Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →When a flight is delayed, cancelled, rerouted, or you are denied boarding, start a paper trail before details disappear. Save the booking and travel records, the airline’s notices, a dated account of what happened, and receipts. Then check which rules apply to your itinerary: passenger rights depend on the route, operating carrier, disruption, and timeline. A refund, rerouting, assistance, statutory compensation, and reimbursement of expenses are separate remedies, not a single automatic payout.
What to save while the disruption is happening
Keep copies of the records that show what you booked, what the airline changed, what you experienced, and what you spent. The U.S. Department of Transportation (DOT) recommends retaining copies of supporting documents rather than sending originals.

- Booking and travel records: booking confirmation, ticket or itinerary, boarding pass, and details of any rebooking.
- Baggage records, if relevant: baggage claim stub and any documents or messages about the problem.
- Airline communications: cancellation, delay, rerouting, and refund notices. Save screenshots or copies that preserve when each message arrived.
- A contemporaneous log: scheduled and actual times, airport and city, what staff told you, what assistance you requested or were offered, and staff names when available. Note when each interaction took place.
- Expense evidence: receipts and proof of payment for costs incurred because of the disruption.
- Complaint records: a copy of your first complaint and every response.
DOT’s “Fly Rights” guidance recommends keeping travel documents and receipts, noting incident details and employee names, and including copies of supporting records in a complaint. Keep originals of receipts and travel documents for your own files.

Which rights framework should you check?
Do not assume that the rules of your home country apply to every flight. Check the itinerary, the operating carrier—the airline that actually operated or was due to operate the flight—and where the disruption occurred. The European Commission’s “Air passenger rights” guidance covers specified cases involving cancellation, delay, denied boarding, missed connections, and baggage problems, but eligibility is conditional. For a particular journey, use the official guidance to confirm whether its geographic and carrier rules cover your flight.

If your journey may be covered by EU passenger-rights rules
Under the European Commission guidance last checked in 2026, a delay of three hours or more at the final destination may qualify for compensation, subject to eligibility and exceptions. A departure delay of at least five hours may allow you to choose ticket reimbursement and, where applicable, a return flight. For cancellation or denied boarding, options can include reimbursement, rerouting, or rebooking, with assistance depending on the circumstances.
The Commission lists these illustrative compensation amounts for eligible covered cases: €250 for flights of 1,500 km or less; €400 for flights over 1,500 km within the EU and for other flights between 1,500 km and 3,500 km; and €600 for flights over 3,500 km. These are not universal payments: eligibility, possible reductions, and exceptions matter.

- CARRY-ON DESIGN: Best for 1-5 day trips without the hassle of checking luggage; measures 14.8 x 10 x 21.7 inches, including wheels
- DURABLE AND RELIABLE: Extra-thick hard shell with scratch-resistant finish guards against impact and rough handling
- EXPANDABLE: Increase packing space up to 25% for added flexibility and organization
- ORGANIZED INTERIOR: Keep essentials organized with an interior divider and three zippered pockets
- EFFORTLESS TRAVEL: Navigate with ease thanks to four multi-directional wheels, telescoping handle, and short lift handle
Extraordinary circumstances can include air-traffic-management decisions, political instability, adverse weather, and security risks. The guidance lists most technical problems arising during maintenance and internal airline staff strikes as not extraordinary. The carrier must establish the relevant causal link and that reasonable measures could not have avoided the disruption. Whether an exception applies is fact-specific, so save the airline’s explanation and notice rather than relying on a general label.
If your journey may be covered by U.S. DOT refund rules
DOT says you are entitled to a refund if an airline cancels your flight or makes a significant change or delay and you choose not to travel or accept travel credits or other compensation. DOT defines significant changes and related situations on its “Refunds” guidance page; check that page for the applicable threshold rather than assuming every delay qualifies.

- Expense reimbursement: a request for documented costs caused by the disruption. Keep receipts, but do not assume that evidence of spending by itself establishes an entitlement.
State each requested remedy distinctly—for example, whether you want a refund, compensation, or reimbursement of specified expenses—and explain the facts supporting it.

- Start with the airline. Use its consumer complaint channel and give a clear account of the incident. Include the date, cities, flight number or times, and a short timeline.
- Attach copies, not your only originals. Include relevant booking and travel records, notices, receipts, and your incident notes. Keep a copy of the complete submission.
- Name the outcome you seek. Separate a requested refund, compensation, or expense reimbursement instead of asking vaguely for the airline to “make it right.”
- Save the reply and any follow-up. Record when you submitted the complaint and when each response arrived.
- Use the appropriate escalation route if it remains unresolved. For a U.S. complaint, DOT advises giving the airline a chance to resolve the issue, writing to its consumer office, and then filing a DOT complaint if needed. DOT says it directs the airline or ticket agent to respond, but does not investigate every complaint.
There is no single filing deadline that applies to every right or itinerary. Check the deadline for the specific claim and jurisdiction before waiting for a response or submitting a complaint.

Check the EU rule dates before relying on an update
Regulation (EU) 2026/2202 amends Regulation 261/2004 and Regulation 2027/97. It was published in the Official Journal on 2026-10-02, enters into force on 2026-10-22, and applies from 2027-10-23. As of 2026-10-08, its new provisions were not yet applicable; the current European Commission guidance is the relevant starting point for a claim at that time.
A Council of the European Union release dated 2026-06-15 discussed the agreement, including a 30-day airline response requirement and revised claim information. Those details should not be treated as already operating on the basis of the agreement announcement: the adopted regulation’s application date is 2027-10-23.
