That can free internal staff to focus on business priorities and create more consistent processes, but it does not guarantee lower costs or less downtime. The result depends on what the contract covers, how performance is measured, and how actively the customer governs the relationship.
What managed IT services cover
A managed service provider (MSP) is a third party responsible for a specified set of ongoing IT management and support activities. CGI describes MSPs as companies that proactively manage, monitor, and support client infrastructure. The scope varies by agreement; it may include some of the following, but no business should assume every item is included:

How outsourcing recurring IT work can streamline operations
More consistent support and maintenance
A provider can use recurring processes to monitor systems, handle user requests, and maintain infrastructure. Proactive monitoring and maintenance may help teams identify or address issues before they interrupt work. Whether that reduces downtime for a particular organization must be assessed against its own service records; the available sources establish no universal uptime improvement.

Less routine work for internal staff
When a contract assigns day-to-day support or maintenance to the provider, internal employees may have more time for business-specific priorities, projects, and planning. This is a shift in workload, not an automatic reduction in headcount or total IT cost. Fees, retained internal work, and separately billed tasks all affect the actual cost.
Clearer coordination across vendors and locations
An MSP may coordinate recurring work across multiple systems, suppliers, or offices. In a provider-published case study dated May 27, 2021, Impact describes supporting Palmer Johnson Enterprises during business consolidation, including ERP and CRM integration, employee onboarding, vendor relationships, consistent hardware, and maintenance across multiple locations. This illustrates work performed in one client engagement; it is not independent evidence that other organizations will achieve the same results. Read the Impact case study.

More predictable service arrangements
Managed services may use subscription or fixed-fee arrangements and service-level agreements (SLAs). The actual fee, included work, and service commitments are contract-specific; the sources do not establish a neutral price benchmark. A recurring fee is useful for planning only when exclusions, extra charges, and change terms are also clear. CGI’s overview discusses potential business benefits, not guaranteed savings.

What remains the customer’s responsibility
Outsourcing operations does not outsource accountability for business risk. CISA states, “Outsourcing IT services does not absolve executives of risk management responsibilities.” Its guidance says senior leaders should weigh efficiency and cost against reliability and security, understand effects on core systems and continuity, and consider risks within the provider itself. Customers and providers should agree on how responsibilities are divided after considering those trade-offs. CISA: Risk Considerations for Managed Service Provider Customers.

- Renewed Quality: Professionally tested and renewed to perform like new; may show minor cosmetic wear.
In practice, the provider can deliver contracted operations, while the customer retains business priorities, strategic oversight, and the decisions about acceptable risk. Business units also need to explain their requirements so the service is designed around actual work rather than a generic list of IT tasks. CGI’s governance guidance describes this division of responsibilities.
How to evaluate an MSP arrangement
Use the agreement and operating model to test whether the service will solve a defined problem. These are practical decision questions, not a formal industry standard:

When managed services are a good operational fit
The arrangement is most useful to evaluate when the organization has recurring IT tasks that need dependable ownership, lacks capacity for some of those tasks, or needs more consistent coordination across users, systems, or locations. It may be a weaker fit if the scope is vague, essential internal ownership is missing, or the agreement leaves important security, recovery, or transition responsibilities unresolved. In either case, the decision should turn on a defined service scope, measurable commitments, and customer-side governance—not on the assumption that outsourcing automatically makes IT simpler.
