Short answer: Gemini in Gmail is a strong fit for summarizing conversations, searching email with natural-language questions, and drafting or refining messages. Copilot in Outlook adds documented tools for prioritizing mail, triage actions, managing rules, and coaching drafts. Neither feature set is universal: what you can use—and how your data is handled—depends on your account, plan, region, device, and administrator settings.
This comparison reflects official Google and Microsoft documentation checked October 7, 2026, rather than hands-on testing or independent performance benchmarks. Confirm availability and terms for your specific account before choosing.

How the feature sets differ
Both assistants can help catch up on email and compose messages. Their clearest differences are in inbox management and how you find information: Google documents natural-language Gmail search and proactive inbox assistance, while Microsoft documents prioritization, triage actions, and natural-language rule management in Outlook.
Gemini in Gmail
Google’s Gmail feature overview includes AI Inbox for surfacing priorities and topics; summaries of email conversations; natural-language questions over Gmail search; voice questions through Gmail Live; Help me write for new drafts and refinements; proofreading; and suggested replies. Help me schedule is also listed for eligible Workspace accounts. The available functions vary by plan, account, language, platform, and geography. Google’s feature overview distinguishes personal Gmail, Google AI plans, and eligible Workspace plans.
#1 Best Overall
Gmail search AI Overview and conversation summaries solve different problems. Search AI Overview answers a question across email and can synthesize information from multiple messages. Google says it is gradually rolling out; personal accounts need an eligible Google AI plan or Workspace Experiments access. The feature is English-only according to Google’s search AI Overview help page, which also excludes personal accounts in the EEA, Japan, Switzerland, and the UK. Smart features must be enabled, and search operators can prevent an Overview from appearing.
Conversation summaries appear when you open a long thread and present its key points and replies; they may also suggest reminders for tasks with due dates. Google says this feature is available to personal, work, and school accounts globally, subject to supported languages and smart-feature settings. Turning off smart features also disables other AI-assisted writing and proofreading tools. See Google’s conversation-summary instructions.
Rank #2
Help me write can generate a message or refine existing text for tone and clarity. It may draw on relevant details from other emails and Drive files to personalize a draft; Google says the interface can show the sources. Availability differs: the cited page limits personal-account access to supported languages in the US, while eligible Google AI and Workspace plans have broader supported-language availability. Check Google’s current plan and feature conditions for your account.

Copilot in Outlook
Microsoft’s Outlook FAQ, last updated in August 2026, lists inbox prioritization with an explanation for the priority; actions to pin, flag, archive, or delete messages; help creating or managing Outlook rules in natural language; email-thread summaries; full-length drafts based on prompts and thread context; and draft coaching for tone, sentiment, and clarity. It also describes chat about organizational and web information, Copilot-generated themes, and scheduling through chat. Some features require a work license or work/school account. Microsoft’s Outlook FAQ gives the feature and account details.
Rank #3
Outlook access has meaningful boundaries. The FAQ says Copilot scenarios apply to a user’s primary mailbox, require Exchange Online hosting, and do not cover archive, group, shared, or delegate mailboxes. Copilot cannot access S/MIME or Double Key Encryption email, and some signed, encrypted, or labeled messages are unsupported. Outlook chat requires a work/school account and new Outlook for Windows or Outlook on the web.

Google and Microsoft describe protections for different products and account categories. Their statements are useful, but they do not establish that one assistant is categorically more private than the other.
Google accounts and Workspace
For Workspace, Google says Workspace content is not used to train or improve the generative AI models powering Gemini and other systems outside Workspace without permission. For users with Google AI plans using the covered Gemini features in Gmail and Workspace, Google says content used to respond to prompts is not used to train or improve Gemini or other generative AI models, and prompts and outputs are not stored without permission. Google also says Workspace content is not used for advertising. These commitments are described on Google’s Workspace privacy page.

If a Workspace user with a personal account chooses to share Workspace data with Gemini Apps or Search for Personal Intelligence, or through screen actions, the terms of those services apply; Google says the data may be used for model training or improvement. Workspace Experiments has separate terms, so its treatment should not be assumed to match the standard Workspace commitments. Google’s Workspace access-control information also says Gemini follows the user’s own access, administrators can restrict Gemini or limit the Workspace data it accesses, and delegated Gmail messages are unavailable to Gemini.

For personal-account users of Workspace Experiments, Google’s notice—last updated August 31, 2026—states that experiment data is retained for 18 months. Copies reviewed or annotated by human reviewers may be retained for up to 4 years. These figures apply to Workspace Experiments, not to Gmail or Workspace generally. The notice says experiment data may be used to provide, improve, and develop products and machine-learning technologies, with human review under its stated safeguards. Microsoft personal and work/school accounts
For Copilot in Microsoft 365 apps for home, Microsoft says prompts, responses, and file contents are not used to train foundation models. It describes Copilot as using the current file or another file the user asks it to inspect. Disabling either “experiences that analyze content” or “all connected experiences” disables Copilot features in Outlook and other Microsoft 365 apps. This statement applies to home plans with a personal Microsoft account, not organizational accounts. See Microsoft’s home-app privacy explanation.
For work/school accounts, Microsoft says prompts and responses in Copilot Chat are not used to train foundation models and chat data is encrypted during the session. It also says prompts, Bing queries triggered by prompts, and responses are logged; an IT administrator can access logged information through Microsoft search and audit tools. This is a Copilot Chat statement, not a blanket description of every Microsoft 365 Copilot workload. Organizations and users should consult the applicable terms for their product. Details are on Microsoft’s work/school Copilot Chat data-protection page.
Copilot connectors are a separate Gmail workflow
Microsoft consumer Copilot can connect to Gmail if a user explicitly grants permission. Copilot may then query email and other connected-service content under the permissions already granted. Microsoft says it does not store a separate copy or use connected-service data to train Copilot, but responses containing connected data can remain in conversation history until that conversation is deleted. This is a connector flow in Copilot, not Gemini operating inside Gmail. See Microsoft’s connector documentation.

Checks to make before choosing
- Identify your exact account and plan. Personal Gmail, a Google AI plan, Workspace, Microsoft 365 home, and work/school Copilot have different features and privacy terms.
- Check region, language, and device. Google documents feature-specific language, geography, platform, and rollout limits; verify the conditions for the exact Gmail feature you want.
- Check Outlook mailbox coverage. Confirm Exchange Online hosting and whether you use a primary mailbox; shared, delegate, group, and archive mailboxes are not covered by the cited Copilot scenarios.
- Review data controls with your administrator where applicable. Google administrators can restrict Gemini access to Workspace data. Microsoft’s work/school Copilot Chat information describes logging and administrator access to logs.
- Separate ordinary service terms from experiments and connectors. Google Workspace Experiments and Microsoft’s Gmail connector flow have their own scopes and should not be treated as identical to the built-in assistants.
