Connecting an AI assistant to a work app does not automatically give it unrestricted access to your company’s data. What it can retrieve or do depends on the account you connect, the permissions granted by the source app, the integration’s supported features, and rules set by your workspace administrator. Privacy and retention also depend on the specific assistant and its settings.
What happens when you connect an AI assistant to a work app?
A connection lets an assistant interact with an external service—such as Google Drive or Slack—to retrieve information or perform supported actions. The connection is better understood as several checks working together, not as a single blanket permission:
As an Amazon Associate I earn from qualifying purchases.
- Source-app authorization: The provider account authorizes the integration and may request particular scopes, such as permission to read files or make changes.
- Assistant-side controls: The assistant may ask before reading data or taking actions. These controls govern use of access that already exists; they do not necessarily grant or revoke access at the provider.
- Workspace policy: An organization can limit which apps, agents, or actions are available, and may restrict OAuth scopes through its source-provider settings.
- Data-use and retention settings: The vendor’s rules and product controls determine how connected information, prompts, responses, memories, and logs are handled.
The exact controls differ by vendor, app, account type, and workspace. Check the specific account connected, the authorization request and its scopes, and your organization’s policy rather than assuming that every assistant works the same way.
What can ChatGPT access when I connect Google Drive?
For ChatGPT’s Google apps, available content depends on the permissions of the Google account you connect and the settings of your ChatGPT workspace. In managed environments, Google Workspace can constrain OAuth scopes, and a ChatGPT administrator can enable or disable actions. Google may also check whether the requesting app is trusted or approved for the requested scopes. These details apply to the documented Google connection; they should not be assumed to describe every ChatGPT app integration. OpenAI’s Google-app data controls FAQ explains the product-specific limits.

How do assistant approval settings differ from app permissions?
Assistant-side approval settings and source-provider authorization answer different questions. Provider authorization determines what the integration is allowed to access at the source. An assistant’s permission selector determines when it asks before using available access.
In ChatGPT, app permission options can include always ask, allow read actions, and allow low-risk actions; which options appear depends on the account, connected app, connected account, and workspace. OpenAI describes the distinction this way: “App permissions determine when ChatGPT can read information from a connected account or take an action on your behalf.” OpenAI’s app-permissions guidance notes that changing these settings does not connect an account, grant provider permissions, change access in the source system, or override workspace policy. To stop future access through an individual connection, disconnect the account; changing an assistant-side approval setting alone does not revoke authorization already granted to the provider.

How do Copilot connectors retrieve work data?
Microsoft documents two broad connector patterns for external sources. The difference is where content is indexed and how it is retrieved; connector implementations and details vary.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
| Model | How it works | Practical implication |
|---|---|---|
| Synced connector | External content is synchronized into Microsoft Graph, where it can be searched and filtered according to permissions. Updates are reflected periodically according to the connector’s configuration. | Content is indexed in Microsoft Graph, so retrieval can use that index. Changes or deletions may not appear immediately; timing depends on synchronization configuration. |
| Federated connector | The assistant fetches information in real time through APIs, without indexing the content into Microsoft 365, and respects source permissions and authentication. | Information is retrieved live rather than from a Microsoft 365 index. Availability and behavior depend on the source and connector implementation. |
These models describe Microsoft’s documented approach, not a universal standard for all vendors. For a particular connector, confirm whether it indexes data, how frequently it syncs, and how it handles changed or deleted records. Microsoft’s connector overview describes the synced and federated patterns.

Who controls which data a work assistant can use?
Source-system permissions
The identity used for a connection matters. If that account cannot access a file or record in the source app, the integration’s reach is constrained by the permissions enforced there. Microsoft says of Copilot: “Your permissions are always enforced.” That statement refers to Microsoft’s Copilot context, not every assistant or integration. Microsoft’s explanation of Copilot grounding also recommends reviewing the sources and critical details behind an answer; citations help with verification but do not guarantee completeness or accuracy.
Workspace and administrator policy
Administrators may choose which connectors or agents an organization allows, inspect permissions and privacy statements, and control access to particular features. Microsoft’s user-facing connector guidance says organizations control which connectors are enabled and users see only content they are permitted to access in the source system. Microsoft’s connector guidance describes these organization-level controls. A user should still check what a specific enabled connector can read or do.

How are connected data used for training, memory, and retention?
Do not infer data-use rules from the fact that an app is connected. OpenAI’s Google-app FAQ says data directly from connected Google apps, or derived from it, is not used to train generalized models, subject to stated exceptions: conversations submitted as feedback, information manually copied, pasted, or uploaded into a conversation, and data included in a ChatGPT response. It also says eligible connected-app information may inform Memory when Memory is enabled. This is a claim about the named Google-app workflow and its stated exceptions, not a promise about every app or vendor. See OpenAI’s Google-app data controls FAQ.

Memory, conversation history, app disconnection, and deletion are separate controls. OpenAI says disconnecting a Google app does not automatically delete existing chats or saved memories. Turning Memory off, deleting memories or conversations, and disconnecting the app address different things; review the relevant controls if you want to manage each one.

Microsoft says Microsoft 365 Copilot does not train public models on company data and uses existing identity-based access boundaries. That is Microsoft’s statement about its product; it should not be generalized to other assistants. For details on Microsoft’s data handling and geographic commitments, consult its current product documentation. The cited documentation describes residency commitments including EU Data Boundary treatment for EU customers; it says queries from customers outside the EU may be processed in the US, EU, or other regions. Microsoft’s privacy documentation provides the product-specific context.
What to check before connecting a work app
- Account: Which exact work or personal account will be connected, and what can that account already access?
- Scopes and actions: What does the authorization request allow? Separate read-only access from writing, sending, or triggering actions.
- Retrieval design: Does the connector sync and index data, or fetch it live? How are updates and deletions reflected?
- Approvals: When does the assistant ask before using the connection or performing an action?
- Administrator controls: Is the app or agent allowed in your workspace? Are scopes restricted by the source provider? What logging or audit controls apply?
- Data use: What rules govern training, memory, personalization, prompts, responses, retention, and deletion?
- Disconnect and cleanup: How do you revoke future access, and what happens to prior chats, memories, indexes, or logs?
- Verification: Does the assistant show citations or links to retrieved records? Use them to check important details; a citation is not proof that an answer is complete or correct.
Availability can also depend on the account, license, workspace, and geography. Confirm the current product documentation for the exact integration instead of assuming a control or feature is available everywhere.
