Google Docs and Sheets can support project work, but they may stop being enough when a team must piece together task owners, status, deadlines, and decisions from multiple files and comments. That is a signal to evaluate a clearer coordination system—not proof that every creator or small team needs to leave Google Workspace.
What it means to outgrow Docs and Sheets
Outgrowing a workflow does not mean Docs or Sheets have failed at what they are designed to do. They remain useful for drafting, collaboration, spreadsheets, and project-related work. The question is whether the team can reliably coordinate changing work using them as its only project-management system.

In a Product Hunt discussion, post author Sasha Dikan described a project accumulating “12 docs for one project,” an avoided spreadsheet, tasks buried in comments, and files named “final_final_v7_REAL.doc.” Dikan also identified unclear task ownership, weak project structure, progress that required manual tracking, and context spread across files as problems in that workflow. These are one person’s examples and assessment, not measured evidence that small teams generally outgrow Workspace. Read the Product Hunt discussion.
Signs your current workflow is creating coordination work
- People have to reconstruct ownership. A task appears in a document or comment, but the team cannot quickly tell who is responsible for it.
- Progress depends on manual updates. Someone must gather status from several files or ask teammates what has moved.
- Project context is fragmented. Decisions, task details, and working documents live in separate places, so it takes effort to find the current context.
- Project structure is hard to scan. The team lacks a shared view of priorities, deadlines, or how pieces of work relate.
One Product Hunt commenter, Julie Buchik, also described personal frustration organizing Google Drive folders. That is another individual experience, not a general finding about Drive users.

What Google Workspace can still do well
Google’s own project-management guidance recommends Workspace practices and points to revision history as a way to see who changed a file and when, or to restore an earlier version. That can help with document accountability, but revision history is not the same thing as a shared view of task ownership and project progress. Google Workspace Learning Center: Tips for project management.
Google also describes project practices using Sheets, Docs, Gmail, and Chat, and lists integrations with project-management products including Asana, Trello, and monday.com. That makes the choice less binary than “stay in Google” or “abandon Google”: a team can keep Workspace for documents and communication while evaluating a separate layer for coordinating tasks. When a dedicated project tool is worth evaluating
Consider trying a dedicated tool when the coordination problems above are recurring and the team needs work to be represented explicitly: tasks connected to projects, identifiable owners, priorities, and a shared way to see progress. Dikan argued that specialized tools can make those elements more visible; that is the author’s view, not a guarantee about every product or team.

Dikan also wrote, “You don’t need Jira. You don’t need enterprise software. You do need something built for how creators and small teams actually work.” Treat that as an opinion from the discussion, not a universal prescription. The appropriate level of structure depends on the team’s work and tolerance for maintaining another system.

How to compare options without overbuying
Google’s integration list names Asana, Trello, and monday.com as examples, and Asana describes its own Google Workspace integration. Those references establish that integration options exist; they do not establish a head-to-head winner or current feature and pricing differences. Asana for Google Workspace.

If the team can find the current document, owner, and status without repeated chasing, continuing with Docs and Sheets may be entirely reasonable. If people repeatedly reconstruct that information—or important work gets lost in comments and files—test a dedicated project-management layer while keeping Docs and Sheets for the tasks they handle well. The Product Hunt post is useful as a prompt to inspect a workflow, not as evidence that there is a universal point when a small team must switch.
