For a freelance web developer, reliable payment starts before the invoice: agree in writing on the work, schedule and billing terms; send a clear, itemized invoice; choose a collection tool that suits both parties’ locations and preferred payment methods; then track and reconcile the payment against the project records.
1. Agree on scope and billing before work begins
Put the project terms in a written agreement before sending an invoice. Describe the deliverables, what is outside scope, milestone dates, revision limits or change-approval process, and when each payment is due. Make sure the billing schedule matches the work: an invoice should correspond to the agreed deposit, milestone, completed work, or recurring period.

Choose a billing structure
- Deposit or partial payment: request an agreed portion before starting, with the balance due at a milestone or completion.
- Milestones: divide a larger build into defined stages, such as design approval, development delivery, and launch. State what each payment covers.
- Completion payment: bill for the agreed amount when the specified work is complete.
- Hourly billing: document the rate, how time is recorded, billing interval, and any approval threshold for additional hours.
- Retainer: define the period covered, included work or hours, and how extra work is handled.
Net payment terms, late-payment provisions, and early-payment discounts are also options to discuss. Their legal effect and any required wording depend on the applicable jurisdiction; agree on terms rather than assuming a clause is enforceable. Stripe’s freelancer invoicing guide outlines these billing approaches, but is educational rather than legal or tax advice.
2. Create an invoice that is easy to verify
An invoice should let the client identify who is billing them, what work the charge covers, how the amount was calculated, when payment is due, and how to pay. Include:
#1 Best Overall
- Two-Part Carbonless Invoice Book: Each invoice book has 50 sets of invoices, each with a white/light yellow section, with the yellow section retained in the invoice book to maintain detailed records.
- Consecutively Numbered: Enlarged red 6-digit numbers in the upper right corner of each invoice receipt book help you quickly navigate through your orders.
- Wraparound Divider Flap: A thick folded cardboard divider is integrated into the back of each invoice book for use between each two-part sales order to prevent the written content from rubbing off on subsequent copies of the invoice, resulting in wasted invoices.
- 2 Packs/50 Sets (100 Sets Total): Each invoice book provides 50 sequentially numbered carbonless sets of 2 invoice books for long-term use.
- Customizable Space: Each invoice book for small business has space at the top to add a company seal or sticker.
- The word “Invoice” and a unique invoice number.
- Your business name and contact details, plus the client’s correct billing name and details.
- The issue date and a specific due date.
- Each deliverable or service, with quantities or hours and the agreed rate where relevant.
- Subtotal, applicable taxes or other agreed charges, and the total amount due.
- Payment methods, transfer instructions, and any applicable payment terms.
Check that the invoice matches the written agreement and the milestone or work actually delivered. Keep a consistent copy for your records. If emailing a standalone invoice, Stripe recommends PDF to reduce formatting problems; invoicing platforms may instead provide a hosted invoice page. PayPal describes invoice status tracking and reminders in its invoicing documentation.
3. Choose the collection tool for the client and workflow
There is no universally best payment gateway for every freelancer. First check whether the tool supports your location and the client’s, the currencies involved, and the client’s practical payment options. Then compare fees for the actual transaction and any currency conversion, not just a headline rate. Availability, features, and costs can differ by country, account, and payment method.

| PayPal Invoicing | Sending individual invoices through a no-code dashboard, sharing invoice links, configuring reminders, and tracking invoice status; API documentation is available for more automated workflows. | Confirm supported features, payment methods, and fees for the relevant accounts and countries. See PayPal’s invoicing documentation. |
| Stripe Invoicing | Creating invoices without code, using hosted payment pages, tracking invoices and reminders, or integrating invoicing into a larger workflow. | Verify current payment-method availability and pricing in the relevant region. Stripe’s feature descriptions and counts can change; its freelancer guide was last updated April 20, 2026. |
| Wise Business | Considering invoices and bank-transfer workflows involving more than one currency, subject to account eligibility. | Payment options depend on account status and registered address. Wise’s US freelancer page says accounts can hold 50+ currencies and lists conversion at 0.45%-3%; these are provider claims on a US page, not a universal rate promise. Check current pricing and eligibility for your account. See also Wise’s invoice information. |
A reusable payment link and a customer-specific invoice are not interchangeable. A link can be useful when you want to share the same payment option broadly; an invoice identifies a particular client’s work and amount, and supports tracking that request. PayPal’s invoice documentation covers invoices, while its payment-link comparison explains the link use case.

A provider dashboard is a reasonable starting point when you send invoices occasionally and are comfortable entering details manually. If invoice volume grows, compare reminder automation, recurring billing, status tracking, accounting integrations, and API access. Choose automation for a concrete workflow need; more features do not automatically mean lower costs or less reconciliation work.

Compare providers on the details that affect your project
- Can the client pay using a method they already use?
- What are the transaction and currency-conversion costs for the specific countries and currencies?
- Is manual invoice creation sufficient, or do you need API access and automated reminders?
- Does the workflow support your billing schedule, including recurring charges or milestones?
- Can you export or integrate records with your bookkeeping process?
- Are you and the client eligible to use the relevant features in your respective locations?
4. Give international clients clear transfer instructions
When using a bank-transfer invoice, make the transfer instructions easy to follow and make sure the client can send the invoice currency and use the stated payment route. For Wise invoices, the client should enter either the invoice number or the unique reference in the transfer reference field—not both. Wise says a missing or conflicting reference can prevent automatic matching and delay reconciliation. Available payment methods depend on the account and registered address, so verify the options shown for your own account in Wise’s invoice information.
5. Track payment and reconcile it to the work
Keep a simple status for each invoice, such as due, paid, overdue, or expired. When a payment arrives, match the amount and reference to the invoice, record any fees or currency conversion shown by the provider, and retain the receipt with the invoice and project records. Follow up according to the terms you agreed with the client rather than relying on an assumed reminder schedule.

If a client questions an invoice, compare it with the signed agreement, approved scope changes, and the milestone or work delivered. Respond neutrally, clarify the disputed line item, and share relevant documentation such as approvals, delivery records, correspondence, and payment receipts. Stripe’s guide to freelancer invoicing also suggests considering mediation where appropriate. Keep these records together so the invoice can be traced back to the agreed work.

Tax and legal requirements depend on location
The tools described here document product features, not the tax treatment or mandatory invoice fields for every jurisdiction. Confirm local requirements for business details, tax, invoice numbering, record retention, and late-payment terms with the relevant government guidance or a qualified professional. Do not assume an example invoice or provider default meets your local rules.
