Trello for visual task boards
Trello is a better match when the job is organizing tasks as cards on boards. If your Notion workspace is also your documentation library, database, or connected knowledge base, Trello addresses only part of the need.

- List the workflows you actually use. Separate long-form pages, databases and views, personal notes, team collaboration, file storage, and task boards. A replacement only needs to match the workflows you rely on.
- Identify the hard requirements. Note how many people need access, how much data and how many files you store, whether work must be available offline, and whether you need remote sharing or publishing.
- Test one real example in the candidate. Recreate a representative page, database view, shared workflow, and file use. A feature list cannot tell you whether the alternative handles your particular setup well.
- Check the operating burden. With a hosted plan, verify the current limits. With self-hosted software, account for hosting, backups, maintenance, and security—not just the subscription cost.
- Move only after the trial covers your essentials. Confirm that the needed content, access, and collaboration work in the new app before leaving your existing workspace.
