A desktop media player must recognize a file’s container, find its audio and video streams, and decode those streams with compatible codecs. The extension is only a clue: two files ending in .mp4 can contain different codecs, and an error message alone does not prove that a codec is the problem.
Container vs. codec: what the file extension tells you
A container packages media streams—such as video, audio, and subtitles—into one file. A codec describes how a stream is encoded and decoded. The filename extension usually points to a container family, not every detail of the streams inside it.

MP4 is a useful example. A VLC guide shows an MP4 file containing H.264 video and MP4A audio, then demonstrates re-encoding those streams to H.265 video and MPGA audio while retaining the MP4 container. The extension stays the same even though the codecs differ. VideoLAN’s transcoding guide explains the distinction.
What happens when a player opens a video
- Open and parse: The player reads the file and interprets its container to locate the available streams.
- Select streams: It identifies the video, audio, and any subtitle streams to play.
- Decode: The player routes each selected stream to a decoder it can use. The container and the codecs inside it must both be compatible with the player’s implementation.
- Present playback: The player turns decoded video and audio into images and sound. Whether playback is smooth can also depend on the file and the system; a format listing is not a guarantee for every profile or hardware configuration.
Codec support varies by product and platform. FFmpeg’s format documentation, for example, lists encoding and decoding capabilities separately. Being able to decode a format does not automatically mean a player can encode it, or vice versa.

Why codec support differs between desktop players
Players can obtain decoders in different ways: they may include them in the application, rely on operating-system components, or offer separately installed extensions. That means installing something for one player or system does not necessarily change another player’s support.
VLC
VideoLAN says in its VLC for Windows FAQ: “VLC only uses built-in codecs and as such, it doesn’t support VfW or DirectShow APIs for codecs.” In practical terms, installing a system codec that uses those APIs should not be assumed to add decoding support to VLC.

Windows Media Player
Microsoft’s Windows Media Player 12 supported-file list describes formats for that player version. Microsoft also notes that additional formats may work when suitable codecs are installed. Its Codecs FAQ describes default codecs and extensions available through the Store, with MPEG-2, HEVC, VP9, AV1, and Web Media among its examples. Availability and compatibility can vary with the Windows setup and change over time; this list is not a promise for every Windows media app.

If the player cannot identify the streams, an independent media-inspection utility may provide more detail. Treat the result as a clue to investigate alongside the exact player, version, operating system, and error—not as proof that a codec is the only possible cause.
What to try when a video will not play
- Record the symptoms: Note the player and version, operating system, extension, and full error text. “A codec is required to play this file” is a useful error to investigate, but it does not identify the missing component by itself.
- Inspect the streams: In VLC for Windows, use Tools → Codec Information. Determine whether the player can identify the container and the audio, video, and subtitle streams.
- Separate codec issues from other failures: Consider whether the problem appears limited to video, audio, or subtitles, or whether the file fails to open at all. Microsoft cautions: “Not all Windows Media Player playback problems involve codecs.” A damaged file or another playback issue may need a different remedy.
- Check the relevant player’s support: For Windows Media Player, compare the file with Microsoft’s documented support for Windows Media Player 12 and check whether an official codec extension is available for the format. Do not apply that list as a universal compatibility guarantee.
- Avoid random codec packs: Microsoft warns that compatibility problems in some packs can trigger serious playback problems in Windows Media Player and other players, cause system corruption, and make support diagnosis harder. Use codecs or filters only from sources you trust.
- Consider conversion only for a specific compatibility need: If the target player or device cannot decode a stream, transcoding can re-encode it into a format that target supports. It is a separate task from playback and does not guarantee a repair for corruption or preservation of every quality attribute.
Playback and transcoding are different
Playback decodes streams so you can watch and listen. Transcoding re-encodes one or more streams and then places them in a container, a process VideoLAN documents in its VLC Desktop 3.0 guide. Conversion can help when a known target device or player lacks support for the original streams; an unfamiliar extension alone is not a reason to convert.

How to compare players for format support
- Container and stream support: Check both the containers the player opens and the audio and video codecs it can decode. An extension does not reveal every stream.
- Decoder source: Find out whether support comes from the player itself, the operating system, or an optional extension. This affects whether a system-level codec change can help.
- Platform and version: Compatibility documentation applies to the product version, operating system, and build it names. Check the current documentation for the player you use.
- Inspection and error details: A codec-information view can help identify stream details before you troubleshoot.
- Playback versus conversion: The ability to play a stream and the ability to transcode it are separate capabilities.
