Connecting a service can let Gemini search or summarize information, and in some cases take supported actions—but it does not automatically give Gemini access to every account item or every feature. What is available depends on your account, permissions, device, region, language, and, for work or school accounts, your administrator’s settings.
What a Gemini integration does
Gemini’s Connected Apps let you connect supported services and, where available, disconnect them. In a conversation, you can ask Gemini to use a connected service; Google’s guidance also says you can name the app or service when starting a new conversation. A connection makes certain information or actions available to Gemini under that integration’s rules. It is not blanket access to every service or every capability.

Some Google services can provide public information without a personal connection. Google gives Search, Flights, Hotels, Maps, and YouTube as examples. Access to personal content from a service is a separate matter and depends on the relevant connection and permissions.

Personal accounts
Depending on eligibility and availability, personal-account integrations may let Gemini work with information from Google services such as Gmail, Drive, Calendar, Tasks, and Keep. Some eligible users may also connect additional Google data, including Search activity, YouTube, Photos, Contacts, and Wallet-related information. These are examples, not a universal list: eligibility and supported products vary.

Work and school accounts
For qualifying Google Workspace accounts, integrations may let Gemini find or summarize content in Gmail, Docs, and Drive, or work with Calendar, Tasks, and Keep in supported ways. Google’s work and school documentation also lists Chat, Classroom, and GitHub for some users. The available services depend on the Workspace edition, language and age-related eligibility, account settings, and administrator policy.
What shared information can include
Depending on the connected services and permissions, information processed may include saved Search or YouTube activity, emails, files, calendar events, photos and videos, contact details, location information, and insights derived from those sources. The connection’s actual scope is limited by what that integration supports, what you can access, and any account or administrator restrictions.

What Gemini can do—and what a connection does not guarantee
Supported capabilities can include finding or summarizing information, viewing or creating Calendar events, managing supported Tasks or Keep notes, finding media, and controlling supported devices. The available actions differ by integration. Being able to connect a service does not mean Gemini can perform every action you can perform in that service.
Examples of documented limitations
- Google’s personal Workspace guidance says the integration cannot access comments or images in Docs or Gmail, or pictures and videos in Drive. It also says Gemini cannot manage Drive folders and files.
- Google’s work and school guidance describes further limits, including that Connected Apps cannot create or delete some Workspace document types or create Gmail drafts.
These examples apply to the documented account and integration contexts; they should not be treated as a complete list for every Gemini user. Check the help information for the particular service and account before relying on a specific action.

How permissions and administrator controls limit access
For Workspace content, Gemini’s access is constrained by the user’s existing access and by additional restrictions. Gemini can access only files shared with that user, and some Drive restrictions can block Gemini even when a file is shared. Delegated access to someone else’s Gmail does not give Gemini access to that delegate’s messages.
Workspace administrators can block Gemini, limit which Workspace data it may use, or control whether Gemini conversations can be shared. They can also disable some or all app access. Certain connections depend on settings such as Keep Activity or other smart-feature controls, so an app may not be available simply because the account otherwise supports Gemini.

Privacy: model training, human review, and third-party apps
Google-connected content and model improvement
Google says Gemini does not directly train generative AI models on content in Gmail, Drive, Contacts, Calendar, other Workspace apps, or Google Photos imagery and audio. Google separately says summaries, excerpts, generated media, and inferences derived from connected content may be used to answer prompts and improve models. In some cases, a summary may consist of the email or file itself. Google ties future product-improvement use to Keep Activity settings and describes deletion controls, with qualifications for data that has already been reviewed.

Google says a subset of Connected Apps data processed by Gemini may be reviewed by trained human reviewers to debug services, improve quality, and support safety. It describes steps to disconnect reviewed interactions from Google accounts and reduce personal information in ordinary review flows, with exceptions that include feedback and abuse or harm investigations. If you would not want a reviewer to see information in an app, Google advises against connecting that app.
Custom third-party apps
When information is sent beyond Gemini to a custom third-party app, the provider’s privacy practices govern its handling. Google warns that such an app may receive information from the chat and other available sources, and may request more data than seems necessary. Review the provider’s privacy policy, terms, and documentation before connecting it, supervise its use, and disconnect and remove it when you no longer need it.
How to decide whether to connect an app
- Identify the account. Establish whether you are using a personal account or a work or school account. For Workspace, check whether your administrator has enabled the service and whether your organization limits its use.
- Check the actual integration. In Gemini’s Connected Apps area, review which services are offered for your account and device. Availability may differ across the Android app, iOS app, and web, as well as by region and language.
- Match the data and action to your need. Decide whether you need Gemini to find or summarize information, or to take a supported action. Verify the specific capability rather than assuming the connection enables full control.
- Consider the sensitivity of the content. For Google-connected data, weigh Google’s disclosures about derived content and possible human review. For a third-party app, assess the provider’s own handling of information. Do not connect confidential material you would not want processed under those practices.
- Disconnect when appropriate—and manage activity separately. You can review and disconnect personal-account Connected Apps in settings. Disconnecting an app, or deleting data in the connected service, does not by itself delete Gemini Apps Activity; manage that activity separately. For work or school accounts, ask the administrator about controls.
Check Gemini’s sources before acting on its answer
Connected content can help Gemini answer questions such as “What’s on my calendar today?” or summarize recent emails, but the result is not a guaranteed current or complete record. Google warns that Gemini can hallucinate or provide outdated information, such as relying on an older email when a newer one exists. Inspect the sources shown with the response and verify important details in the original service before acting.
