Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsKeep three copies of important files in total: the files you use and two backups. The 3-2-1 rule makes that baseline more resilient: store the copies on two types of media, keep one copy off-site, and make sure at least one backup is offline or otherwise protected from ransomware. Test restores so you know the copies work.
What does the 3-2-1 backup rule mean?
CISA defines the rule as three copies of your data in total: the primary copy and two backups. Keep those copies on two different types of media, with one stored off-site—outside the home or business where the primary data is kept. HHS OCR describes the same pattern and gives local disks, hosted cloud storage and removable media as examples (CISA: Data Backup Options; HHS OCR).

It is a practical baseline, not a guarantee against every kind of loss. The value comes from reducing the chance that one event—such as device failure, theft, a site disaster or ransomware—takes out every copy at once.

Think about where each copy lives, what it is stored on, and whether the same incident could reach all of them. For example, files on a computer, a removable drive stored separately, and a cloud backup can provide different locations and forms of protection. A drive sitting beside the computer may add another copy, but it does not count as an off-site copy.

| Backup characteristic | What to aim for | Why it matters |
|---|---|---|
| Number of copies | One working copy plus two backups | A single failure should not erase every copy. |
| Media | At least two different types, such as disk and cloud or removable media | Different media reduce reliance on one storage method. |
| Location | At least one copy off-site | A problem at the primary location is less likely to affect every copy. |
| Ransomware exposure | At least one copy offline or otherwise protected from access | Ransomware can target backups that are reachable from an infected device. |
| Recoverability | Periodically test that files can be restored | A backup is useful only if it is available and intact. |
Should one backup be offline?
Yes. CISA recommends offline, encrypted backups and regular checks of their availability and integrity. Ransomware may search for backups it can reach and then delete or encrypt them. A backup that is disconnected when not in use, or access-restricted in another effective way, is harder for malware on your everyday device to alter (CISA: Ransomware Guide).
For a personal computer, an external hard drive is one straightforward local option. Back up to it, store it safely, and disconnect it when it is not actively being used. A connected drive may be reachable by ransomware, and a drive kept in the same place as the computer is not the off-site copy. CISA also identifies a properly vetted cloud service as an option for backing up device data (CISA: Back Up Data).

Some cloud services offer immutable storage, designed to prevent stored data from being changed or deleted for a set period. CISA notes that implementation can involve configuration and compliance limitations, so immutability should not be assumed simply because files are in the cloud.
How often should you back up, and how long should you keep copies?
There is no single schedule or retention period that fits every person. CISA’s consumer guidance says to back up frequently; NIST’s guidance for managed service providers ties offline protection and update intervals to recovery-point and recovery-time objectives (CISA: Back Up Data; NIST SP 800-171 Rev. 2, Update 1).

Choose an interval by asking how much recent work you could afford to lose. If losing a full week of changes would be unacceptable, a weekly backup is too infrequent. Decide retention by considering how far back you may need to recover a file—for example, if damage or unwanted changes go unnoticed for a while. Keep enough restore points to cover that risk, while accounting for the storage and management involved.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How can you tell whether your backups will protect your files?
Check that the backup process is completing, that copies are protected, and that restoration works. CISA recommends regular checks of backup availability and integrity. A practical restore test is to recover a few representative files to a separate location and confirm they open correctly; for more critical data, test the recovery process you would actually rely on.
