AI email personalization uses information linked to a recipient to select relevant content, offers, recommendations, segments, or follow-up messages. The process typically connects profile and activity data to a contact, applies rules or a model to choose what may be useful, and renders or triggers the email. The data required depends on the feature: a basic personalized message can use a profile field, while purchase recommendations or predictive features may require a connected store and sufficient activity history.
How does AI personalization work in marketing emails?
It is best understood as a pipeline, not a single AI feature. A marketer starts with an outcome—such as showing content that matches a stated interest, recommending a related product, or sending a follow-up after a purchase. The email platform receives relevant profile and event data, associates it with a contact or audience, and uses rules or models to select a segment, recommendation, or trigger. The email template then inserts the selected content for eligible recipients. The exact method varies by platform; this is a general description of documented capabilities, not a claim that every service uses the same model architecture.

Personalization can be as simple as inserting a name or showing a dynamic content block. More involved approaches include behavior-based segments, automated journeys, predictive scores, and ranked product recommendations. Salesforce describes merge tags, dynamic content, segmentation, behavior-triggered messages, and product recommendations as approaches to email personalization. Mailchimp, for example, says its connected-store feature ranks up to 10 product recommendations for each subscribed contact.
“AI personalization” does not necessarily mean a large language model writes every email. The system may use stored fields, predefined rules, an automated trigger, or a model that predicts or ranks options; the email itself can still be a marketer-written template.

What data does AI email personalization need?
There is no universal data checklist. The right inputs depend on the intended use, and collecting more information than needed is not automatically helpful. Common categories and possible uses include:
| Data category | Examples | Possible use |
|---|---|---|
| Contact and profile | Email address and supplied profile attributes | Addressing, eligibility, and basic segmentation |
| Declared preferences | Topics or product interests selected by the person | Choosing relevant content or suppressing unwanted categories |
| Transactional | Products bought, purchase date, and order value | Cross-sell, replenishment, loyalty, and purchase-history recommendations |
| Behavioral | Product or page views and other site or app activity | Interest-based segments and follow-up triggers |
| Email engagement | Interactions with campaigns | Engagement segments and predictive analysis |
| Context | Location or customer lifecycle stage | Local or lifecycle content, where appropriate |
These are examples, not requirements for every campaign. Salesforce describes these kinds of data and uses; Mailchimp also describes connected-store and marketing activity as inputs to its predictive analytics. Choose fields that serve a clear purpose and keep them accurate and non-excessive.

Can AI personalize emails with limited customer data?
Yes, if the chosen feature only needs information you already have. A declared preference can drive a content choice; a profile field can populate a message; and a known purchase can support a simple follow-up rule. These approaches do not require a comprehensive behavioral profile.

More data-dependent capabilities have different prerequisites. Mailchimp says its purchase-history product recommendations require a supported online-store or custom API 3.0 integration, e-commerce tracking, at least 10 products, 50 customers, and 500 orders in the last year. It says generating recommendations after connecting a store may take up to seven days. Those thresholds apply to this Mailchimp feature, not to AI email personalization generally. Its predictive analytics documentation lists a connected online store and at least one campaign sent as prerequisites for the described feature, which uses connected-store data and marketing activity such as purchase history, browsing behavior, and email engagement.

Before promising a capability, check the provider’s current documentation for supported integrations, data thresholds, plan entitlements, identity matching, and how quickly data updates. These details can change, and a feature may not be available on every plan.
How should you choose a personalization approach?
Match the method to the decision the email needs to make. A merge field or dynamic block may be enough to reflect a known preference. A segment or trigger can support a follow-up based on activity. Recommendations and predictive scores are more dependent on connected data and the vendor’s eligibility rules.
When comparing providers or implementation options, check:
- Which first-party data sources and integrations they support.
- Whether the use case needs rules and segments, product recommendations, or predictive scores.
- How data freshness and identity matching are handled.
- Whether recipients’ preferences, objections, suppression, and deletion requests can be applied across relevant systems.
- Feature-specific minimum data thresholds and plan availability.
- What measurement and experimentation features are available to assess results.
The available vendor descriptions establish different feature approaches and prerequisites, but do not establish an independent head-to-head performance result. There is no verified, broadly applicable uplift figure here for opens, clicks, or revenue, so performance should be measured for the campaign and audience rather than assumed from the label “AI.”

Is AI email personalization legal?
There is no single global answer: requirements depend on where the sender and recipient are, the type of message, and the data and profiling involved. The following is scoped to UK Information Commissioner’s Office guidance, not a summary of laws in other jurisdictions.
The ICO says profiling for direct marketing should be fair and explained, have a lawful basis, use accurate and non-excessive profile information, take potential harms into account, and respect objections. It also notes that profiling can involve predictions or assumptions, and that special-category data used in direct-marketing profiling is likely to require explicit consent. See the ICO’s guidance on collecting information and generating leads.
Email delivery rules are related to, but distinct from, rules about profiling and personal data. For electronic marketing to individual subscribers, the ICO says specific consent is generally needed unless a relevant soft opt-in applies. Its existing-customer soft opt-in is limited to details obtained during a sale or negotiation for a sale of a similar product or service; the sender must provide a clear opt-out when collecting the details and in every message. Senders must not disguise their identity and must provide a valid contact address for opting out. The ICO’s detailed guidance was updated on 28 April 2026 to reflect the charitable-purpose soft opt-in introduced by the Data (Use and Access) Act 2025; consult the live electronic mail marketing guidance for the applicable case.
The ICO says an objection to direct marketing also covers profiling related to that marketing and must be complied with. In practice, keep suppression and preference information synchronized wherever audiences are selected and campaigns are sent; otherwise a person’s objection may not be reflected in every relevant system. See the ICO’s guidance on respecting people’s preferences.
