Chromebooks can do useful work without an internet connection, but offline access is not a universal switch: it depends on the app, the file, and whether cloud content was synced or downloaded beforehand. ChromeOS combines web apps, Android apps on supported devices, and an optional Linux environment for development. Its Files app brings together local downloads, Google Drive, Android app files, and removable storage—but those locations do not all behave the same way.
Which apps can you use on a Chromebook?
ChromeOS supports web apps, Android apps on eligible Chromebooks, and an optional Linux development environment on supported devices. An app’s availability and offline behavior are separate questions: an app may run on a Chromebook but still require an internet connection for some or all of its features.

Web apps
Web apps run in Chrome and often depend on a connection, though some offer offline features. Google lists Gmail, Keep, Drive editors, Calendar, the built-in photo editor, and media playback among activities that may work offline. Check the requirements of the specific app and prepare its data before disconnecting. Some offline services do not work in Guest or Incognito mode. Google’s Chromebook offline guide describes the available activities and their conditions.
Android apps
Some Chromebooks support Google Play and Android apps; not every Chromebook or Android app is compatible. On work or school devices, an administrator may also block Play Store access. Android apps use local device storage, so their files and data may take up space on the Chromebook. On shared devices, consider what local app data remains on the device. Check the device’s support and account policy before relying on a particular Android app. Google’s Play Store guidance explains how to use Android apps on Chromebooks.

Linux development environment
On supported Chromebooks, Linux can be enabled in Settings as a Debian development environment for command-line tools, editors, and IDEs. It is an opt-in feature for development, not a general-purpose app store or replacement for the web and Android app catalogs. Google’s documented setup has limitations, including unsupported Android emulators and no hardware acceleration. See Google’s Linux setup and limitations before choosing it for a development workflow.
Where Chromebook files are stored
The Files app is a file manager, not an indication that every listed file is stored locally. Its locations can include Downloads, Google Drive, external devices, and Play files for Android apps. The difference matters when you are offline or running low on storage.

| Files location | Where the data lives | What to know |
|---|---|---|
| Downloads | On the Chromebook | Local by default; the download location can be changed. Google describes Downloads as a temporary location. |
| Google Drive | Cloud-backed | A file may need a connection unless it has been made available offline and synced to the device. |
| Play files | Android app storage on the Chromebook | Android app files and data use local device storage. |
| External devices | Removable storage, such as a compatible USB drive | Access depends on the drive, file system, connection, and Chromebook compatibility. |
Google documents the Files app and local storage locations in its Chromebook file management guide.

Local storage is finite. Google identifies Downloads, offline Drive files, Android storage, browsing data, and other users’ data among the categories that can consume space. Low storage can interfere with downloads and Android apps; ChromeOS may automatically remove some downloaded files or other data. Keep important files backed up or synced rather than treating local storage as an archive. Google’s storage management guidance explains how to review space use.

What offline work requires
Offline access depends on both app behavior and content availability. A web service may require a connection, while an app may let you work offline only after it has synced data or downloaded the files you need. Google identifies Gmail, Keep, Drive editors, Calendar, the built-in photo editor, and some media as possible offline activities, but availability varies by service and setup. Use the service’s own offline instructions rather than assuming that opening it once is enough.
Make Google Drive files available offline
- While connected, enable Drive offline access. Follow the current Chromebook instructions in Google’s guide to using Drive files offline.
- In the Files app, select the specific files or folders you need. Turn on Available offline. A check mark indicates that an item is available offline.
- Wait for the files to sync before disconnecting. Confirm that the selected items show as available offline on the Chromebook.
- Reconnect after working offline. Changes sync to Drive when the Chromebook next has an internet connection.
Chromebook Plus includes a setting to make all files in My Drive available offline, subject to available storage. If storage is low, the feature may stop working or offline files may become unavailable; selected files are not a substitute for checking free space.

Set up Gmail offline
Turn on Gmail offline in Gmail settings while connected, and choose how much mail to sync. Messages you send while offline wait in Outbox and are sent when the connection returns. Gmail offline does not work in Incognito, and a work or school account may require administrator configuration. Use Gmail’s offline setup instructions for the current settings.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsPrepare Keep notes and media
Keep notes can be created or edited offline after Keep has had time online to save existing notes. For media, download eligible content in the relevant app before going offline; requirements vary by service and may include an app or subscription. Google’s Chromebook offline guidance says YouTube Music for Chromebook does not support offline playback; its documented offline option uses the Android app and YouTube Premium. Because app capabilities and subscription rules can change, check the current service instructions before depending on playback without a connection.

External drives and file compatibility
A compatible USB drive or other external device can help transfer or back up files, but a connector alone does not guarantee access. Google lists FAT16, FAT32, exFAT, NTFS, MTP, and certain read-only formats among supported file systems. Compatibility can also depend on the drive, cable, port, and ChromeOS version. Google’s external storage guidance covers supported devices and formats.
Before reformatting a drive to make it usable, copy its contents elsewhere: reformatting erases the drive. External storage is optional; Drive and offline-capable apps do not require a USB flash drive.
Office documents and offline editing
Chromebooks can open many Microsoft Office file formats, but opening a file does not guarantee that the intended editing workflow will work offline. Google’s Office guidance says Microsoft 365 files cannot be opened in Google Docs, Sheets, Slides, or Microsoft 365 while offline; a basic editor with limited functionality may be offered instead. Before travel or other offline work, test a representative file in the specific app you plan to use and confirm that the needed editing features are available. See Google’s Office file guidance for Chromebooks.

Quick Recap
A practical checklist before going offline
- Check that the Chromebook supports the app you need, and confirm that a work or school administrator has not restricted it.
- Open each service while connected and follow its offline setup steps; do not assume the app works offline just because it is installed.
- Mark necessary Drive items Available offline and allow time for syncing.
- Download eligible media in its service app, and test important documents in the intended offline editor.
- Check available local storage, including space used by downloads, offline files, and Android apps.
- If using removable storage, verify the drive and format work with the Chromebook and keep another copy of important data.
