Generic AI for Cold Emails: Why I Built a Context-First Workflow

Generic AI can insert a name without explaining why an offer matters. Here’s how a context-first, three-step drafting workflow starts with prospect research.

I stopped relying on generic AI for cold emails because filling in a prospect’s name or company did not explain why my offer might matter to that person. I wanted drafts to begin with prospect research and a relevant detail, then turn that context into a concise, three-step sequence.

What generic AI got wrong for my cold emails

My problem was not that an AI could produce fluent copy. It was that a polished message could still feel interchangeable. Adding a first name or company variable changes the greeting; it does not show why the offer is relevant to the recipient.

As I put it in my original account, “Real personalization is understanding why your solution matters to that specific recipient right now.” That is my working definition, not a formal standard or a claim about every AI writing tool.

Prospect research became the bottleneck

Before writing, I would look for something current and useful about a prospect: a recent post, article, funding event, or company development. In one personal example, I spent about 15 minutes researching a prospect. That is an anecdote about my own workflow, not a typical time estimate.

The friction was moving between research and drafting. I wanted the relevant context close to the writing task, so the opening could connect a real activity or development to a plausible reason for reaching out.

What I built instead

I describe the tool I built, called coldmailer, as a way to provide the information that generic prompts often lack and draft a three-step outreach narrative from it. The inputs are the sender’s perspective, the offer, and context about the prospect:

  1. Define the sender: Explain who you are and what you do.
  2. Explain the offer: Describe what you are offering and how it differs.
  3. Add prospect context: Include a relevant recent post, article, funding event, or company development.
  4. Draft the sequence: Shape the context into a personalized opener, a useful follow-up, and a specific, gentle next step.

The intended progression is more important than inserting a personal detail for its own sake. The opener establishes why the outreach is timely; the next message should add something useful rather than merely repeat the pitch; and the final step should make the requested action clear without manufacturing urgency.

What this workflow does—and does not—establish

This is an account of my product design, not an independent evaluation. I have not established a measured improvement in replies, conversions, deliverability, speed, or privacy. Nor does a context-rich prompt guarantee that the resulting message is accurate or genuinely relevant: the sender still needs to check the source and the connection being made.

My original account described the tool as local and browser-based and associated that design with speed and security. Those are claims from that account, not verified outcomes. A currently indexed service at coldmailer.ai describes drafting from imported prospect data and sending through user-owned SMTP, with a person reviewing drafts before sending. Its feature page says users bring their own list and the service does not source or scrape prospects: ColdMailer features. The available information does not establish whether that service is the same product I described, so its current features should not be attributed to my tool.

Personalization still needs responsible sending

Better context does not remove the need to authenticate mail or follow the rules that apply where you send. Google’s published guidance says all senders emailing personal Gmail accounts must set up SPF or DKIM. For senders sending more than 5,000 messages per day to Gmail accounts, Google lists additional requirements, including SPF, DKIM, and DMARC; Google says noncompliant messages may be rejected or placed in spam. Check Google’s Email sender guidelines for the current requirements and scope.

For U.S. commercial email, the FTC’s CAN-SPAM guide includes requirements concerning accurate sender information, non-deceptive subject lines, identification as advertising, a valid postal address, and an opt-out method. The FTC states, “Don’t use false or misleading header information.” These are U.S.-specific obligations, not a substitute for checking the rules that apply to your audience and circumstances. The FTC guide also lists a maximum penalty of $53,088 per separate violating email; because that figure can change, consult the FTC’s CAN-SPAM compliance guide for the current amount.

The change was in the starting point

I did not want AI to make generic outreach sound more polished. I wanted the writing process to start with a defensible reason for contacting one particular person: who is writing, what they are offering, and what relevant evidence makes the timing or fit plausible. The tool’s sequence is a way to turn those inputs into drafts; the sender remains responsible for verifying the context, editing the message, and sending it appropriately.
