AI email assistants access messages in different ways: some are built into your email service, some connect to an account you authorize, and workplace assistants may retrieve organizational content through a company data system. What an assistant can see depends on the permissions and configuration in use. Access, retention, and model training are separate questions, so check the policy for the exact feature and account.
How an AI assistant gets access to email
There is no single access model. A built-in email feature, a third-party assistant connected to an account, and a workplace assistant grounded in company data can have different permissions and data handling.

AI built into an email service
A feature inside an email product can process information needed for a specific task. Google says Gemini in Gmail processes information for the requested task—for example, summarizing a long email—and does not retain that information afterward. Google also says Gemini in Gmail does not train foundational models on personal emails. These statements apply to Gemini in Gmail as described by Google, not every Gemini product or Google account program. Google’s April 7, 2026 explanation.

With a connected service, the user authorizes an account and grants permissions. Microsoft says its connected Copilot services can retrieve emails and other service data in response to queries, subject to existing permissions. Microsoft says it does not store a separate copy of connected-service data, but information from that data included in a response can remain in Copilot conversation history until the conversation is deleted. OpenAI’s Google-app FAQ describes another connected-app approach: access is for supported requests and follows Google account permissions and Workspace settings. An ordinary connection does not automatically create a personal synced index; administrator-managed indexing and workspace configuration can change the scope and behavior. OpenAI’s Google-app FAQ.
A workplace assistant using organizational data
Microsoft says Microsoft 365 Copilot can access organizational content, including email, through Microsoft Graph. It surfaces only content the individual user is permitted to view. What permissions determine what it can see?
The assistant’s effective reach depends on the authorization and account setup, not simply on the fact that it uses AI. Microsoft says connected Copilot services use existing permissions, while Microsoft 365 Copilot respects the user’s organizational access. Google’s Workspace documentation says Workspace data is not used to train or improve underlying generative AI models outside Workspace without permission, and describes a specific Workspace Experiments program exception. Does access mean the assistant stores your email?
No: retrieving or processing a message is distinct from retaining a copy or keeping a record of the interaction. Google’s statement about Gemini in Gmail says task information is not retained afterward. Microsoft’s connected-service description says the service does not keep a separate copy of connected data, while a response containing that data can remain in conversation history until the conversation is deleted. These are product-specific descriptions, not a general guarantee for all assistants.
For workplace use, Microsoft Learn says prompts and responses are stored as interaction content and can be governed by an organization’s retention policies. Deleting a chat and deleting the original email are separate actions; deleting the conversation does not itself imply that the underlying mailbox message has been deleted. Is email used to train AI models?
Training claims depend on the product, account type, and data context. Google says Gemini in Gmail does not train foundational models on personal emails. Microsoft says Microsoft 365 Copilot prompts, responses, and accessed Graph data are not used to train foundation models. Google’s Workspace documentation says Workspace data is not used to train or improve generative AI models outside Workspace without permission, while noting an exception for a specific Workspace Experiments program. These statements concern named services and contexts. They do not establish how every third-party assistant handles mail, prompts, generated replies, attachments, or other account data.
How to evaluate an email assistant before enabling it
- Authorization: Which mailbox, folders, or account data can it access, and what scopes does the consent screen request?
- Retrieval or syncing: Does it retrieve messages in response to a request, or does the configuration include indexing or synchronization?
- Retention: Are message content, prompts, and generated responses kept, and for how long?
- Training: Does the provider make a specific statement for this feature and account type?
- Administration: Can a workplace administrator configure access, retention, or connected-app settings?
- Deletion: What does deleting the assistant conversation remove, and what remains in the email account or organizational records?
Public product descriptions do not establish a universal technical pipeline for message selection, attachment extraction, caching, or deletion at every processing layer. For those details, rely on documentation for the particular feature and account configuration rather than assuming all assistants work alike.
