You can use a shared Google Sheet and Google Apps Script to track who owes what and email each person a reminder. The sheet can hold people’s contact details and balances; a script can turn those rows into recipient-specific messages. Google’s official example documents personalized email from spreadsheet data, while the bill calculations and reminder rules are your own spreadsheet logic.
What the spreadsheet-and-script setup does
Think of the sheet as the record of expenses and balances, and Apps Script as the part that reads those records and sends messages. A reported implementation for this idea used a People tab for email addresses and asked Gemini to draft the script. That account is not an independently verified test of the code, so treat the specific calculation and skip behavior as design choices to check in your own sheet.

Google’s mail-merge sample for Gmail and Google Sheets shows how a script can read spreadsheet rows, fill a Gmail draft template with row values, and send personalized messages after authorization. It demonstrates the email-automation pattern; it does not calculate shared expenses or determine who owes whom.

Use clearly labeled columns so the script can identify each person’s contact information and balance. For example, a People tab might include a name, email address, and net balance. Keep the expense entries and the way you calculate balances understandable to all collaborators, and decide which currency the group is using.

- PROTECTIVE HINGED COVER: Features a hinged, hard cover that protects the keys and display when stored, making this handheld calculator durable and easy to carry safely.
- DUAL-POWER SOURCE: Runs on solar energy with a battery backup, ensuring consistent and reliable use in any lighting condition or environment.
- LCD SCREEN SIZE: The 2-inch screen size, 8-digit LCD screen clearly shows each digit, helping to prevent reading errors and making numbers easy to read at a glance.
- CONVENIENT FUNCTION KEYS: Includes a 3-key independent memory, square root key, change sign key, automatic power down, and more to provide efficient, reliable everyday math.
- TRUSTED BY WORKPLACES FOR DECADES: Sharp has been a dependable name in office calculation for generations — practical tools built around the way people actually work.
The reported example prompt asked for people without email addresses and zero balances to be skipped. Those are useful intended rules, but a prompt is not proof that generated code implements them correctly. Inspect the code and verify both cases in a test copy before sending messages.
- Balance logic: Check that your formulas handle the group’s actual split rules, including any uneven shares or adjustments.
- Currency: Formatting a number as a local currency does not convert it. The reported prompt describes a currency format, not exchange-rate handling.
- Recipient privacy: Send each person a message containing their own balance. Avoid putting the group’s balances in a message addressed to everyone by CC unless the group has explicitly agreed to share them.
Build personalized email messages from sheet rows
In the Google mail-merge sample, spreadsheet values are mapped into a Gmail draft template so each outgoing message can be personalized. Apply the same general approach to reminders: read a person’s row, use that person’s address as the recipient, and include only the information they need to understand their balance.

Keep a sent-status or timestamp field so you can see which rows were processed. Google’s sample includes a sent-status column and notes that filters can affect who receives mail and whether a timestamp is recorded. Make errors visible and test the behavior with a small, controlled set of rows before running it for the whole group.
Schedule reminders with a time-driven trigger
To send reminders on a recurring schedule, create an installable time-driven trigger for the script. Google documents that “Installable triggers always run under the account of the person who created them.” That account’s access and authorization therefore matter even when other people can edit the spreadsheet.

- ✔【Sturdy and Durable】This bill counting machine is made of high-quality iron and plastic, which is very sturdy, durable, and not easily deformed.
- Open the script project associated with your sheet and review which function sends the reminders.
- Create a time-driven trigger for that function and choose an interval that matches how often the group wants reminders.
- Test the scheduled behavior and check the sent-status or error information after execution.
Do not promise that a scheduled trigger will send at an exact minute: Google says time-driven triggers can be randomized within the selected interval. Installable triggers also have restrictions; for example, they do not run when a file is opened in read-only mode. See Google’s Installable Triggers documentation for timing, ownership, and restrictions.
Review permissions and sending limits
Apps Script requests authorization for the services its code uses. Before approving, review the script and the access it requests for spreadsheets and email. Google explains how authorization for Google services works, including scopes and revoking access. Google recommends explicit scopes for published scripts and documents @OnlyCurrentDoc as a way to limit some document-bound access where applicable.

Email sending and installable triggers are subject to quotas. Google’s mail-merge sample points to email limits, and trigger quotas also apply. Check the live Apps Script quotas documentation before scaling up; the applicable limits can change, so do not rely on an old number.
When a shared sheet is a good fit
This DIY approach makes sense when the group is comfortable maintaining a spreadsheet, wants control over reminder wording and timing, and can agree on who owns the script and its permissions. It takes more setup and ongoing care than simply recording expenses: someone must maintain formulas, keep contact details current, check delivery errors, and prevent accidental repeat messages.

Before relying on it for real payments, verify the balances against a manual calculation and make sure the group understands what the sheet shares. The available account of this implementation does not establish tested correctness for exchange rates, rounding, uneven splits, or settlement optimization, so those rules need to be designed and checked for your own use.
