Connecting an AI tool to a business account can let it process what users type, retrieve business information their permissions allow it to access, and retain interaction records. Depending on the product and configuration, selected data may also be shared for product improvement. Before connecting a tool, check its data sources, permissions, training and improvement terms, retention controls, processing locations, and connected services. These details are product- and account-specific; Microsoft Security Copilot and Microsoft 365 Copilot illustrate why one AI tool’s terms should not be assumed to apply to another.
What does “connecting” an AI tool to business data mean?
A connection may involve more than granting an AI service access to a mailbox or security console. A tool can receive a user’s prompt, retrieve information from connected business sources to answer it, return a response, and keep records of the interaction. Some products also offer a separate choice to share data for product improvement.

For an AI cybersecurity tool, the sources to review might include alerts, endpoint telemetry, identity data, tickets, cloud resources, repositories, or uploaded files. That is an inventory checklist—not a claim that every tool reads all of these. The relevant sources depend on the product, enabled features, connected services, account type, and configuration.
Microsoft documents this broader meaning of customer data for Security Copilot: it includes submitted prompts, information retrieved to generate responses, responses, and pinned-item content. That description applies to Security Copilot as documented by Microsoft, not to every AI cybersecurity product. (Microsoft Learn, Privacy and data security in Microsoft Security Copilot.)

Can an AI tool see everything in your organization?
Not necessarily. A connection’s effective reach depends on the permissions and access model behind it. Microsoft says Security Copilot runs queries as the user and does not have elevated privileges beyond that user’s permissions. Microsoft 365 Copilot likewise surfaces organizational data that the individual user has permission to access, including view permission. (Microsoft Learn, Privacy and data security in Microsoft Security Copilot; Data, Privacy, and Security for Microsoft 365 Copilot.)
That boundary does not fix overly broad access already granted inside the organization. If users can see files or records they should not access, an AI service that works within their permissions may be able to surface that content in response to a request. Review inherited sharing, user roles, API or OAuth permissions, and any service-account access before enabling a connection.

Are business prompts used to train AI?
“Training” and “product improvement” are separate questions, and the answer depends on the specific product’s terms and settings.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors- Microsoft 365 Copilot: Microsoft says prompts, responses, and data accessed through Microsoft Graph are not used to train foundation large language models (LLMs). Microsoft 365 Copilot can ground responses in organizational content available through Graph, including documents, email, calendars, chats, meetings, and contacts. (Microsoft Learn, Data, Privacy, and Security for Microsoft 365 Copilot; Microsoft 365 Copilot data protection.)
- Microsoft Security Copilot: Microsoft documents customer-data sharing for product improvement and training its security AI model, and says the data-sharing setting is on by default in the documented product. Administrators can change it. Microsoft distinguishes that use from training foundation models: the documented sharing does not allow foundation-model training. (Microsoft Learn, Privacy and data security in Microsoft Security Copilot.)
These examples are not a general promise about other vendors, editions, or features. Find the applicable business-plan terms and admin controls, then check what is enabled now and who is permitted to change it. Look separately for treatment of prompts, retrieved information, responses, feedback, product improvement, security-model training, and foundation-model training.

How long are prompts and responses stored?
Retention is not the same as model training. A product may not use interaction data to train a foundation model and still store prompts and responses for operational, administrative, or compliance purposes.
Microsoft says Microsoft 365 Copilot interaction records include prompts and responses. Administrators can use Content Search and Microsoft Purview to view and manage those records and set retention policies. The documentation cited here does not state one universal retention duration for every Microsoft 365 Copilot configuration. (Microsoft Learn, Data, Privacy, and Security for Microsoft 365 Copilot.)

For Security Copilot, Microsoft says data shared previously is retained for no more than 180 days after an organization opts out of sharing. This is a product-specific limit for previously shared data after opting out—not a universal retention period for prompts or for AI services generally. (Microsoft Learn, Privacy and data security in Microsoft Security Copilot.)

For the product and account you plan to use, check what interaction history is kept, how administrators search or export it, how deletion works, and whether retention policies, legal holds, or backups affect removal. Do not infer a deletion timeline from a statement about training or an opt-out.

Where is business data processed and stored?
“Data residency” can refer to where information is stored, where a request is processed, or both. A regional storage commitment does not necessarily mean every computation stays in that region.
Microsoft describes Security Copilot evaluation in the US, UK, or EU depending on capacity for some regions. Its documentation also says EU traffic may be sent to US Azure OpenAI for processing while, under the described safeguard, no customer data is stored outside the EU. Microsoft 365 Copilot documentation says calls may route to other regions during high use and that Anthropic models provided as a subprocessor are currently excluded from the EU Data Boundary. These statements are feature- and model-specific; confirm the current terms that apply to your tenant and contract before relying on a regional boundary. (Microsoft Learn, Privacy and data security in Microsoft Security Copilot; Microsoft 365 Copilot data protection.)
Ask the vendor to distinguish processing from storage, identify relevant subprocessors and model providers, and explain any support-access conditions or contractual regional commitments. Check whether those terms cover the particular model, agent, connector, and feature you intend to enable.

Quick Recap
Checklist: what to verify before connecting an AI tool
- Identify the exact service and scope. Record the product, edition, account type, tenant, and features you plan to enable. Do not apply consumer terms to a business plan or transfer one Copilot product’s terms to another.
- Map the connected data. List each source and the kinds of records it contains, such as mail, documents, alerts, endpoint telemetry, tickets, identity data, cloud resources, repositories, or user-uploaded files where applicable. Confirm which sources are actually in scope for this connection.
- Review permissions and identities. Inspect OAuth/API permissions, service accounts, roles, and user-scoped access. Reduce excessive permissions and correct broad inherited sharing before connection.
- Read the relevant use terms and settings. Check how prompts, retrieved data, responses, and feedback are handled; distinguish product improvement and security-model training from foundation-model training. Record defaults and who can change them.
- Check records and deletion. Find interaction-log availability, retention duration, deletion process, legal-hold and e-discovery behavior, backups, and export or audit options. Confirm which controls apply to your account.
- Verify geography and providers. Check processing and storage regions, subprocessors and model providers, support access, and any contractual boundary or residency commitment relevant to your jurisdiction.
- Review every agent and connector. Read its privacy statement and terms, establish what data it receives, and confirm whether an administrator can restrict or disable it. For Microsoft 365 Copilot agents, Microsoft says admins can review requested permissions, terms, and privacy statements and choose which agents are available. (Microsoft Learn, Data, Privacy, and Security for Microsoft 365 Copilot.)
- Pilot with a rollback plan. Start with low-risk data, test both expected and denied access paths, inspect available logs, name an owner, and document how to disconnect or disable the integration if it behaves unexpectedly.
