannot infer reliably, consider the documented
.plexmatchhints. For Jellyfin, use its documented provider-ID notation rather than copying Plex syntax without checking compatibility. - Check the selected agent or provider and source order. Confirm that the intended metadata sources are enabled. If you expect local posters or embedded data to win, make sure local assets are included and prioritized as appropriate for that library type.
- Use supported local metadata when it fits your setup. On a supported Plex installation, a valid NFO with the correct typed unique ID can provide structured metadata and help keep identity stable across rescans.
- Update existing metadata or correct identity. If you changed Plex source settings and want existing items updated, refresh metadata. If the selected catalog entry itself is wrong, verify the identifying information and use the fix-match workflow.
These checks target different failure modes. A file that is absent from the library points first to discovery, path, or classification. A visible item with the wrong title points to identification. A correct title with unwanted artwork or incomplete fields points more directly to metadata sources, their order, or the available local data.
Plex and Jellyfin: compare the documented controls, not a winner
The documented overlap is that both systems can use provider identifiers to clarify identity, but their naming syntax and other controls are not identical. Plex’s sources describe movie naming IDs, TV-specific .plexmatch hints, source ordering, and NFO support with a stated server-version minimum. Jellyfin’s cited naming guidance documents provider IDs in several kinds of delimiters. These facts do not establish a broad feature ranking or prove that one server matches more accurately in every library.
| Control | Plex documentation | Jellyfin documentation |
|---|---|---|
| Movie or item provider IDs in names | Current Plex Movie agent examples use curly braces, such as {tmdb-272} and {imdb-tt0372784}. |
Provider IDs can appear in file or folder names using supported bracket, parenthesis, or brace notation; documented examples include TMDB, TVDB, and OMDb/IMDb. |
| TV-specific hint file | .plexmatch can specify series and episode hints; provider-ID hints override title/year hints and the series directory name. |
Not stated in the cited naming guidance. |
| Local structured metadata | NFO files are documented for movies, shows, and episodes; the cited page specifies Plex Media Server 1.43.1 or newer. | Not stated in the cited naming guidance. |
| Metadata source priority | Users can prioritize sources, and lower-priority sources may fill fields unavailable from higher-priority ones. | Not stated in the cited naming guidance. |
“Not stated” means the cited documentation for this comparison does not establish the feature; it should not be read as proof that the product lacks it. Before adopting a naming or local-metadata workflow, consult the documentation for your installed server version, library type, and selected provider.
Quick Recap
What to remember about tag matching
- A scan discovers and analyzes local files; a later matching stage attempts to identify the media and populate metadata.
- Folder structure and recognizable names help the server interpret content, while explicit provider IDs can reduce ambiguity.
- Metadata source order affects which source supplies each field; a correct match does not guarantee that the preferred artwork or local data is being used.
- Video identifiers, Plex TV hints, NFO files, and embedded music tags are different mechanisms. Use the one documented for the media type and server in question.
