GST Software Buying Guide for Small Businesses in India

A practical India-focused guide to matching GST software with your invoicing, accounting, return preparation, reconciliation and filing workflow.

For an Indian small business, the right GST software is the one that fits the whole filing workflow—not simply the one that promises to “file GST.” Map how you create invoices, maintain books, manage GSTINs, prepare returns, reconcile data and submit filings. Then compare software against that map, including what still has to be reviewed or completed on the GST Portal.

This guide covers India. GST rules and software workflows vary by country; the examples and portal processes below should not be applied to Australia, New Zealand or another GST jurisdiction.

What GST software needs to do in your business

GST software can sit at different points between a transaction and a submitted return. Depending on the product and setup, it may help create invoices, record accounting entries, prepare return data, reconcile information or transfer data to the GST Portal. Those are distinct jobs. A product that handles one does not automatically handle all of them, and software support does not itself establish that a return is accurate or that a filing is complete.

Before comparing products, write down the process you actually follow. Include the person responsible at each stage. If an accountant prepares returns but a business owner reviews and submits them, the software must serve both roles and make the handoff clear.

  • Sales and invoicing: Where are invoices created, and where do the underlying transaction details live?
  • Books and records: Does the business already use accounting software, spreadsheets or another system? Identify the authoritative record rather than planning to maintain the same transactions twice.
  • GST registrations: How many GSTINs does the business need to manage, and who should be able to view or edit each one?
  • Preparation and review: Who prepares return data, who checks it against business records, and what discrepancies need investigation?
  • Submission: Who completes the portal steps and confirms the filing? Do not assume that an export or data push is the same as a submitted return.

This map reveals whether you need a full accounting workflow, a return-preparation tool, or a way to connect existing records to filing. It also exposes weak handoffs: for example, a prepared file that nobody owns, or portal access controlled by a person who is unavailable when the return needs review.

Start with the GST Portal and your filing obligations

Use current official GST Portal guidance to check registration and filing obligations; do not infer them from a software vendor’s marketing page. The Portal’s registration tutorial describes an online registration application and a PAN requirement. Confirm the current requirements and procedure for your circumstances in the official guidance before treating registration as a software-selection question.

The GST Portal is also a practical baseline for evaluating paid software. Its GSTR-1 guidance describes portal-provided offline tools and third-party ASP software working through GSPs. The offline tools let a business consider a portal-centered workflow without assuming that it needs a separate accounting suite. They are not necessarily a full accounting system, so compare them with the work your business must do beyond return preparation.

For each return your business actually files, check the current Portal instructions and the candidate product’s current documentation. Look for the precise form and workflow supported—not a general claim that a product “supports GST.” Confirm whether the process is direct portal entry, an offline-tool file, an API connection, or a combination, and identify which steps remain for a person to complete.

Compare the main workflow choices

Option What the available documentation establishes Best question to resolve before choosing
GST Portal offline tools The Portal’s GSTR-1 guidance describes official offline tools as part of the return ecosystem. It also describes third-party ASP software through GSPs. Can the tools support your preparation and review process, and what bookkeeping or invoicing work would still happen elsewhere?
Zoho Books Zoho’s documentation describes India GST workflows, enabling API access and pushing GSTR-3B data to the Portal. Product capabilities and plan availability should be confirmed with Zoho. Does the current plan support the forms, registrations, users and API workflow you need? Which portal actions still require your review or completion?
TallyPrime Tally’s help describes exporting GSTR-1 data for use with the GST offline tool or a Portal workflow. This documentation does not establish comparative performance. Does the current version and setup match how your business keeps books, and what are the exact export and review steps for your filing process?
Other products named in a historical GSTN report The report lists uBooks, FocusLyte, CaptainBiz (formerly Vyapari), Saral Accounts, GenieBooks and Zoho Books. The list is a discovery lead, not evidence of current availability, endorsement or suitability. Is the product currently offered and maintained, and can the vendor document its supported forms, workflow, plan limits and support?

The table is not a ranking. Vendor help pages explain their own documented workflows; they are not independent proof of accuracy, ease of use or better performance. GSTN’s software report is historical, so inclusion there must not be read as a current approval, price offer or guarantee of compliance.

Choose a deployment model that fits the people doing the work

Cloud, desktop or on-premise, and mobile are different deployment patterns. GSTN’s published report distinguishes these categories, but it is historical and does not establish which products are currently available. Verify the present setup directly with each provider. Choose based on where the people responsible for records and filing work, how they access the system, and how the business manages continuity.

  • Cloud: Ask whether the intended users can work from their usual locations, how account access is controlled and what happens when a user leaves. Establish how records can be exported and how backups or recovery are handled.
  • Desktop or on-premise: Check which computers hold the software and data, whether more than one person can work with the same records, and how updates, backups and access outside the main office are managed.
  • Mobile: Treat mobile access as a separate capability to verify, not proof that the complete accounting and return workflow can be done on a phone. Confirm which tasks are available on the specific product and plan.

Connectivity also matters. If staff sometimes work offline or have unreliable access, ask which tasks can continue without a connection and how changes are synchronized. Do not assume an offline option covers every function; have the vendor demonstrate the exact work your staff need to do.

Verify portal connection, permissions and the filing handoff

Portal integration is a process to inspect, not a checkbox. GSTN explains the role of GSPs in connecting software with the GST system. Zoho’s help describes enabling API access and pushing GST data to the Portal, while Tally’s help describes preparing and exporting GSTR-1 data for offline-tool or Portal workflows. These examples show that connection methods can differ; they do not establish that a given connection is appropriate for your business or that data is correct after transfer.

  1. Identify the connection method. Ask whether the workflow uses a GSP/API, a file for the GST offline tool, or another documented path. Obtain current instructions for each return you file.
  2. Confirm who authorizes access. Determine which person controls Portal access and which users can prepare, review or transmit data. Make sure the business—not only an outside preparer—understands who can perform each action.
  3. Inspect what moves. Ask which data fields are sent, whether the process is one-way or supports updates, and how the software reports rejected or incomplete data. Do not treat a successful transfer message as a substitute for reviewing the result.
  4. Review before submission. Agree who compares the prepared figures with the source records and who resolves differences. Preserve a clear final check before a person completes any required Portal confirmation or filing step.
  5. Test the handoff. Before relying on the workflow for a live deadline, walk through the current product instructions with the people who will use it. Record what the preparer produces, where the reviewer checks it and how the final filing status is confirmed.

For Zoho Books or TallyPrime, follow the vendor’s current help for the exact setup and forms involved; do not assume a feature documented for one return applies to another. Similarly, ask other providers to show their current, supported process rather than relying on their appearance in a historical ecosystem list.

Evaluate the features your business will actually use

Keep feature comparisons tied to your workflow and to a particular product plan. The available evidence does not support a comprehensive current feature-by-feature comparison, so verify the details in current documentation or a provider demonstration. Ask the same questions of each candidate:

  • Returns: Which forms used by your business can it prepare? Can it export data or connect to the Portal, and what remains a manual step?
  • Reconciliation: What records can you compare, how are differences surfaced, and can staff trace a figure in a return back to its source transaction?
  • Books and invoicing: Does the product cover the business’s existing accounting and billing needs, or would another system remain necessary? Avoid paying for a second record-keeping workflow without a reason.
  • GSTINs and branches: Can the relevant users work with the required registrations or entities, and can access be restricted appropriately? Check plan limits rather than assuming multi-GSTIN handling is included.
  • Users and review: Can the business owner, bookkeeper and outside accountant each perform their intended tasks? Confirm the available roles and permissions on the exact plan.
  • Records and portability: What data can be exported, in what format, and at what point can the business retrieve it? Include this question in a decision about migration or cancellation.

Ask for a demonstration using a representative workflow rather than a feature tour. The useful test is whether staff can follow the required steps, identify a mismatch, hand work to the reviewer and understand what still needs to be done on the Portal.

Check commercial terms before committing

No current prices or comparative plan limits are established for the products discussed here. Get a current quote directly from each provider and compare the total arrangement, not just a headline subscription amount. A fair comparison should use the same number of users, registrations and required workflows.

  • Confirm whether pricing depends on users, entities, GSTINs, features or filing volume.
  • Ask whether onboarding, migration, training or support carries a separate charge.
  • Clarify what support is included, how to contact it during a filing problem and whether response expectations are documented.
  • Check renewal and cancellation terms, plus how and when you can export business data if you leave.
  • Ask whether the capabilities demonstrated are included in the plan quoted, rather than an add-on or a different tier.

Do not infer that a product is free, currently offered, or supported in a particular way because it appears in an old GSTN report. Confirm product status and commercial terms directly before buying.

A practical selection process

  1. Write down the present workflow. Name the systems used for invoices and books, the GSTINs in scope, the person preparing returns, the reviewer and the person who submits them.
  2. Check current official requirements. Use GST Portal guidance to establish the registration and return obligations applicable to the business, including the specific forms that need support.
  3. Set must-haves and exclusions. Separate essential functions—such as a required return or number of registrations—from conveniences. Note whether a portal offline-tool workflow is a viable baseline.
  4. Shortlist by documented workflow. Consider the Portal tools, Zoho Books, TallyPrime or other products only after confirming current availability and documentation. Do not treat a historical GSTN list as a recommendation.
  5. Compare equivalent setups. Request plan details for the same users, registrations, workflows, support needs and migration assumptions. Record unanswered points rather than filling gaps with assumptions.
  6. Walk through a representative task. Test the preparation, export or connection, review and filing handoff with the actual users. Verify which steps occur in the product and which occur on the Portal.
  7. Agree on operating controls. Decide who owns access, who reviews figures, how corrections are handled and where the business keeps its records and exports.
  8. Recheck before relying on it. Confirm that the purchased plan and current product instructions still match the selected workflow before making it the business’s routine process.

Common buying mistakes to avoid

  • Buying on the word “GST.” Ask for the exact return, workflow and plan capability your business needs.
  • Confusing preparation with filing. Establish what a data push or export accomplishes and who completes any remaining Portal steps.
  • Assuming a historical listing is current. An old ecosystem report is not a current endorsement, price list or proof of support.
  • Choosing without involving the reviewer. The person checking the return should understand how totals are produced and how exceptions are investigated.
  • Overlooking data access at exit. Confirm export and cancellation terms before important records are committed to a system.
  • Using software sales material as tax guidance. Check obligations and current procedures against the official GST Portal, not an advertising claim.

How to decide

Choose the least complicated setup that reliably covers the business’s documented process. If Portal offline tools fit the return-preparation task and bookkeeping is handled elsewhere, compare that baseline honestly with a paid system. If you need accounting, invoicing and a connected return workflow in one place, verify the exact capabilities and plan limits of an integrated product. In either case, make the reviewer, data transfer and final Portal handoff explicit before committing.
