If you want to stop paying monthly, free, open-source apps can cover many of the same tasks—but not as a guaranteed one-for-one replacement for every Microsoft app or cloud service. The practical approach is to choose replacements by task, then test your own files and workflows before cancelling.
What free, open-source apps can replace Microsoft 365? LibreOffice handles local documents, spreadsheets and presentations; Thunderbird covers email and calendar; and Nextcloud can provide synced files and selected collaboration if you arrange hosting. Each solves a different part of the bundle.

What free, open-source apps can replace Microsoft 365?
Microsoft 365 Personal is a bundle, so there is no single choice here that is established as a complete equivalent. The options below replace particular tasks. A sensible starting point is to match each app to what you actually use rather than assume that a free suite reproduces every Microsoft 365 entitlement.

Replace Word, Excel and PowerPoint with LibreOffice
LibreOffice is the most direct option in this group for people who mainly create and edit office files on a computer. The Document Foundation describes it as free and open source. Its six applications are Writer for word processing, Calc for spreadsheets, Impress for presentations, Draw for diagrams and graphics, Base for databases, and Math for formulas.
For home users, that means you can handle common document, spreadsheet and presentation work without a recurring software licence fee. It does not establish that every Microsoft Office file will preserve its layout or behavior perfectly. Files with complex formatting, spreadsheet features, macros or repeated back-and-forth editing deserve particular scrutiny.
Business use and support
The Document Foundation’s FAQ says businesses can use LibreOffice without paying license fees and recommends that larger deployments consider professional support. That makes the cost distinction clear: software licensing can be free, while an organization may still need to budget for migration, support, training or administration.

Replace Outlook email and calendar tasks with Thunderbird
Thunderbird is a candidate for people whose Microsoft 365 use includes Outlook email and calendar. The Swiss Federal Administration study lists it as an alternative in those categories. Thunderbird’s own site describes its mobile app as open source and says the product is free forever.
Keep the scope narrow: an email and calendar client does not substitute for Word, Excel, OneDrive, Teams or every cloud feature in Microsoft 365. Check that the mail accounts, calendars and shared scheduling features you rely on work with your setup before switching.
Replace OneDrive-style syncing with Nextcloud
Nextcloud Files provides self-hosted storage and sync. Nextcloud Hub brings together Files, Talk, Groupware, Office, Assistant and Flow, so it can support more than file storage. The key difference from a ready-to-use subscription service is that self-hosting requires a server or a hosting arrangement, plus an operator responsible for keeping it available and maintained.

Nextcloud advertises an ecosystem of providers, but provider pricing was not established here. Treat the software’s open-source status and the total cost of running a reliable service as separate questions: hosting, administration and support can involve costs even when software itself is available without a licence fee.

Consider separate apps for other Microsoft tasks
A Swiss Federal Administration alternatives study also identifies candidates for work beyond the core office, email and file-sync tasks. These are options to evaluate against your own workflow, not a promise that they match every feature of the Microsoft product.

The biggest practical question is not whether an alternative has a similar app name; it is whether it handles your files, collaborators and day-to-day tasks. Desktop-first work in LibreOffice is a different setup from browser collaboration through a hosted platform, and self-hosting Nextcloud adds operational responsibility.
- List the tasks you actually use. Separate document editing, spreadsheets, presentations, email, calendar, file sync, notes, project planning, diagrams and team communication.
- Try representative files. Open the documents and spreadsheets you use most, especially those with complex layouts, formulas or macros. Check the output and behavior rather than assuming compatibility.
- Test collaboration with real collaborators. Confirm that shared editing, file exchange, calendar use and communication work for the people and workflow that matter to you.
- Account for setup and upkeep. Standalone desktop apps require less infrastructure than a self-hosted service. If you choose Nextcloud, decide who will arrange hosting, updates and ongoing operation.
- For business deployments, plan support as well as licences. LibreOffice has no licence fees for business use according to its FAQ, but larger organizations may still need professional support and a managed migration.
What you can—and cannot—conclude about saving the subscription
The listed US price is a useful comparison point, not proof that switching will save every user the same amount. Microsoft’s $99.99 annual option is less than twelve monthly payments at its listed $9.99 rate, and users may value bundle features these alternatives do not reproduce. Hosting or support choices can also affect the total cost of a replacement setup.
