I can’t credibly claim that leaving Notion changed my note-taking habits in a particular way: the available evidence does not establish which app I adopted, what I migrated, or what changed in my routine. What it does make clear is why the move can reshape a system: a self-hosted open-source app may organize information differently and put syncing, backups, and upkeep in different hands. Here’s how to evaluate those trade-offs—and what a genuine migration account should examine.
What “self-hosted” means for a note-taking workflow
“Self-hosted” does not identify a single architecture. In a local-first app, notes live on your devices and synchronization may be a separate service or setup. In a server-based app, a server is the source of truth. That difference affects where you can work, how changes reach other devices, and what you must maintain.

AppFlowy’s vendor-authored comparison, published September 27, 2026, evaluates publicly documented capabilities and deployment choices. It is useful for understanding how the company positions products, but it is not an independent reliability audit or a firsthand migration report. Its authors recommend checking critical requirements against current vendor documentation. Read AppFlowy’s comparison.
Start with how you capture and find notes
Changing apps can mean changing the shape of a note, not just its location. A pages-and-blocks model, a canvas, objects connected by relations, and wiki-style documents each encourage different ways to capture and retrieve information. These are design differences, not proof that any particular person’s habits changed.

- Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop
- To get set up, connect the portable hard drive to a computer for automatic recognition no software required
- This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
- The available storage capacity may vary.
A comparison dated August 29, 2026 describes AppFlowy as closest to Notion’s pages, blocks, and databases; AFFiNE as combining documents and a canvas; Anytype as organizing objects through types and relations; Outline as a server-based team wiki; and SiYuan as a block-oriented personal knowledge tool. Those are the comparison author’s characterizations, not independent feature audits. Check each project’s current documentation before relying on a specific capability. See the comparison.
For a personal account, the useful test is concrete: Did quick notes become easier or harder to capture? Did projects still group naturally? Could you resurface an old decision, link, or reference without remembering exactly where you filed it? The app’s model matters when it changes those everyday actions.

Choose between offline access and collaboration needs
The comparison’s decision framework starts with how many people need to edit at the same time, then asks how important offline work is. A server-centered workflow may make shared editing the priority; a local-first workflow may suit someone who wants notes available on-device. Neither architecture guarantees a particular experience: confirm offline behavior, conflict handling, and simultaneous editing in the current app and deployment you plan to use.
- Mostly solo, often offline: favor a workflow whose local access and sync recovery you understand.
- Several people editing together: verify collaboration behavior and the server’s availability before moving shared work.
- Mixed use: test your actual sequence—edit offline on one device, reconnect, and inspect the result on another—before migrating your full archive.
Know what maintenance moves to you
Operating a server shifts responsibility to its owner: backups, uptime, and security updates become part of the notes system. With local-first use, attention shifts toward dependable synchronization and backups of local data. A migration can therefore change not only how information is organized but also what “keeping the system healthy” means.

- Easily store and access 1TB to content on the go with the Seagate Portable Drive, a USB external hard drive.Specific uses: Personal
- Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop. Reformatting may be required for Mac
- To get set up, connect the portable hard drive to a computer for automatic recognition no software required
- This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
- The available storage capacity may vary.
Before committing, identify where the authoritative copy lives, how often it is backed up, and how you would restore it after a device or server failure. For a server-based setup, also establish who applies security patches and what happens when the host is unavailable. A server or NAS is not automatically required for every local-first app.
Check migration and exit paths before moving everything
Export may preserve note text while losing relationships or canvas structure, according to the comparison. The details depend on the source, destination, and export method, so do not assume a successful text export means the whole workspace survived intact.
Rank #4
- Easily store and access 4TB of content on the go with the Seagate Portable Drive, a USB external hard drive.Specific uses: Personal
- Export a small, representative sample that includes linked notes, databases or structured records, and any canvas content you rely on.
- Import it into the candidate app and check both the visible content and the relationships that made it useful.
- Test search and retrieval using real examples: an old project, a saved link, and a note you would otherwise struggle to find.
- Keep the original workspace and export until you have confirmed that the material you need is present and usable.
Check licensing as well as features
Open-source client code and a self-hostable server do not necessarily share the same license. AppFlowy’s September 27, 2026 comparison says its desktop/mobile client and web projects are open source, while its current production self-hosted server is distributed under a commercial self-hosting license. Confirm the current license and official terms for the exact components and deployment you intend to use before treating a product as fully open source or planning a self-hosted installation.

A useful before-and-after story needs the writer’s own examples rather than assumptions based on product descriptions. It should say which app and deployment they used, what moved from Notion, and what happened to quick capture, project grouping, resurfacing old notes, maintaining links or databases, and switching between devices. It should also distinguish firsthand observations from general architecture trade-offs. Without those details, there is no sound basis for claiming that a particular migration made someone more organized, less distracted, or more productive.
