Move Google Workspace to Microsoft 365 in separate, coordinated stages: prepare the Microsoft tenant and identity setup, migrate mail, calendars, and contacts through Exchange, move Drive files through Microsoft’s Drive migration tools, validate each workload, then switch mail routing and retire Google only after the move is verified. Keeping both environments available during a staged rollout helps avoid a risky all-at-once cutover.
Choose a migration path for each workload
Google Workspace migration is not one transfer operation. Microsoft’s Exchange migration path handles email, calendars, contacts, and rules. Google Drive content moves separately through Migration Manager, with personal Drive data going to OneDrive and shared Drive data going to SharePoint destinations.

Microsoft’s consolidated guidance describes Simplified Gmail Migration for organizations with fewer than 1,000 seats and a large-tenant experience for organizations above 1,000 users. That threshold reflects the experience described in Microsoft’s 2024 article, not a guarantee of current eligibility; check the Microsoft 365 admin center before choosing a workflow. The two experiences are outlined in Microsoft’s consolidated migration guidance.

Prepare the tenant, domain, and users
Do the tenant and identity work before moving production mail. Obtain the Microsoft 365 tenant and licenses, and stage the tenant with a temporary domain if the organization’s business domain is not ready to be assigned. Verify the business domain, provision the destination users, and ensure each person has the appropriate Microsoft 365 mailbox before adding them to a migration batch.

Prepare Google administrator access and the application prerequisites required by Microsoft’s selected workflow. Also plan mail routing on both sides: identify what must remain in Google during the staged period, how incoming mail will be handled, and when routing will switch to Microsoft 365. Microsoft’s documented process covers these setup steps in its Google Workspace migration workflow and migration overview.
Plan batches and coexistence
Break the rollout into user batches that match the organization’s support capacity and business calendar. Microsoft says, “You can migrate batches of users from Google Workspace to Microsoft 365 or Office 365, allowing a migration project to be done in stages.” For each batch, prepare the user list and ensure the users and mail-enabled accounts are provisioned as required by the workflow.
Decide how long Google and Microsoft 365 will both remain available. Staged work gives teams time to validate migrated data and assist users before the next group moves; it also means routing and user expectations need to be managed deliberately. If only selected Gmail labels or folders should be migrated, identify them before creating the migration job and confirm how the chosen tool treats exclusions.
Microsoft recommends its automated approach in the small-business guidance because it completes several Google Admin setup tasks. Manual and PowerShell approaches are also documented, so the appropriate method depends on tenant size, permissions, and administrative requirements. See Microsoft’s overview and migration procedure.

Migrate and validate mail, calendars, contacts, and rules
Run the Exchange migration for the planned users, then validate against representative accounts before expanding or closing a batch. Check mail folders and recent messages, calendar entries, contacts, and rules. Migrated rules are off by default; review them and have users enable the ones they still need rather than assuming they are active.
Reconciliation should account for documented differences rather than treating every mismatch as a failed transfer:
- Vacation or automatic-reply settings, meeting-room bookings, shared calendars, and calendar event colors do not migrate.
- Gmail tags and some contact data, including URLs and custom tags, are not carried over. A maximum of three email addresses per contact are migrated.
- The default maximum size for a single message is 35 MB. Microsoft says this can be configured up to 150 MB in the automated migration overview; check the current workflow settings before relying on a larger limit.
- Contact migration throughput depends on Google Workspace service-account quota limits.
These are items to plan for in user communications and reconciliation; they are not, on their own, evidence that all other data failed to migrate. Microsoft documents these behaviors in its migration guide and migration limitations.

If a message appears absent during validation, review messaging records management (MRM) and archive policies before concluding it was lost. Microsoft warns that these policies can affect what appears in migration checks. Compare results with the source account and policy behavior, and document any exclusions or expected differences.

Use Microsoft’s Drive migration experience after mapping the source structure to the destination. Personal Drive content should be mapped to the appropriate users’ OneDrive accounts; shared Drive content should be mapped to SharePoint team sites. Confirm ownership and destination access with the people responsible for each shared area before migration, then verify that the resulting files are available to the intended users.
Drive transfer does not happen as part of Exchange mailbox migration. Keep file validation distinct from email validation: confirm representative personal and shared content in its destination and check access permissions and team-site placement. Microsoft’s Google Drive migration overview describes the Migration Manager path.
Cut over mail routing and retire Google carefully
Switch mail routing only after the relevant users’ Microsoft 365 mailboxes are ready and the migration has been checked. Confirm that new inbound mail reaches Microsoft 365, and monitor the cutover while users and administrators resolve outstanding issues. Keep Google services available for the planned coexistence period so users can refer to source data or complete work that has not yet been reconciled.
