Use AI to generate options, sharpen a draft, or explore a different tone—not to decide exactly what you should say. Before using a suggestion, check that it is accurate, appropriate for the audience and situation, safe to share, and something you would naturally say. Then revise it yourself and take responsibility for the final message.
What AI should—and should not—do in communication
AI can help you get unstuck: ask it for possible subject lines, an outline, a clearer phrase, or another way to express an idea. Treat the results as options to evaluate, not as an authoritative answer or a ready-made script. As Communication Skills in the Age of AI puts it, “The key is to iterate with intention, using AI suggestions as tools, not scripts.”

The more a message depends on your knowledge of the facts, the audience, or the relationship, the more important your judgment becomes. A polished-sounding sentence can still be inaccurate, insensitive, too formal, or simply wrong for the moment.

A practical process for using AI suggestions
- Set the context. Tell the tool the purpose of the message, who will read or hear it, the relevant situation, and the tone you want. Leave out confidential details unless you have permission to use them in that tool and your organization’s policy allows it.
- Request alternatives or feedback. Ask for a few possible phrasings, an outline, or a critique of your draft rather than an unquestioned final script. For example: “Suggest three concise, warm ways to ask a colleague to send the report by Friday. Keep the request clear and avoid sounding demanding.”
- Choose what fits. Keep only suggestions that make sense for the actual circumstances and relationship. Discard anything that assumes facts you have not provided or makes the message sound unlike you.
- Check the details and the impact. Verify names, dates, numbers, and references. Consider whether the wording is fair and suitable for its audience; rewrite anything biased, insensitive, or misleading.
- Make it yours. Edit the selected ideas into language you would naturally use. The final message is your responsibility, even when a tool helped shape it.
- Adapt in live conversations. Use AI-assisted preparation to clarify your goals or practice questions, but listen to the other person and respond to what they actually say. A prepared script cannot make that judgment for you.
Choose the right level of AI involvement
These are practical distinctions, not a tested ranking. A useful rule is to keep AI’s role smaller when the communication depends more heavily on verified facts, personal voice, privacy, or real-time judgment.
| Use | What AI contributes | What you need to check |
|---|---|---|
| Idea generation | Possible topics, outlines, questions, or subject lines | Whether an idea serves your purpose and fits the context |
| Critique or revision | Suggestions for clarity, tone, or alternate wording | Accuracy, audience fit, bias, privacy, and whether the revised language still sounds like you |
| Verbatim scripting | Wording intended to be used exactly as generated | Whether exact wording is appropriate at all; it can be especially unsuitable in sensitive exchanges or conversations that require listening and adapting |
Where common writing tools fit
Style-checking tools such as Grammarly and Microsoft Word Editor, and translation support such as DeepL, can offer suggestions. Their suggestions still need your review: check the meaning, facts, tone, and fit for the people who will receive the message rather than assuming a tool’s output is automatically right for your situation.
