Those are different uses, and turning off model improvement does not by itself establish that nothing is logged or retained. The rules vary by provider and by whether you use a personal account, a work or education workspace, or an API.
What data can an AI service collect?
It can be more than the words you type. Depending on the product and features you use, the information may include prompts and responses, feedback, files, images, imported conversations, or content from a page you share with the assistant.

Google’s Gemini Apps notice names files, videos, photos, imported chats, and browser page content among the information users may share with Gemini. Before sending a prompt, consider what else the feature can access: an attachment, imported chat, or browser page may contain information you did not intend to include in a short question.

How can a company use what you share?
“Used to answer me” and “used to improve a model” are not interchangeable. A provider may process information to deliver a feature or apply safety and usage rules; that operational processing is not automatically model training. Improvement use has its own rules and may depend on the service, account type, settings, feedback, or safety review.
- Service operation: Processing needed to provide a feature or operate the service. Does turning off model training mean your data is not stored?
No such conclusion follows from an improvement control alone. A control may address a particular future use while separate rules cover service operation, safety or abuse monitoring, deletion, and retention. OpenAI’s API material describes abuse-monitoring logs; Anthropic’s retention guidance says data used for improvement may remain in de-identified form in training pipelines for up to five years. These are different contexts, not a universal retention rule.

Who else may receive or handle the information?
Some information may be handled by operational recipients, not only the company that offers the assistant. OpenAI identifies affiliates, vendors, and service providers supporting development, testing, and improvement; its cited article does not make that list exhaustive.
In January 2024, the U.S. Federal Trade Commission warned that companies risk violating the law if they retain or use consumer data for other purposes without clear and conspicuous notice and affirmative express consent. What to check before sharing sensitive information
- Identify the exact product and account. Confirm whether you are using a personal account, a work or education workspace, or an API, then open that product’s AI-specific privacy notice. For ChatGPT, start with Data controls in ChatGPT; for Gemini Apps, use its Privacy Hub.
- Check model-improvement settings and scope. Find out whether improvement use is enabled and which future conversations or other material the setting covers. Do not assume a control carries across products or account types.
- Review retention and safety separately. Look for deletion behavior, safety review, abuse monitoring, and any exceptions; these are not answered simply by a training toggle.
- Check workplace rules. An administrator, organization policy, or contract may set additional access or retention rules for work or education accounts.
- Minimize what you submit. Do not enter secrets or sensitive information about someone else unless you have authority to share it and accept the service’s documented handling.
These checks can reduce avoidable exposure, but they cannot guarantee confidentiality or establish that information already handled under earlier terms has been removed.
