What the invitee needs to do
An invitee does not need a Google Calendar account. They can respond Yes, No, or Maybe from the invitation email. Whether the event appears automatically in their calendar depends on their calendar settings. In particular, people outside the organizer’s organization, or those who have not interacted with the organizer before, may need to RSVP by email before it appears. Google explains these invitation behaviors in its event invitation guidance.
If the invitation does not arrive
- Ask the guest to check their inbox and spam folder.
- Have them confirm that new-event email notifications are not disabled.
- Check that the email address on the event is correct.
- If needed, remove the guest from the event, add them again, and save the change.
Google’s troubleshooting guidance is included in its instructions for inviting people.

When Google Calendar will not let you add a guest
Some automatically generated events cannot have guests added. Examples include events created from Gmail and calendar entries such as birthdays, holidays, or sports events. If the guest field is unavailable, check whether the event is one of these types; you may need to create a separate event that you can edit. Google specifically notes this restriction for Gmail-created events in its Android help.
Guest limits and large invitations
Google documents a limit of 200 people per individual event. For larger invitations, Google recommends using Google Groups. A group may have up to 100,000 guests; that is the documented group limit, while sending limits can depend on account type. Group events also handle guest-list and RSVP visibility differently from ordinary events. See Google Calendar Help: Invite a group to an event.

Control forwarding and event access
Guests may be able to forward an invitation, which can expose updated meeting details, let a recipient change an RSVP, or allow them to invite others. If you do not want guests to invite additional people, turn off the event’s Invite others permission in the guest permissions. Google describes these controls in its event invitation guidance.
A shared event link is not the same as adding a specific guest: Google says anyone with the link may be able to view event details and the guest list, and add themselves or others. Share such links only with people you trust. See Google Calendar Help: Share your calendar or event.
