ChatGPT has three different layers that are easy to confuse. Memory can personalize replies with relevant information from past interactions and other sources available to your account. Custom instructions are the rules and background you explicitly provide. Tools add capabilities such as web search, data analysis, image generation, file handling, voice, and Canvas. They are separate controls, and what you can use depends on your plan, country or territory, platform, and—if you use a managed account—workspace permissions.
The practical consequence is that a setting can change how ChatGPT responds without changing your chat history, and a privacy setting can affect model improvement without disabling personalization. The guide below shows what each feature does, how to control it, and where the boundaries are.

A simple mental model: history, personalization, and capabilities
Think of a ChatGPT account as having three distinct layers:

- Chat history is the record of conversations saved to your account. A chat can remain in history even when personalization or model-improvement settings are changed.
- Personalization includes saved memories and, where available, references to relevant information from chat history. It helps responses fit your preferences but is not a verbatim archive of every message.
- Capabilities are tools and modes that let ChatGPT search the web, analyze data, work with files, create or interpret images, use voice, or perform other tasks beyond a plain text exchange.
These layers interact, but none is a substitute for another. Deleting a memory does not automatically delete the chat that supplied it. Turning off model improvement does not erase history. Enabling a tool does not grant it unrestricted access to every external account or file.

How Memory works
What ChatGPT remembers
When Memory is enabled, ChatGPT may retain useful preferences and details from conversations and other sources available to your account. OpenAI says it does not retain every detail. The memory summary can omit context, and the available sources and controls vary by plan, region, platform, and workspace. For example, it might retain a preference about how you like code formatted, but you should not assume that every fact in every previous chat is available in a future conversation.
Memory is therefore a personalization aid, not a searchable transcript. It can influence a new answer when a remembered detail is relevant, while unrelated conversations may have no effect. Because the feature and its labels change over time, the controls shown in your account are the authoritative indication of what is enabled.
Saved memories versus chat-history references
OpenAI documents two related mechanisms. A saved memory is an item ChatGPT has retained for future personalization. Reference chat history, when offered and enabled, allows relevant information from earlier conversations to inform a response without every detail becoming a saved memory. The two options can have different controls and deletion effects, so check which one your account provides.

Reviewing, correcting, and deleting memories
Open Settings → Personalization → Memory. Depending on your account, you may see switches for Memory, Reference saved memories, or Reference chat history, plus a summary and a Manage control. From there you can inspect entries, remove individual items, or disable the feature.

Deleting a saved memory removes that memory entry, but it does not necessarily remove the original conversation or another copy of the same information. If you want the information gone from both places, delete the saved item and the chat or other source in which it appeared. Turning Memory off also leaves existing chats in your history unless you delete those chats separately.
What happens when Memory is disabled
With Memory off, ChatGPT should not create or use ordinary personalization memories through the controls you disabled. That does not retroactively rewrite old replies, remove chats, or change unrelated data-use settings. OpenAI also notes that limited safety-relevant context may be used in rare, high-risk situations even when Memory or personalization is off; this is a narrow safety provision, not ordinary preference tracking.
How custom instructions work
Direct guidance you write
Custom instructions are explicit directions about your background and the way you want ChatGPT to answer. OpenAI Help Center defines them as: Custom instructions are direct guidance that you provide about what ChatGPT should know and how it should respond.
You might specify your role, preferred level of detail, formatting rules, accessibility needs, or a recurring project context.
Unlike a memory that may develop from conversation, an instruction is authored and edited by you. It remains guidance until you change or remove it. Good instructions are specific and testable—for example, asking for a short summary followed by risks and assumptions—rather than vague requests such as “always be perfect.”
Where to edit them
OpenAI’s current documentation places the control under Personalization on the web and desktop apps, and under Customize ChatGPT on iOS and Android. Turn on the enable-customization control, edit the fields, and save. Labels can change, especially in managed workspaces, so use the Personalization or Customize area visible in your account.

Updates apply immediately across chats, including existing conversations. That means a revised instruction can affect the next response in a chat you already opened. Removing an instruction changes future behavior; it does not delete the conversation or rewrite messages that were already generated.
Memory and custom instructions compared

Both can shape an answer at the same time. If they conflict, make the instruction unambiguous and check the active memory or personalization settings; neither feature is a guaranteed substitute for stating a critical requirement in the current prompt.
Tools and modes: what they add
Tools are capabilities beyond an ordinary text exchange. OpenAI’s capabilities overview includes the following categories:
- Web search: retrieves current pages and can provide citations and source links.
- Deep research: performs a multi-step research workflow for complex questions; access also depends on country or territory.
- Data analysis: works with supported data and files to calculate, transform, and visualize results.
- Image input and generation: interprets images you provide and can create images when the feature is available.
- File and audio uploads: lets you supply documents, spreadsheets, recordings, or other supported files for analysis.
- Voice: enables spoken interaction on supported platforms and accounts.
- Canvas: provides a workspace for drafting or editing text and code.
A capability is not automatically available to every account. Plan entitlements, regional rollout, device or app version, workspace policy, and administrator controls can all affect the menu you see. If a tool is missing, check the account’s plan and settings before assuming it has been removed globally.
Built-in capabilities versus connected services
A built-in capability operates within ChatGPT’s supported environment. A connected external service is different: it may require you to authorize an account, grant scopes, or allow data to leave the ChatGPT session. Read the permission prompt, identify what data can be read or written, and disconnect the service when it is no longer needed. Workspace administrators may disable connections even when a personal account would show them.

Using web search responsibly
Search results and citations are useful starting points, not proof of accuracy. Pages can be incomplete, outdated, or wrong. Open the cited page, check its publication or update date, assess the author’s authority, and verify important claims against an independent primary source. For legal, medical, financial, safety, or operational decisions, treat a generated answer as an aid to checking—not as the final authority.

Temporary chats are designed for conversations that should not create or update ordinary memories. Before starting, you choose whether the temporary chat can use existing memories and custom instructions. That choice cannot be changed after the temporary chat begins, so set it deliberately.
A temporary chat does not create or update memories. If you save it, it becomes a regular chat and then follows your account’s usual settings. Saving therefore changes its status; it is not a way to preserve a temporary state indefinitely.
Temporary status also does not mean that every other data policy disappears. Review the account’s chat-retention and data-use controls, especially on a managed workspace, before entering sensitive information.

The Improve the model for everyone setting controls whether new conversations may be used to train OpenAI’s models. When it is off, OpenAI says new conversations are not used for that training purpose, while those conversations may still appear in your chat history. This control does not automatically turn off Memory, delete saved memories, or remove chats.
Personal consumer accounts and managed Business, Enterprise, Edu, and Healthcare workspaces can have different default treatment of data. Do not apply a personal-account assumption to an organization’s workspace. If your employer or school administers the account, read its policy and ask the administrator which retention, connection, and training controls are enforced.
Do custom GPTs remember your chats?
OpenAI’s current Help Center guidance says conversations with custom GPTs start fresh: they do not use your saved Memory, custom instructions, or previous conversations. A custom GPT can still follow the instructions and files configured by its creator, and a session can use tools made available to that GPT, but your personal ChatGPT personalization does not carry over as a hidden profile.
For a task that depends on your preferences, place the necessary context in the current conversation or in the GPT’s permitted configuration. Do not assume that a previous chat with the same GPT will be available the next time you open it.

A practical setup and privacy checklist
- Decide what should persist. Use a custom instruction for a standing response rule you deliberately want across chats. Allow Memory only for useful recurring context that you are comfortable managing.
- Inspect the controls. Go to Settings → Personalization → Memory and review the switches, summary, and Manage option your account exposes.
- Write concise instructions. State your audience, preferred structure, units, language, and constraints. Avoid placing secrets, passwords, or information you would not want reused.
- Choose temporary chat for a one-off session. Set whether it may use existing memories or custom instructions before sending the first message.
- Separate deletion tasks. Remove a saved memory, then delete the source chat or other copy if you need the information removed from both locations.
- Check data-use settings. Review Improve the model for everyone independently from Memory and chat-history settings.
- Audit tools and connections. Confirm which tools are enabled, what files or accounts they can access, and whether a workspace administrator limits them.
- Verify important outputs. For web-based answers, open citations and check dates and authority. For calculations or generated files, inspect the inputs and assumptions.
When a feature seems not to work
ChatGPT repeats a preference incorrectly
Inspect the memory summary and remove or correct the inaccurate entry. Also check custom instructions and the current prompt; an old instruction can conflict with a corrected memory. If the source conversation contains the wrong detail and you want no copy retained, delete that chat as well.
A tool or mode is missing
Check plan, country or territory, app or browser version, and workspace permissions. Some capabilities roll out gradually, and deep research has additional geographic restrictions. A missing button does not by itself indicate an account error.
Turning off a setting did not remove old data
That result is expected when you disabled Memory or model improvement without deleting history. Use the appropriate deletion control for the saved memory and separately remove the original chat or file where the information remains.
A custom GPT does not know your preferences
That is the documented fresh-start behavior. Provide the needed context in that GPT conversation and check the GPT’s own configured instructions and tools rather than expecting your personal Memory or custom instructions to transfer.
