It lets authorized users set retention rules, preserve data with holds, search supported Workspace services, and export matching results. It is not an automatic archive or a general-purpose backup: administrators must configure retention, and data no longer protected by a rule or hold can be purged through the service’s normal deletion process.
What Google Vault does
Google describes Vault as “an information governance and eDiscovery tool for Google Workspace.” Its core jobs are to control how long supported Workspace data is retained, preserve data relevant to a legal or investigative matter, and help authorized users find and collect that data.

Vault is not a storage product that automatically keeps every item forever. Google’s help page states, “Vault isn’t a data archive.” Whether data remains available depends on the applicable retention rules, holds, service deletion processes, and licensing.
Is Google Vault a backup or archive?
No. Vault is designed for governance and eDiscovery, not routine backup and restoration. It can preserve data under configured rules or holds and export search results for collection, but it does not provide a general-purpose way to restore any file or message to its original location after deletion.

Retention must be configured for the relevant services and data. If data is not covered by an applicable retention rule or hold, it remains subject to normal service deletion and purge processes. Once purged, it cannot be recovered through Vault. A Vault export is likewise an eDiscovery collection, not an indefinitely stored backup: Google says an export remains available in Vault for 15 days, after which it is deleted.
How retention rules affect deleted data
Administrators create retention rules that define the service and scope covered, the retention duration, and what happens when that period expires. Until rules are configured, Vault does not guarantee retention.

When a retention period ends, data deleted by users or administrators and not protected by a hold can proceed through the service’s standard deletion process. Expiration does not mean the data is placed in a recoverable archive. After the relevant conditions allow deletion and Google’s service purges the data, Vault cannot retrieve it.

How legal holds work
A hold is a preservation instruction used for legal or investigative needs. Google says holds can cover accounts, organizational units, and groups; for Gmail and chat, conditions can further limit which messages are covered.

A hold overrides retention rules while it applies. Data subject to a hold can be purged only after all applicable holds are removed and the relevant retention conditions permit deletion. Holds preserve data for the stated governance or eDiscovery need; they are not a substitute for configuring organization-wide retention policies.

How Vault search and export support eDiscovery
Vault supports key early eDiscovery activities: searching to identify potentially relevant data, placing holds to preserve it, and exporting matching results for collection. Searches can be scoped by account, organizational unit, date, or keyword. Most supported services allow Boolean operators.
Exports include matching data and metadata intended to connect results to users and help corroborate the export against data on Google’s servers. Google says an export is available in Vault for 15 days; the cited help page does not state a year for this figure.

Vault also records administrative and user activity. Its audit log includes actions such as changing retention rules, running searches, and exporting data. Google says the log cannot be edited.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Vault search/export versus Workspace Data Export
Google’s organization-wide Data Export tool is separate from Vault’s search-and-export workflow. Use Vault to search and collect data for a matter; Data Export is intended to export organization-wide data. The Data Export help page says data retained by Vault policies can be included in that export, but access to Vault-retained data in it is admin-only and requires Vault licenses.
| Tool | Purpose and scope | Vault-retained data |
|---|---|---|
| Vault search and export | Search and collect matching supported data for eDiscovery. | Vault rules and holds govern preservation; exports are available in Vault for 15 days, according to Google. |
| Workspace Data Export | Organization-wide data export, separate from matter-focused Vault search. | Can include data retained by Vault policies; the Data Export help page says this data is admin-only and requires Vault licenses. |
Which Workspace plans include Vault?
Google’s Vault overview lists Vault as included with Frontline Standard and Plus, Business Plus, Enterprise Standard and Plus, all Education editions, Enterprise Essentials and Enterprise Essentials Plus for domain-verified organizations, and G Suite Business. Google also says Vault add-on licenses are available for compatible editions, but directs organizations to Google Sales for compatibility information.

Check the organization’s current subscription and Google’s current eligibility guidance rather than treating the list as a guarantee for every customer or region. Both users whose data is managed in Vault and administrators who use Vault need a Workspace license that includes Vault. Removing a user or a required license may lead to data being irreversibly purged and unavailable to Vault.
Quick Recap
What administrators should configure
- Confirm licensing. Verify that each covered user and each Vault administrator has an eligible Workspace license, and check current edition or add-on eligibility with Google.
- Define governance requirements. Work with the organization’s legal or compliance team to determine retention periods, preservation needs, and who should be authorized to search or export data. This is operational guidance, not legal advice.
- Set Vault access and privileges. A super administrator can configure who may use Vault and which actions they can take through Vault privileges and admin roles.
- Configure retention rules. Set rules for the relevant supported services and scopes. Google recommends that administrators may configure default retention rules to start retaining data.
- Use holds and search as needed. Apply holds for relevant legal or investigative needs, then run appropriately scoped searches and export matching results.
- Review the audit trail. Use the audit log to monitor activity such as retention-rule changes, searches, and exports.
