A mileage total by itself may not capture the information needed to support business car expenses: the IRS identifies the date, destination, business purpose, miles for each business use, and total annual miles among relevant records.
What to record for each business trip
For federal tax records, IRS Publication 463 lists these details among the relevant records for car expenses:

- Date of vehicle use
- Business destination
- Business purpose
- Mileage for each business use
- Total miles driven during the year
The publication also identifies the car’s cost and improvements and the date business use began as relevant information. What support is needed can depend on the taxpayer’s circumstances and the rest of the return. See the IRS Publication 463 (2025), Travel, Gift, and Car Expenses.

A destination without a business reason—or a monthly business-mile total without trip details—can leave you trying to reconstruct the record when preparing taxes. Keep personal driving distinguishable from business use, and retain an annual total-mileage record so business miles can be considered against all vehicle use.

A low-friction mileage-recordkeeping workflow
- Capture the trip promptly. At the end of a trip or driving block, note the date, miles (or start and end readings), destination, and business purpose.
- Separate personal trips. Do not combine personal driving with business mileage; keep enough information to distinguish the two.
- Review unclear entries regularly. Resolve uncategorized trips while you still remember why you drove, rather than leaving a pile of ambiguous entries for tax preparation.
- Keep annual mileage evidence. Preserve an odometer reading or another record that establishes total vehicle miles for the year.
- Retain the supporting records together. Keep the log or export alongside relevant receipts and other tax records. The IRS says retention periods depend on the transaction and records should be kept as long as needed to substantiate income or deductions.
This sequence is a practical way to keep the facts complete; the IRS does not prescribe a particular app or review schedule. Its Recordkeeping guidance says, “You may choose any recordkeeping system suited to your business that clearly shows your income and expenses.”
Paper logbook or digital mileage record?
Both can work as record formats if they clearly preserve the required information. IRS guidance recognizes logs, diaries, notebooks, trip sheets, statements of expense, and computer-prepared records; it does not endorse a particular vendor or make an app a guarantee of adequate substantiation. Compare the formats by how reliably they capture and preserve trip facts, not by assuming that digital automatically means tax-ready.

IRS Publication 463 treats a computer-prepared record as adequate when it preserves the necessary information, while its examples also include a log, diary, or notebook. A business mileage logbook is a practical paper option, but whichever format you use, enter the relevant trip facts and keep the record accessible.
How mileage records support a deduction
For business car expenses, the IRS describes two general calculation methods: the standard mileage rate and actual expenses. Only the business-use share is deductible for a vehicle used for both business and personal driving. Parking fees and tolls attributable to business use may be deductible separately under the IRS guidance. Eligibility and method-specific rules determine what you can claim; tracking records support the claim but do not decide eligibility. See IRS Topic no. 510, Business Use of Car.

For a taxpayer eligible to use either method, comparing them may be useful, but the choice can have consequences. The IRS says that for an owned vehicle, the standard mileage method must be chosen in the first year the vehicle is available for business use if the taxpayer wants to use it; later choices are subject to applicable rules. For a leased car, choosing the standard mileage rate commits the taxpayer to that method for the full lease period, including renewals. Check Publication 583, Starting a Business and Keeping Records and the applicable IRS guidance before choosing a method.
2026 federal standard mileage rates
The IRS revised the 2026 business rate during the year. Apply the rate for the date the miles were driven rather than treating one figure as the rate for all of 2026.

The Internal Revenue Service announced the midyear business-rate revision in response to recent fuel price increases. The figures are federal rates; check the IRS Standard Mileage Rates page for updates and the applicable rules. These rates do not establish whether a particular trip qualifies as business use.
Where mileage tracking does—and does not—save effort
Routine capture replaces some end-of-year memory work with short, specific entries. Consistent records also make it easier to spot missing purposes or uncertain classifications before they become harder to resolve. No IRS source quantifies time saved by mileage apps, and no format removes the need to ensure entries are accurate, distinguish personal use, and retain supporting records. The useful measure is whether your method reliably preserves the facts you will need without creating a backlog.

The IRS’s Publication 463 states: “If you keep timely and accurate records, you will have support to show the IRS if your tax return is ever examined.”
