A 3CX softphone connects by provisioning the app for an extension on a specific 3CX phone system. Depending on the device, you sign in with the system URL and your account details, scan a QR code from your account email, or use the Web Client to configure the Windows app. Your administrator must create the extension and make the system reachable; calls to regular outside phone numbers also require a separately configured SIP trunk.
Choose the connection method for your device
These are the three 3CX user routes: a native Windows app, the iOS or Android app, and the browser-based Web Client. The Web Client is not a native softphone app, and an SBC for IP desk phones is a separate endpoint arrangement.

| Option | How it connects | Native app? |
|---|---|---|
| Windows Softphone App | Sign in with the 3CX system URL and account details, or provision it from the Web Client. | Yes |
| iOS or Android app | Scan the QR code in the “Your User Account on your New 3CX System” email. | Yes |
| Web Client | Open the Web Client URL from the account email and sign in with credentials or Google or Microsoft 365, when configured. | No |
Set up the Windows softphone
- Install the 3CX Windows Softphone App from the Microsoft Store.
- Enter the 3CX URL listed in your account details email.
- Sign in with your email address or extension number and password. The app should provision automatically; if your extension uses two-factor authentication, you may also be asked for a security PIN.
You can also open the 3CX Web Client, select Apps, choose the Windows App tile, and select Provision. Follow the browser prompt to open 3CX; Windows may ask you to allow network access. The 3CX manual says, “The app will launch with your extension automatically configured.” If your system is configured for Google or Microsoft 365 sign-in, you can authenticate through that provider and then provision the app. See the 3CX Windows Softphone App user manual.
Set up the iOS or Android app
- Install the 3CX app from the Apple App Store or Google Play Store.
- Open the “Your User Account on your New 3CX System” email.
- Scan the QR code at the top of the message. The app should configure the extension automatically.
For a single remote user, 3CX recommends considering its mobile app; ordinary app access does not require a local SBC. The 3CX quick reference also describes signing in to the Web Client from the URL in the account email, using Google, Microsoft 365, or the credentials provided by the administrator.

What the business system must provide
A softphone does not connect to any phone system merely because you have an app. It must be provisioned for a valid extension on a particular 3CX installation, using that system’s URL or QR code. An administrator creates the user account and extension and chooses how the system is deployed: hosted, private cloud, or on-premises. 3CX says hosted service reduces the customer’s system and operating-system management work; private-cloud and on-premises deployments involve more customer administration. For self-hosted systems, 3CX identifies a static IP, suitable firewall configuration and, where applicable, split DNS as network considerations. See the 3CX system manual.
These are 3CX app-provisioning instructions, not generic SIP-account instructions. Use the URL, QR code, or provisioning flow associated with your organization’s system rather than entering arbitrary SIP credentials.

External calls need a SIP trunk
Provisioning the softphone connects it to the business phone system; it does not, by itself, provide a public telephone number or calling to and from the public telephone network. For that, the system needs an account with a SIP trunk or VoIP provider. The administrator selects a provider supported in the relevant country, then in 3CX opens Admin > Voice & Chat > Add Trunk and enters the provider’s registration details or IP-authentication information. The administrator also routes DIDs (inbound numbers) to users or other call-handling destinations. Follow the 3CX SIP trunk configuration guide.

Remote app access depends on the system being reachable and correctly configured. For remote 3CX apps and SBCs, the 3CX firewall guide lists inbound TCP and UDP port 5090 for the 3CX tunnel, plus inbound HTTPS on port 443 or 5001—or the system’s configured custom HTTPS port. It also lists outbound ports used by Android and Apple push services. These are configuration requirements to check against the current guide for your deployment, not a universal instruction to open ports on every network. For an on-premises system, ask the administrator to verify the firewall and run the 3CX Firewall Checker. See the 3CX firewall ports guide.

For Android and iOS apps, 3CX says tunnel encryption is used by default, so separate TLS and SRTP configuration is not needed for those apps. This statement applies to the mobile apps; other endpoints and trunks have separate TLS considerations. See the 3CX security guide.

- The app will not provision: Check that you used the right system URL or account email, and ask the administrator to confirm that your extension is active and provisioned.
- Remote access fails: Ask the administrator whether remote access is enabled and whether the applicable HTTPS and tunnel rules are correct.
- The app connects but outside calls fail: Ask the administrator to check SIP trunk registration and call routing. Extension provisioning and external calling are separate configurations.
- Notifications do not arrive: For an on-premises system, have the administrator check the relevant network access for Apple or Android push services in the firewall guide.
