To manage Google Drive storage, first check your Google Account’s shared storage, then review the largest Drive files, permanently remove only what you no longer need, and check Gmail, Photos, and backups if the total is still high. Moving files to Trash alone does not free space.
What counts toward Google Drive storage?
Google Account storage is shared across Drive, Gmail, Google Photos, and Android WhatsApp backups. Personal accounts can include up to 15 GB at no charge; work and school accounts may have quotas set by an administrator. A full account can affect Drive uploads and file creation, Gmail sending and receiving, and Google Photos backups. Google says it may delete content if an account remains over quota for two years. Google’s storage guidance explains the shared quota and cleanup options, while its overview of how storage works covers what counts.

Find which service is using the space
Open Google’s Storage Manager while signed in to the account that is reporting low storage. It shows usage by service and links to cleanup options. If Drive is not the largest category, deleting Drive files may not address the problem; check Gmail, Photos, and Android WhatsApp backups too. Google’s Storage Manager help describes the service view.

Review large Drive files first
- Open Google Drive in a browser and select Storage from the left menu.
- Review the list, which is sorted from largest to smallest, and identify large videos, archives, old exports, or drafts you no longer need. Google describes this view in its Drive storage guidance.
- Before deleting anything, open it or confirm its name and contents. Delete only files you recognize and no longer need.
Drive does not provide a built-in automatic duplicate finder, according to Google’s cleanup guidance. Look for names such as “(1)” or “Copy of,” but compare the files before removing either one.

Check Gmail and other shared storage
If Gmail is using a substantial share, search for large or old attachments before deleting messages. Google lists these search operators in its storage help page:
has:attachment larger:10Mfinds messages with attachments larger than 10 MB.filename:.pdf larger:5Mfinds PDF messages larger than 5 MB.older_than:2y has:attachmentfinds older messages with attachments.
Review results and keep messages you may need. Gmail Trash and Spam, as well as Google Photos trash, can also use shared storage; check those services if their usage is high.

Empty Trash only after checking it
Deleting a Drive file moves it to Trash; it continues to count toward storage until permanently deleted. Review Trash first, then empty it only if you are sure its contents are no longer needed. Emptying it is permanent. Otherwise, Google says trashed Drive files are deleted forever after 30 days. See Google’s file deletion guidance for details.
Apply the same care when clearing Gmail or Photos trash: permanent deletion cannot be undone through Trash.

Look for backups, app data, and ownership differences
Backups and connected apps
Google identifies device backups and hidden data from connected apps as possible storage sources. In Drive settings, open Manage apps to inspect connected-app data. For WhatsApp backups on Android, change WhatsApp’s backup settings before deleting a Google backup. Google warns that otherwise another backup may be created; deleting the existing backup can also permanently remove chat history if you change phones or reinstall WhatsApp before making a new backup. Follow Google’s storage cleanup guidance and WhatsApp’s in-app backup controls carefully.
Shared files and ownership
Files shared with you generally count against their owner’s quota, not yours. A copy you make, a file you add to a shared folder, or a file whose ownership transfers to you may count against your storage instead. Google outlines these ownership rules in How your Google storage works.

Cloud storage is not computer disk space
Your Google Account’s cloud quota is separate from your computer’s available disk space. Streamed Drive files may take little local disk space while still counting toward cloud storage; mirrored shared files can use local disk space without counting against the recipient’s Google quota. Google explains the distinction in Drive for desktop storage guidance.

Moving items to Trash is not enough: confirm that files were permanently deleted. After a large number of deletions, Google says its storage figure can take 48–72 hours to update. Check the Storage Manager again after that period and verify which service is still using space. Google’s storage guidance covers update delays and cleanup.

Choose between reducing cloud use and adding capacity
If cleanup is not enough, the practical options are to keep less in Google’s cloud or obtain more cloud capacity. The right choice depends on whether you need convenient access across Drive, Gmail, and Photos, whether the account is personal or managed by an organization, and whether you want to maintain an independent archive.
| Option | Best suited to | Trade-off |
|---|---|---|
| Reduce cloud storage | People who can delete unneeded files or archive selected files elsewhere. | Less content remains available through Google services; downloading and maintaining an archive is your responsibility. |
| Add Google Account capacity | Personal-account users who want more shared space for Drive, Gmail, and Photos. | Requires a paid plan; availability and price depend on account and region. |
Download and verify an archive
You can download files to a computer or external drive, verify the local copies open correctly, and then remove the cloud versions. The external drive itself does not reduce Google storage: the cloud copies must be deleted and Drive Trash emptied. Google’s Workspace storage guidance also describes freeing space; the account and administrator controls may differ for work or school users.
Buy more capacity if you have a personal account
Google One is Google’s route to additional personal storage; Google’s current help page says plans start at 100 GB. Plan availability and prices vary by region and account, so check the purchase screen for your account rather than relying on a quoted price. See Google’s guide to buying more storage.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsWork and school users generally cannot buy more storage for themselves; contact the account administrator about the organization’s quota. Google’s Workspace help covers freeing space in managed accounts.
