Choose the attendance sheet that fits your routine
| Use case | Best-fit format | What it does |
|---|---|---|
| One-day roll call or event check-in | Daily sheet | Records attendance for one date; some layouts include arrival time and notes. Clockify’s template page and Smartsheet’s examples describe daily formats. |
| Regular tracking with month-end review | Monthly grid | Lists people in rows and dates in columns, making status patterns visible across the month. Totals can be counted automatically, depending on the workbook’s formulas. Smartsheet and Clockify describe monthly layouts. |
| Month-to-month or annual reporting | Yearly workbook with monthly tabs and a summary | Keeps records by month and can aggregate them in a year summary. Attenditai’s workbook is described as having a roster, twelve month tabs and a formula-driven Year Summary. |
| Handwritten sign-in | Printable PDF | Use a blank paper form when attendees will mark their own entries or a recorder will take roll by hand. Attenditai describes its PDF grid as designed for landscape printing. |
Compare a template’s tracking period, status-versus-time fields, attendance codes, percentage formula, print layout and summary features. Template-provider descriptions do not establish that one specific workbook works in every Excel version, so check the file in the version you use.

Attenditai’s attendance sheet page describes free Excel, Google Sheets, PDF and CSV versions. Its Excel workbook is organized around a roster, twelve monthly grids and a Year Summary. The publisher says the annual totals are formula-driven and describes 30 rows per month; those are features of this particular template, not universal spreadsheet standards.

It notes that users must enter total working days for its monthly and yearly templates to calculate an attendance percentage.

Smartsheet’s attendance templates include simple, employee, monthly and daily layouts. Its monthly format uses participant rows and date columns.
EasyHours’ editable forms distinguish attendance from time worked and describe Excel and PDF options. Confirm the current download options and workbook behavior on each provider’s page before adopting a template.

How to make an attendance sheet in Excel
For a recurring monthly register, start with a simple grid: one person per row and one scheduled date per column. A year workbook can reuse the roster across monthly tabs and add a summary tab. Attenditai describes that structure in its workbook; Clockify and Smartsheet also describe monthly layouts with people or participants down the rows and dates across columns.

- Set up the roster. Add each person’s name or ID in a row. Include department or role only if you need to filter or report by it.
- Enter the scheduled dates. Put each date in a separate column. Decide how your calendar handles weekends, holidays, part-time schedules and other non-working days.
- Add a visible code legend. Define every status, such as present, absent, late or excused, beside the grid. Use the same meaning throughout the workbook.
- Record a status for each scheduled day. Avoid leaving a cell blank when the person was absent or the day otherwise needs to be counted. A blank could mean no entry, a non-working day or an unknown status.
- Inspect the totals and formulas. Check which codes count as attended, what days are included in the denominator and whether the workbook needs a working-day total entered manually.
- For annual tracking, organize the workbook. Use monthly tabs and, if useful, a year-summary tab. Check that the roster and formulas carry through each month and into the summary.
Keep the sheet as simple as the task allows. A basic class or event roll call may need only names, date and status. A team that tracks hours may also need time in and out, breaks, total hours and notes.

Choose codes and percentages deliberately
Attendance rates are not standardized across templates. The calculation depends on which codes count as attended and what the workbook treats as a scheduled or marked day. For example, Attenditai describes its template as counting “P” (present) and “L” (late) as attended, then dividing attended entries by marked days. Its publisher advises marking scheduled days consistently because blank cells are ambiguous. It also notes that organizations may handle excused days differently or treat repeated lateness as absence.
Clockify says users must enter total working days to calculate a percentage in its monthly and yearly templates. Before using any displayed rate, check the formula and decide how to handle holidays, weekends, leave, excused absences and late arrivals under your own policy. A percentage that uses a different denominator or code rule may not represent your organization’s attendance measure.

When to add time fields—or use paper
An attendance status does not show how long someone worked. If you need time accounting, include only the fields your process requires, such as check-in and check-out, break duration, total hours, role or department, absence type and notes. Clockify lists these as possible fields for some attendance layouts; EasyHours explicitly distinguishes attendance from time worked.
For a handwritten workflow, print a blank PDF and record attendance on paper. Attenditai describes its PDF grid as intended for landscape printing. A clipboard can keep the printed sheet together during a roll call, but it is optional; the PDF is the format that supports the paper workflow.
What an attendance spreadsheet can—and cannot—establish
A template is a starting point, not proof that its formulas match your policy or that it meets every recordkeeping obligation. EasyHours cautions that whether a spreadsheet is legally adequate depends on jurisdiction and record controls. If you intend to use attendance data for payroll or employment records, confirm applicable local requirements and the controls needed to keep records accurate and appropriately maintained. Do not assume a status-only sheet is a time record.
